• Time management is the process of organizing
and planning how to divide your time between
specific activities.

• Good time management enables you to work


smarter – not harder – so that you get more done
in less time, even when time is tight and
pressures are high.

• Failing to manage your time damages your


effectiveness and causes stress.
 Winners of the world are doers.

 Winners take control of their time while


whiners allow their time to be controlled by
everyone and everything imaginable.
• Time is worth more than money.

• If you lose money, you can always earn


more, but if you don’t make the most of
your time, you don’t get a second chance.

• Treat time like money. Be very conscious of


where it is spent, and take action before you
pay a heavy price.
• Greater productivity and efficiency.

• A better professional reputation.

• Less stress.

• Increased opportunities for advancement.

• Greater opportunities to achieve important life


and career goals.
 Missed deadlines.
 Inefficient work flow.
 Poor work quality.
 A poor professional reputation and a stalled

career.
 Higher stress levels.
 Lack of priorities
 Attempting too much

work within a short span


of time

 Procrastination
• Procrastination is the biggest hurdle to time
management.

• Procrastination means putting things off.

• Time is limited; so do not procrastinate


unnecessarily. Earl of Chesterfield said, “Never
put off till tomorrow what you can do today”.

• If you delay in working on a brilliant idea, you


will lose your enthusiasm after some time.
We generally procrastinate because:
 We don’t know where to begin
 We feel we don’t have the right skills
 We don’t understand the urgency of the task
 We wait for the right ‘mood’ or ‘time’ to

begin the task


 We have poor decision-making or

organization skills
 We have fear of failure
 We don’t like the task
• Be honest with yourself and recognize that
you are procrastinating.

• Analyze why you are procrastinating, and


whether it is because you find the task
unpleasant or difficult.

• Get over it, and motivate yourself to begin:


- Tempt yourself with a reward
- Ask someone else to check on you
- Identify the unpleasant
consequences of not doing the task
 Draw an action plan or a ‘To Do’ list of the
things you need to do.
 Make a calendar, and keep it in a place
where it is easily visible.
 Base your list of things to do on priorities,
importance and urgency.
 “First things first” is the essence of good
time management.
 First do whatever is going to do you the most
good by being completed earliest, and do last
what will cause the least loss by being
delayed.

 If the task involves some creativity, do it


when you are most energetic, and if it is a
boring task, do it when you are least
energetic.

 Do not leave everything for the last minute.


An unfinished task is a burden on the mind.
 Be sensitive to the needs of
others. Their time is as valuable as
yours.

 Learn to be assertive and say ‘no’


to people who divert your
attention from the task you have
to complete.

 Take help from others, but don’t


get others to do your work for
you.
 Make your daily time table to analyze how you
utilize your time.

 Make a list of things you have to do on a


regular basis.

 Make a list of possible distractions and how


to avoid them.

 Make a new time table showing how you can


effectively use your time.
 Personal Technology – Keep your phone aside
when you are trying to concentrate on a task.
 Manage emails – trash the unimportant ones,

and take actions on important mails.


 Social media – track the amount of time spent

on social media in a day, and monitor it.


 Browsing – avoid unnecessary browsing on

the internet. Use it productively for important


information.
• Phone calls – avoid the urge to answer each
phone call. Reply with quick text messages.
• Work environment – find yourself a quiet spot
if you are getting distracted by the sounds in
the work environment.
• Visitors – politely keep away visitors who take
up a lot of your time. Remove extra chairs from
your desk to convey your message.
• You – take care of your own health by sleeping
enough and drinking water to avoid
dehydration.
• Understand what you can realistically achieve
with your time.
• Make sure you have enough time for essential
tasks.
• Add contingency time for "the unexpected."
• Avoid taking on more than you can handle.
• Work steadily toward your personal and
career goals.
• Have enough time for family and friends,
exercise and hobbies.
• Achieve a good work-life balance.
• Identify the time you have available.
• Block in the essential tasks you must carry out to
succeed in your job.
• Schedule high-priority urgent tasks.
• Block in appropriate contingency time to handle
unpredictable events and interruptions.
• Schedule the activities that address your
priorities and personal goals in the time that
remains.
• Analyze your activities to identify tasks that can
be delegated, outsourced or cut altogether.
• Do 10 squats each (5 points)
• Create something for the instructor to wear, such as a hat or tie (10
points)
• Find out something unique about each person on the team (5 points)
• Sing a song together (15 points)
• Make 3 paper airplanes and throw them from one end of the room to
another (5 points)
• Get everyone in the room to sign a single piece of paper (5 points)
• Count the number of pets owned by your group (5 points)
• Assign a nickname to each member of the team (5 points)
• Create name cards for each team member (5 points)
• Make a tower out of the materials owned by your group (10 points)
• Convince a member of another team to join you (10 points)
• Name your team and come up with a slogan for the team (10 points)
