Requirement Our Solution
Fleet listing Fleet listing is a part of Management of Technical objects in Fleet Management, which is the Master
Data component in Fleet Management. Once fleet objects are created within SAP Fleet Management
one is able to view a list of all fleet items created within the system.
Location Users within SAP Fleet Maintenance are able to define the location of each fleet object within the
system, should location be changed they are also able to edit and put in new location without erasing
the previous location data.
Vehicle Make/model This forms part of the vehicles Master Data , where particular information belonging to the different
fleet objects can be captured within THE SAP fleet Management system.
Fleet configuration, weight, capacity This forms part of the vehicles Master Data , where particular information belonging to the different
fleet objects can be captured within THE SAP fleet Management system.
Registration details/chassis number/etc. This forms part of the vehicles Master Data, where particular information belonging to the different fleet
objects can be captured within THE SAP fleet Management system.
Fleet age Users are able to capture manufacturing year which is then used to calculate the fleet age within SAP
Fleet Management.
Warranty information This forms part of the vehicles Master Data, where particular information belonging to the different fleet
objects can be captured within THE SAP fleet Management system.

Requirement Our Solution
Service plans & tracking With the use of Preventive Maintenance module in SAP Fleet Management users are able to create different service
plans belonging to each fleet object and they are also able to track the status on each of these service plans.
Refurbishment plans Refurbishment plans are also created as a type of a service plan. Different types of fleet objects that qualify for
refurbishment processes can be assigned to the refurbishment plan.
COF plans With the use of Documents Management users are able to update and track COF’s belonging to different fleet objects
and can be attached to the relevant fleet object.
Fleet inspections capturing (checklists) Inspection Checklists are maintained in the Preventive Management module through the use of task list. Where users
are able to define the list of tasks to be done within each checklist.
Outwork tracking Users are able to track work assigned to a third party service provider , as long as the outsourcing and maintenance
orders have been generated within the SAP System.
Claims tracking Claims Tracking can be done within SAP System. Claims orders are created in the Accounting component where order
status can be tracked, this can be created, completed, in process and historical.
Warranty service tracking Master warranties can be defined within fleet maintenance as part of the fleet master data, but through the use the
characteristics component user can define the warrantee time lapse. Where the characteristics is then assigned to the
warranted object i.e. If warrantee ends at 100 000km one is able to track if the fleet component is still valid for the
specified warrantee.
Accident repairs With the use of the Maintenance Processing module in SAP Fleet Management, users are able to manage and track all
accident repairs within the organisation and can also track the different statuses on the different accident repairs.

COF tracking In Transport Management a Trades Compliance Check is generated to ensure that each fleet vehicle before leaving is in compliance
with all the required documentation for that specified route including COF’S. Also with the use of Documents Management users are
able to update and track COF’s belonging to different fleet objects and can be attached to the relevant fleet object.
Vehicle license tracking In Transport Management a Trades Compliance Check is generated to ensure that each fleet vehicle before leaving is in compliance
with all the required documentation for that specified route including Vehicle Licensing. Also with the use of Documents Management
users are able to update and track Vehicle Licenses belonging to different fleet objects and can be attached to the relevant fleet object.
Radio licenses In Transport Management a Trades Compliance Check is generated to ensure that each fleet vehicle before leaving is in compliance
with all the required documentation for that specified route including Radio Licenses. Also with the use of Documents Management
users are able to update and track Radio Licenses belonging to different fleet objects and can be attached to the relevant fleet object.
RT16 tracking In Transport Management a Trades Compliance Check is generated to ensure that each fleet vehicle before leaving is in compliance
with all the required documentation for that specified route including RT16. Also with the use of Documents Management users are
able to update and track RT16 belonging to different fleet objects and can be attached to the relevant fleet object.
RT38 tracking In Transport Management a Trades Compliance Check is generated to ensure that each fleet vehicle before leaving is in compliance
with all the required documentation for that specified route including RT38. Also with the use of Documents Management users are
able to update and track RT38 belonging to different fleet objects and can be attached to the relevant fleet object.
Voluntary inspection reports Users within fleet management are able to pull out previous inspection reports attached or written within the system.
Induced/referred inspections. Users are able to conduct and record induced inspections within the system, this is done through the Preventive Maintenance Module
in Fleet Management.
Lifting equipment statutory Inspections within the SAP Fleet Management Module are done through the Preventive Management module using task lists. Users
inspections (forklifts, tippers, are able to define their inspection rules for each specific inspection, such that when inspections are being carried out the person

time.
Failure analysis reports By using the Damage Analysis report, users are able to track and analyse the failures happening and the
database possible causes of the failures which aides users in decision making on how to curb failure or completely
disregard the piece of equipment.
Accident reports. In Fleet Management users are able to log in an accident, specify the damage and record the possible
cause for the accident during notification creation.
Accident Accident investigations within SAP are done in the Environmental Health and Safety module using the
investigations/VCC Accident/Incident log where all investigation results are recorded and kept.

Kilometres per vehicle Through the capturing of measuring documents for mileage for each specific fleet object one is able to
track mileage for each fleet object over a desired specified period of time.
HLs/kms HL/kms can be customised so that users are able to capture and track the maximum speed at which a
tyre can carry a load versus the distance to be travelled.

Requirement Our Solution
Costs capturing Transportation is often one of the most significant expenses in the supply chain. Effective
transportation management helps reduce costs by optimizing routes, consolidating
shipments, and improving resource utilization. This can result in substantial savings for
businesses. With the use of reports like Cost Analysis reports, users are able to see all the cost
incurred by any fleet object over any specified period of time. Be it service and repairs, fuel
consumption or material consumption.
CostPerKilometer/ Planning costs settings are used in the SAP Transport Management planning cockpit to
CostPerHectolitre calculate transportation-related costs. SAP Transportation Resource Planning can also use
these settings to calculate a distance-based cost rate per means of transport.
Profitability by fleet Profitability Analysis can be used to determine profitability being made by a fleet object for a
designated route. That will be vehicle cost per route (fuel, operation cost) versus the actual
profit made within the route.

Tyre make On creation of different specific tyres within the SAP system one will be able to define the
tyre make for the specific tyre being created.
Brand number As part of the tyre master data one would be able to capture the brand number belonging to
the specific tyre.
Manufacturers serial When tyres are being created as materials within SAP one will also be able to capture the
number serial numbers belonging to the different types of tyres being created.
Tread pattern Tread patterns depth can be tracked using measurement documents. Whenever mileage is
captured on vehicles on which tyres are installed, the mileage is then transferred to the tyres
hence one can measure tyre tread.
RFID tags Radio Frequency Identification Tags can be used to track different tyres and information
retained from these can be fed into SAP through SAP AIL 4.0(SAP-AUTO-ID-INFRASTRUCTUR)
and the RFID software.
