PRESENTATION SKILLS
Definition: A presentation is a formal
communication in which the presenter presents ideas, instructions or information in a clear and structured manner to one or more people. TYPES OF PRESENTATION Informative presentation Reporting: provide up to date information about projects or events Explaining: This provides information about products, procedures, rules, regulations, operations, etc Persuasive Presentation These are motivational in nature. Convincing to buy a product, service, to change client mindset, motivate team members etc. TYPES OF PRESENTATION…….. Goodwill Presentation These are meant to be entertaining, to build goodwill, to build respect for the organization/product, showcase of success etc Multipurpose Presentation This type is intended to accomplish more than one purpose. FEATURES OF EFFECTIVE PRESENTATION Aim of presentation Scope of interaction Scope of Presentation with audience Structure of Conduct of presentation presentation Use of AV aids Audience analysis Body language Time management Conclusion PLANNING & PREPARATION Aim/objective should be clear. “what should the audience expect & understand” Scope as per objective “large area or smaller area in depth” Know your audience: age group, education, gender, occupation, social economic status etc Rehearsal: Content, facial expressions, language , continuations etc PLANNING & PREPARATION………. Prepare reference points of entire presentation in same sequence Dress code: Formals, no shabby or flashy clothes, avoid too many accessories. To over come nervousness thoroughly rehearse. Deep breathing, physical movements STRUCTURE OF PESENTATION Consists of 5 key components Opener: Sets the tone, the mood and ambience of presentation. Ice breakers to be used for rapport and participation. Introduction: What the presentation is all about. It should be effective and clear. Body: This is the crux and core area. Focusing on key areas. Review: Restating of the key areas again for message retention Close: Should be effective and leave a strong impact. Address questions VERBAL COMMUNICATION Vocal attributes enhance presentation and audience participation. Vary pitch, high pitched voice is shrill and unpleasant to ears Loud voice is perceived as aggressive and insensitive Slow rate conveys boredom, disinterest and fatigue. Vice versa conveys nervousness and insecurity. Ideal rate 130 per minute Harsh tone is aggressive and faltering tone indicates timidity, indecisiveness. No jargon, slang NON VERBAL COMMUNICATION Body Language indicates level of comfort, level of knowledge and confidence It should be natural Gestures: avoid small hesitant hand movements Maintain eye contact Avoid pauses “umms” “ahs”, focus on one sentence at a time Movements: Pause while moving, take three steps then resume talking AUDIO VISUAL AIDS

OHP, video, flip charts, photographs, posters, working models etc Aids help the speaker clarify a point Make an impact on audience They arouse and maintain interest Simplify instructions Accelerate learning CHARACTERISTICS OF GOOD VISUAL AIDS
Visibility. One inch letter height on screen per 30
feet viewing distance. Don’t use type written slides, minimum font size 18. Number of words per line should not exceed 7 Not more than 10 lines per slide Focus on one idea per slide Should be effective, colorful, pictorial and innovative CHARACTERISTICS OF GOOD VISUAL AIDS…………. Don’t make it too stimulating i.e. too many colors, animations etc Visuals should be simple, avoid clutter Graphics like charts, pictures, diagrams, amps etc can be used as they add coherence, help summaries data and provide interest. Check functionality of AV aids before presentation AV aids should have key points and not paragraphs SOFT SKILLS PRESENTATION
