Formatting documents in MS Word

 Document formatting is one of the primary tasks in Microsoft Word
and has the broadest set of features.
 Formatting ranges from changing a font or font size, to modifying
line spacing or paragraph indents, to setting page margins and
pagination options, such as specifying that all lines of a paragraph
should stay together on the same page.

Section Formatting

 Formats that are applied to a division in a document such as a page
or a group of pages. All pages within a section have the same section
formats, such as page margins, orientation, and page size. These
formats are located on the Page Layout tab.
 To apply section formats, make sure your cursor is positioned in the
section you want to modify.

Paragraph Formatting

 Formats that are applied to a paragraph as a whole, such as
alignment, indents, line spacing, and paragraph spacing. Other
paragraph formats include page break options, such as specifying
that all lines of a paragraph should stay together on the same page.
The primary paragraph formats are located on the Home tab, in the
Paragraph group.

 To apply paragraph formatting for a single paragraph, text selection


isn’t necessary. You can place your cursor in the paragraph you want
to format and then make your modifications. For multiple
paragraphs, select all paragraphs you want to format.

Character Formatting

 Formatting that can be applied to individual characters, such as font,
font size, color, or bold. Primary character formatting is located on
the Home tab, in the Font group.

 To apply character formatting to a single word, click in the word you


want to format and then make your changes. To format a single
character or multiple words, select the text you want to format.

Title Bar Appears at the top of the window and displays the name of
the active workbook along with the application name. If
your workbook hasn’t yet been saved, the title bar displays
a name such as Book1 – Excel. After the workbook has been
saved, the title bar will reflect the name of the saved
workbook.
Ribbon The main component of the Excel interface is where you’ll
find the primary commands for working with the content of
your workbooks. The ribbon contains task-oriented tabs;
each tab contains groups of related commands. For
example, on the Home tab, the Clipboard group contains
commands for copying and pasting
information in your workbooks.

Quick Access Holds your most frequently used commands. By default,


Toolbar Save, Undo, and Redo have already been added.

Scroll Bars Used to move through the worksheet. You can move up,
down, left, and right.
Status bar Appears at the bottom of the window and displays
information about the current workbook, such as the total
and average of the values in the currently selected cells. On
the right side of the status bar are view options for
switching your workbook to a different view, along with a
zoom slider to change the magnification of your active
workbook.

Formula Bar Displays the contents of the active cell.

Name Box Displays the coordinates of the active cell.

Select All Selects every cell in a worksheet.

Sheet Tabs Displays the names of the worksheets within a workbook.

Workbook A single page in a workbook, divided into rows and


Window columns. Columns and rows intersect to form cells.

Tab Scrolling Used to scroll through the worksheets in a workbook.


Buttons
Active Cell The cell surrounded by a border where you enter or edit
data.
