• Once staff is fully trained and files have been transferred

Different methods of changeover


❖ Direct changeover
❖ Parallel running
❖ Phased implementation
❖ Pilot implementation

Direct Changeover
• The existing system is stopped and replaced by the new system
immediately.
• The data that was inputted into existing system is now inputted into the
new system.

Eg: a super market closes on a Friday, install all the software and hardware
and re-opens on Monday with the new system in place.

Advantages
• New system can be used immediately after installation
• Costs reduced(only one system used no need to pay for two sets of staff)
• Less likelihood of malfunction

Disadvantages

• Employees must be given training before the implementation

• All the files should be ready to be loaded

• If the new system fails all the data will be lost as the old system will not

be available.

Parallel
• Company uses its old system and new system together for a certain
period of time and if the new system is successful they stop using the old
system

• E.g.: an office prepares their payroll manually as well as by using the


payroll preparation system

Advantages
• If the new system fails, there will be no data lose. ( they will have the old
system data)
• It is possible to train staff gradually.

Disadvantages
• It’s expensive as workers have to do the same work twice.
• It is more time consuming since data needs to be entered into two
systems.
• Customers may not be happy about the service due to the delay

Phased Implementation
• Only part of new system introduced, only when it proves to work
satisfactorily, next part introduced and so on until the old system is fully
replaced.

Advantages
• If the new system fails the entire system will not be affected.
• It is possible to ensure the system works properly before expanding.
• Employees can be given training at the time of implementation – in a
rotation basis.

Disadvantages
• It may not be possible to divide the system into sub-systems
• Time Consuming-Takes long time to roll out every module.
• More expensive evaluate each phase before moving to next stage

Pilot Implementation
• Pilot implementation is to implement the new system only one
branch/office of an organization.

• If successful adapt it to the whole system.

Advantages
• If the new system fails only one part/branch is affected; remainder is
unaffected.
• It is useful when there is some uncertainty about the new system.
• Costs are less than parallel since only one part of the system is being used
in pilot

Disadvantages
• Takes longer to implement new system across whole company
• Department taking part in pilot can lose data if new system fails
