Rules to Live By!
1. Engage in timely and open communication with stakeholders
2. Don’t procrastinate! complete tasks on time.
3. Set deliverable deadlines 2 to 3 days before the actual date.
4. Be on time for meetings & If unable to meet, let the parties
know in advance.
5. Learn to self-organize. Project is “a transition to the real world”
6. Seek help when needed. Don’t pretend to understand.
7. Don’t underestimate scope. Negotiate scope.
8. Plan ahead. Be honest with client, professors & teammates.

Hybrid Activities

• This course includes 11 hybrid activities (independent learning) that are


all open and available right now!
• The lowest graded activity will be dropped.
• The quicker you get through this content and complete, the easier the
day-to-day operations of your project become.
• I highly recommend that you get started on this immediately if you
haven’t already.
• There are deadlines to each Hybrid; to get a mark for that hybrid, you
must complete it by the deadline. However, if you miss the deadline, it
is still important that you do the learning for the sake of your teamwork.

Team Charter
(template on Brightspace)

• Report Writing Tactic


• Write full first draft of report well before deadline.
• All team members need to contribute and review the final version.
• Formal writing, avoid bullet form (there will be deduction for that)
• Use collaboration tools from Office 365 to allow multiple editors and to
review each other's contributions
• Report Editing
• Read your work out loud to yourself or to another person to spot
grammatical errors and flaws in the logic of your report.
• USE SPELLCHECK AND GRAMMAR CHECK!

Prep to Meet the Client

• Research client's organization. Create questions for


client.
• Review project requirements specification template
so you know the information you need to get from the
client.
• Email client (cc Project Professor) at least 24 hours
before the interview.
• Include meeting date/time, location (link to online meeting),
purpose and agenda (use a professional agenda template).

Meeting rooms (ZOOM when REMOTE)

• T125 – Project room - available at most times for


teamwork - shared with ICT project teams
• DARE and Student Association rooms
• Other - If all else fails, the team could request the booking
of T306 or T106 boardrooms (office hours only) through
the office staff in the department office T307.

• Organization skills
• Learn to use Outlook properly (email formatting, calendar)
• Learn to host meetings on Zoom or Teams
• Use Spelling and Grammar check in Word
• Use Team Drive for document collaboration

Teams

• Teams formed with 4 to 6 students selected based on submitted


project preference, first come first served.
• Verify your team’s composition, begin communication, request a
project, prepare a Team Charter and book regular meeting times with
your team, professor.
• Remember, this is a course in a full-time program. All students
are expected to be available for meetings with the team, the client
and the course professor.
• For weekly advisor team meetings/demos, see Brightspace on how to
book times with your professor for; ‘Meeting/Demo Schedules’ module.

How to Select Projects

• Potential projects will be posted on Brightspace Thursday at 12 noon.


• Beginning at 12 noon (sharp, not before) on Friday, everyone
must submit the Project Ranking Survey in Brightspace.
• Project will be assigned on a first-come-first-served basis, based on
your ranking. The preference reason will be used only to break any
possible ties.
• This is the only project delivery where early submissions are not
accepted.
• Once project assignments are made, teams will be given the team
members and full client contact details.

Client Interview

• Start on time. Dress appropriately even though you


are on Zoom.
• Be respectful (appropriate language, turn off phone,
hygiene).
• In the first interview ask strategic questions and listen.
• Setup time and frequency for regular meetings at the
client’s convenience.

After Client Interview

• Debrief - Immediately, meet with team to discuss findings.


• The client’s certainty about what they want impacts
whether your project will require more experimenting or
building.
• Prepare meeting minutes (use a professional template
– available in MS-Word)
• Send minutes to client (cc project professor) within
24 hrs. of the interview.

• Sprints: Sprint 1 starts on the Monday of Week 1 – Jan 6,


setup 3-week sprints when you get access to ZenHub
• Demo Prototype 1 – Week 6
• Demo Prototype 2 – Week 10
• Demo Final – Week 14
• Book your slot for all demo early!
