WHAT IS A REPORT?

• A report is a written presentation of factual information based on an investigation or research.

• Reports form the basis for solving problems or making decisions, often in the subjects of
business and the sciences.

• The report brief may outline the purpose, audience and problem or issue that your report must
address, together with any specific requirements for format or structure.

• The length of reports varies; there are short memorandum (memo) reports and long reports.
PURPOSE OF REPORT WRITING?

Two of the reasons why reports are used as forms of written assessment are:

• to find out what you have learned from your reading, research or experience

• to give you experience of an important skill that is widely used in the work place.
WRITING STYLE

The style of writing in a report will demonstrate your ability to:

• More direct and economic use of language

• Clear, concise and accurate

• Easy for the audience to understand

• Appropriate for the audience

• Well organized with clear section headings

WRITING THE REPORT: THE ESSENTIAL STAGES

• All reports need to be clear, concise and well structured.


• The key to writing an effective report is to allocate time for planning and preparation.
With careful planning, the writing of a report will be made much easier.

ACTIVITY 2 (5MINUTES)
SOME ACTIVITIES

Task 1: After your group has a topic, decide how you will collect information. You need
to do observations and informal interviews. Make a plan for where you need to go on
campus for observations and who you could talk to for interviews. You will need to collect
field notes. This means you should write down your observations and the answers to the
questions you ask.

Task 2: Write your questions and divide the work. In your group, write down the interview
questions you plan to ask. Decide what each group member will do (Interview or
observation? At what location?) and assign tasks for everyone in your group.

Task 3: When your teacher asks you to, go onto campus and conduct your fieldwork. Be
sure to take good notes. Write down where you went; who you talked to, how many
people, and what the answers were to the questions. Be as detailed as you can!

Task 4: After completing your work, join back together with your group to share what you
have found. Your teacher will ask you to write a short report in your group about what you
learned. You may also share some information with the rest of the class during a short
presentation. Your teacher will give you the details of the report that you should complete.
WRITING THE FINAL REPORT OUTLINE

• Title page (Project title, names of group members, Date, University name, Teacher
name)
• Summary (1-2 paragraph summary of all parts of your report)
• Background (What is your chosen topic? Why did you choose this topic? How is it
important in your community?)
• Research questions (State the research questions for your project.)
• Resources (Summarize what your learned from different sources you read. Give
citations)
• Methods (What are the methods you used to collect your information? How many
people did you talk to? Where did you go?)
• Findings (What did you learn from each method you used to collect information?
What did you learn overall? Can you answer your research questions here?)
• Conclusion (Summarize the overall project and the answers to your research
questions. What are recommendations for what should happen next?)
