• Initiative
by the Ministry of Education started in 2019, under the national mission on
education through information and communication technology.

• Provides a fully managed, cloud-based, comprehensive custom-built ERP for HEIs.


• Samarth has been extended to various types of higher education institutions including
central universities, state universities, colleges, nits, iiits, iims, iiser, and other institutions
of national importance

• Offers a gamut of digital tools that are integrated into an online platform of best practices
for efficient resource planning and management, process and service improvement, and
good governance.

ACADEMICS
• Academic module: deals with programmes, seats offered under various courses, duration of
programmes etc. It also keeps track of students present under different programmes in the
institute/university.

• Alumni module: handles alumni requests and manages alumni data of a college. The module
dashboard shows the total registered alumni, verified alumni and accounts created

• Admission: it enables students to register for a specific programme under a university/institute


• Evaluation and grading: provides the structured interpretation and outcome of evaluations for
students of the university along with the planned schedule programme-wise, course-wise,
exporting the relevant reports etc.

• Feedback module: admin can create the student feedback form and publish it where students
can provide their feedback after login
TRAINING AND PLACEMENT MODULE
This system will handle the information of students, companies, TPO (training and placement
officers).

• Collects information from companies to recruit students for internship or placement,


• Make hiring schedules for companies
• Maintains record of students placed in each session
• Companies can also post their job/internship on the portal during inactive season and can see how
many applications have arrived for that job/internship.

• TPO can monitor all the drive activities (from job posting to recruitment) from a single window.
• Helps in quicker placements and better remuneration packages.
• Large choice of job opportunities and offers a career in area of prominent skills, interests.
Generates job alerts.
ACCOUNTS AND FINANCE

• BILL TRACKING SYSTEM: Elimination of physical interface to submit the invoices. The invoices can be
directly uploaded into the system by the vendor. The physical copy of the invoice can be submitted later.

• BUDGET AND ACCOUNTS: Budget management helps to get complete budget visibility in seconds, view
requisitions pending approval, and transactions approved against your budget.

• ENDOWMENT: It allows an institution to make commitments far into the future, knowing that resources to
meet those commitments will continue to be available.

• PAYROLL MGMT: Deals with all the financial and fiscal needs of the university. It handles the system from
budget allocation to budget disbursement. It facilitates the employee salary according to the updated pay
commission and also helps in generating through an automated system.

• RESEARCH PROJECT & GRANT MANAGEMENT SYSTEM: Helps to manage of research projects grants
from the funding agency. Also manages the sanction orders, research accounts, expenditures against
sanctioned budget heads and generates reports for the funds.
BASE MODULES
• The organigram is the hierarchy of the university/HEIs employees in an organization.
• User management module allows the administrator to manage users, roles, permissions,
system roles, and application modules.
DATA MANAGEMENT
• Content Federation System (CFS) module: Manages web content, allowing
multiple contributors to create, edit, and publish.

• Minutes and Retrieval System: Enhances minute taking, a place that enables
you to take board meeting minutes more efficiently and allows to assign
actions and notify the attendees quickly.

• Samarth Uni Web Portal: API (Application Programming Interface) platform

EMPLOYEE SERVICES
Samarth’s CAS module: allows employees to apply for career advancement
schemes under:
Annual performance appraisal system (APAR)
Performance-based appraisal system (PBAS)
Career advancement scheme-based appraisal system (CAS)

• Helps in managing the teaching and non-teaching employees in the


university/HEIs. Admin can search for any employee from the options
provided and can see the reports of employee distribution category or
gender-wise.
EMPLOYEE SERVICES CONTD..
• Leave mgmt. module: Deals with the administrative tasks of recording leave and controlling
these as per the leave policies. It automates the leave request process, making it hassle-free
for both the management and the employees. It seamlessly handles all the stages involved in
a leave management process: application, approval/rejection, filing leaves, managing leave
balance, and analysis.

• Training of trainers: Aims to train and develop specific skills, abilities and knowledge of an
employee. Universities/HEIs can ask employees to participate in the opportunities
posted/requested in order to improve/increase their current performance.
GOVERNANCE
• Affiliation module: Helps the university to manage its affiliated colleges, requests and
extension. Colleges can either upload all documents on the university’s page or already affiliated
colleges can apply for sanctioning of new courses. The data that gets uploaded is scrutinized by
the affiliation committee for remarks and approval. Colleges can view notifications that are sent
by universities and also receive affiliation certificates.

• Estate management module: Manages the property under the university like the total number of
buildings, floors, rooms, washrooms, roads & footpaths, doors, windows, walls etc. It also
provides corresponding configuration for these properties to ease the functionality of the
university.
GOVERNANCE CONTD..
• IT Service Desk: Manages tickets raised in the university. Employees as well as
students can raise tickets through this module. Admins can assign tickets to agents
through this module.

• Legal case mgmt. module: Captures the entries of total legal cases, and hearings of
the given university and maintains a track for the same along with its graphical
representation. When we launch the portal, LCMS appears in the dropdown of the
governance section.

• The RTI module: Manages the RTI files within the university. Just like the other Samarth
modules, this will also have role-based access control (RBAC) viz RTI admin role and
CPIO officer role
RECRUITMENT
The recruitment management system enables the university to conduct online
recruitment with ease of application and tracking. The system also consists of various
reports which can be used at the time of application scrutiny and screening.

UNIVERSITY FACILITY
• Core communication system: this module helps in sending emails to more than one
employee/student in a single click directly from the portal.

• Essential services: this module helps employees/students/users having administrative accounts


avail services offered by the university such as a guest house, conference hall, transport, etc.

• The file management and tracking system: Manage and track the processing of files that are
in circulation within the university.

• Samarthgrievance modules: helps to cater and resolve all the grievances made by the
employees/students of a university.

• Health mgmt module: Assists an employee to visit any hospital attached/affiliated by the
university, subscribe to the membership or cancel the membership, avail the university’s health
facility and check their records.

• Hostel management: the overall management of hostel-related activities. It helps in managing
student and staff record, mess bills, allotting room and generating student reports.

• Inventory management system module: it is designed to manage the various consumable and
non-consumable inventories issued to multiple university/HEIs employees.

• Ehousing module is an easy-to-use scheme-centric online house allocation system, enabling


employees of the institute/university to apply for houses that the institute/university has.

• Security management module: helps to establish a place to protect the students, and
university staff from all possible dangers, such as chemical, physical, or physiological,
under all circumstances.

• Sport facility modules: helps to track all the sports-related information offered by the
university. It gives an overview(count) of the number of sports, infrastructures
associated with the sports, number of sports subscriptions, etc

• Transport management module: includes the daily management of vehicles, fuel,


and other services such as vehicle type, distance covered, performance, fuel
consumption, drivers, etc. It also helps in vehicle tracking managing day-to-day
activities, gets an automatic calculation of finances, etc.
