A how to guide
Three steps to create a pivot table

Create a data source
I.E Excel table

An excel table is a set of rows and columns in a worksheet that contains related data and is
displayed in a specific table format. It helps to organize and manage data independently of
data outside the table.

The following slides will provide instruction on how to create a excel table

Open a new excel spread sheet
and highlight the cells to the
required size you wish the table
to be.

In the example to the left, the


intention is for the table to be 5
columns wide and 10 rows
down. Therefore, the selection
is from 1A:10E

Now that the required area is
highlighted, select insert in the
top tool bar and click on table.

A window will pop up title


‘create table’.

Double check the cell selection


is correct and ensure that the
headers button is selected.

Once verified selected ok.

Once step 2 is complete a table
will be generated.

To change the titles at the top


of the table simply double click
on the title at the top of the
column and type in the
preferred title name.

See example of title change in


the bottom image.

To change the design of you
table, select anywhere in the
table and an additional option
will appear in the toolbar at the
top of the screen titled ‘Table
Design’.
Here you will be able to change
the table name and design.

To add an additional column to


the table, highlight the column
you wish to put the new column
in front of and right click. Then
click insert and a new column
will be added to your table.

Final step for the table is to
populate it with data.
Remember it is key to ensure
the data is consistent, this is to
ensure the pivot data gathered
is correct and not incorrectly
placed when using the pivot
table.

For example, if the customer's


name is ABC, ensure to also
type it the same way.
If you was to type it differently
for example, ABC, abc or A B C
then the pivot will register this
as three different categories.
Create a pivot table
A PivotTable is an interactive way to quickly summarize large amounts of data. You can use a
PivotTable to analyse numerical data in detail and answer unanticipated questions about your
data.

The following slides will provide instruction on how to create a excel table

To create the pivot table, select
any cell within the table and
click the pivot table button in
the insert section of the toolbar
at the top of the screen

Once you have click on pivot
table a window will pop up titled
‘Pivot Table from table or
range’.

Here you can name your pivot


table and selected if you want it
to be placed in a new work
sheet or with the existing work
sheet.

Once the name and location of


the pivot table has been
confirmed select ok to generate
the pivot table.

A blank pivot table will now be
generated, and the pivot table
fields will appear.

The pivot table fields is where
you selected which data your
wish to sort.

If the pivot table fields does not


appear, right click on the pivot
table and select ‘show fields
list’

Use the fields list to start sorting
data. In the example provide the
pivot table is counting how many
times each customer appears in the
table (123 x4 & ABC x5).

To achieve this, we have selected


customer for the Rows field – this
tells the pivot what to look for.

We have placed the ref num as the


value – the value section is how the
pivot table records the numerical
value of the data, this could be a
count or average.

The filters field allows use to manage


what other information we want to
the pivot to collect or exclude. For
example, we could exclude a name,
date or part number.

If you have added new data to
2 3 your table which is not
appearing in the pivot table, you
will need to refresh the pivot
table.

To do this select the pivot table


and then click on the pivot table
analyze section of the toolbar.
Here you will be able to select
on the refresh button.

Or click on the change data


source if you have created a
new table you would like to pull
the data from, you may also
have to do this if you have
expanded your table after
initially creating your pivot table.
Create a data graph
Graphs and charts are useful visuals for displaying data. They allow you or your audience to see things like a
summary, patterns, or trends at glance

Now that the pivot table has
been created and is populated
with data, its time to create a
graph from it.

To create a graph from the


pivot, select the pivot table and
click on the recommended
charts button found in the insert
section of the toolbar.

Once recommended chart has
been selected in the tool bar a
window will pop up title ‘insert
chart’.

Here you will be able to select


which type of chart you would
like to use to display your data
for example, column chart, bar
chart, pie chart ect..

Once you have selected the


type of chart you would like to
display, selected ok at the
bottom of the window.

Now that the chart has been
generated you can change its
name and edit the design of the
chart.

To change the name of the


chart double click on the tile at
the top of the chart and entre
the preferred name.

To change the design of the


chart, select the chart and a
new option will appear in the
toolbar title ‘design’, here you
will be able to change the look
of the chart.
