Smart Gym Management System

Daniel Moragwa Leeboney presented on a proposed Smart Gym Management System. The system aims to provide affordable and quality fitness services while easily managing member information, payments, scheduling, and facilities. It addresses problems with the current manual paper-based system like high maintenance costs, errors, and lack of storage. The proposed online system would allow faster retrieval of records, easy data transfer and storage, and eliminate data replication. It requires Windows, .NET, SQL Server and is designed to efficiently manage all operations for Smart Gym. Feasibility studies found the system technically, economically, and operationally viable.

SMART GYM MANAGEMENT SYSTEM
1.0 INTRODUCTION
 Smart Gym is located along Ngong road. It has
been in operation since 2015 when it was
established Smart gym boosted of the best
services to its customers in the region thus
leading to a high customer turn up. It has the
best training equipment’s that help its customers
achieve their fitness goal.
WHAT IT DOES
 Smart Gym club management systems provide fitness
businesses the functionality to manage schedules,
memberships, and facilities. The capabilities of gym
management systems include storing member information in
a database, managing financial records, scheduling classes,
and reserving facilities.
OBJECTIVES
 Provide affordable services
 Delivering quality services
 Ensure fitness to its customers
 Online registration of the member..
 Easy payment options.
 Managing financial records.
 Storing member information in a database.
 Collect and record payments from gym or club members
CORE VALUES

 Dedication.
 Inspiration.
 Honesty.
 Easy payment options.
 Standardization of the system
 Personal growth
PROBLEM STATEMENT
•The cost of maintaince of data and records of occurrence
of transactions is very high.
•Required a lot of paperwork and the process takes time.
•Likely to have an error.
•Time consuming as data entry which include calculations
took a lot of time.
•Lack of storage space for handwritten documents.
•Required Buying of goods more frequently as compared
to the online system e.g. paper, pen.
•The cost of maintaince of data and records of occurrence
of transactions is very high.
•The proposed system is expected to be faster than the
existing system.
PROPOSED SOLUTION

•The new system is capable enough to allow the new gym

members to store and retrieve any type of record.
•The proposed system has a user friendly Interface for
porting of data to server.
•The proposed system provides the facility to pull the data
from the server using a key example such as id and get the
desired report”.
•The proposed system provides the no replication of data.
•The proposed system has a user friendly Interface for
transferring of data to server.
SYSTEM REQUIREMENT
The software required for the development of the project is:
 Operating System: Windows 2000 Professional
 Environment: Visual Studio .NET 2002
 Net Framework: Version 1.0
 Language: Visual Basic
 Backend: SQL Server 2000

The hardware required for the development of the project is:

 Processor: Intel P-IV System
 Processor Speed: 833 MHz
 Ram: 512 Mb Ram
 Hard Disk: 40 GB
System Analysis
 Systems analysis is "the process of studying a procedure or
business to identify its goal and purposes and create
systems and procedures that will efficiently achieve the.
 It is applied to information technology, where computer-
based systems require defined analysis according to their
makeup and design
Terms of Reference
 The terms of reference follows good practice in project
management and is the document that sets out the project
roles, responsibilities and membership names of the project
board.
 what is the role of the group?
 when was the group established
 what are the aims / responsibilities of the group
Preliminary Study
  ¬Member’s Details Register:
 This Register is maintained in liu to maintain the records of the various members of
the gymming center. The document contains relevant information about the various
members such as members’s id, Name,Address,Telephone number.

  Employee’s Details Register:

 This Register is maintained in liu to maintain the records of the various employees of
the gymming center. The document contains relevant information about the various
employees such as employee’s id, Name,Address,Telephone number.

  Inventory Register:
 The register is used to record the details of the products(supplements, beverages
and apparels supplied and required) such as its
ID,Description,Quantity,Price, service date, time period for which it is under
maintainence
Feasibility Study
 Depending on the results of the initial investigation, the
survey is expanded to a more detailed feasibility study.
Feasibility study is a test of system proposal according
to its workability, impact on the organization, ability to
meet user needs, and effective use of resources. The
objective of the study is not to solve the problem but to
acquire a sense . During the study, the problem definition
is checked and aspects of the problem to be included
in the system are determined. Costs and benefits are
described with greater accuracy at this stage.
Technical Feasibility Study

 Technical feasibility centers around the existing computer

system Hardware and Software and to what extend it support
the proposed addition. For example, if the current computer
is operating at 80 percent capacity then running another
application could overload the system or require additional
Hardware
Economical Feasibility Study
 Economic analysis is to be determining the benefits and
savings in a new system being developed ,and should be a
good Investment for the organization.
i. The cost to conduct a full system investigation.
ii. The cost of hardware and software for the class of
application.
iii. The benefits in the form of reduced cost or fewer costly
errors
Operational Feasability Study
 This Application is very easy to operate as it is made user
friendly with the help of very effective .
 Main consideration is user’s easy access to all the
functionality of the Application
 Another main consideration is here is that whether user
organization is trained enough to use the newer application
