How to Format Text With PowerPoint Format Painter

How many times have you changed a string of text or a complete text block in PowerPoint by applying two or three different options? Maybe you increased the font size, changed its color, and made it italic. And now you want to apply these same changes to several more text strings. Make it easy on yourself and use Format Painter to copy all of these attributes at one time to a different text string, rather than having to apply all three individually.

Instructions in this article apply to PowerPoint 2019, 2016, 2013, 2010; and PowerPoint for Microsoft 365.

Copy Text Attributes to One Text String

  1. Select the text containing the formatting that you want to copy.

  2. On the ribbon, go to Home and, in the Clipboard group, select Format Painter.

  3. Navigate to the slide containing the text you want to apply this formatting. This text could be on the same slide or on a different slide.

  4. Select the text to which you want to apply this formatting. The cursor changes to a paintbrush with an i-beam.

  5. The formatting of the first object is applied to this second text string.

Copy Text Attributes to More Than One Text String

  1. Select the text containing the formatting that you want to copy.

  2. Go to Home and double-click Format Painter. This allows you to apply the formatting to more than one text string.

  3. Navigate to the first slide containing the text you want to apply this formatting. This text could be on the same slide or on a different slide.

  4. Select the text to which you want to apply this formatting. The cursor changes to a paintbrush with an i-beam.

  5. The formatting of the first object is applied to this second text string.

  6. Continue to apply the formatting to as many text strings as necessary.

  7. When you have applied the formatting to all text strings, select Format Painter to turn the feature off.
