Supply Chain Management Reporting

There are various ways to view data from Supply Chain Management transactions.  This data can be used to identify trends and make meaningful future business decisions.

Reports are available in the following systems:

Aggie Enterprise

The university financial system includes reporting options for both purchasing and accounts payable transactions.

Cognos

Cognos offers several reporting options which provide information on AggieExpense, Procurement Card, Travel Card, and Preferred Booking Program (PBP) transactions.

FIS Decision Support (FIS DS)

FIS DS is no longer being updated, but it can still be accessed for historical data from December 2023 and earlier.

AggieDash

AggieDash is is the campus Tableau server used to support the business intelligence needs of UC Davis.  Supply Chain Management (SCM) dashboards include one on Department Agreements and one on Strategically Sourced Agreements, highlighting when they expire.  This information can be helpful in ensuring that agreements are extended as necessary without a lapse in service coverage.

AggieDash Access

Access to the Supply Chain Management AggieDash Tableau dashboard is granted by emailing [email protected].

Logging In and Using AggieDash

After you have been granted access to AggieDash:

  1. Log in with your UC Davis email address and Kerberos passphrase.
  2. Select “Explore” from the left navigation column and then select the “Supply Chain Metrics” folder. In the folder you’ll find the dashboards on After-the-Fact Purchase Orders, AggieShip, Procurement, Travel, and PO/Agreement Turnaround Time.
  3. Select a dashboard.
  4. Select the magnifying glass icon in the top right to select a division. Select the icon again to hide the menu so you can better view the dashboard.
  5. Select the calendar icon to choose a time period. Time period defaults to the full prior fiscal year. Data is updated quarterly. Select the icon again to hide the calendar menu so you can better view the dashboard.
  6. Drop-down menus on the right side of the screen allow you to filter information, for example, choose different org levels, hide or show requestor names, choose whether to display spend numbers or transaction numbers, etc.

AggieDash Helpful Suggestions

  • Hovering over an item in any graph provides additional details.
  • Be patient. This is powerful data! Sometimes when filtering, it can take a bit for the dashboards to load.
  • If you get lost or stuck, use the browser back button to return to the main dashboard. You can also close out of the dashboard and reopen it.
  • If you have questions about the SCM dashboards, suggestions for other data you’d like to see displayed, or need help navigating the dashboards, please contact [email protected].
  • If others in your department would like to view these dashboards, they can email [email protected] to request access to the AggieDash Supply Chain Metrics folder.

Using the Data

Now that you have access to retrieve and view the data, what can you do with it?

  • Budgeting: Reviewing past expenditures can assist in future budget forecasting.
  • Identifying Areas of Opportunity: Are there areas where spending needs to be better managed? Or are there areas where expenditures should be reduced or increased?
  • Meeting Audit Requirements:  AggieDash provides data that can be useful when meeting the requirements of an audit.
  • Assisting New Employees with Existing Business Processes: Data from AggieDash can help new employees understand the "bigger picture" when it comes to departmental purchasing trends and needs. This data can also be helpful if an employee is asked to purchase something they haven't purchased before, as they can identify what suppliers were used previously for similar types of purchases.
