INTRODUCTION TO PDCA WHAT IS PDCA? STEPS OF PDCA CYCLE PROBLEM SOLVING PROCESS TECHNIQUES TO USE PDCA ADVANTAGES PDCA FOR PRINTER AND SCANNER ISSUES OUTCOMES/RESULTS
PDCA was created by W Edwards Deming in the 1950s as an easy to follow Problem Solving Cycle.
Deming was tasked with helping Japan rebuild its economy in the 1950s.
His purpose was to use PDCA with a Continuous Improvement process to help rebuild Japanese industries so that they could compete in the world market in the future.
What is the Plan Do Check Act (PDCA) Method?
PDCA: is a Scientific Method of solving problems
requires facts, measurement, objective
analysis and critical thinking surrounding the problem
the problem
requires data and numerical evidence of
is designed to be applied over and over
again, not just one time, referred to as Closed Loop Thinking

PLAN
Purpose:- To INVESTIGATE the current situation & understand fully the nature of the problem being solved
When faced with a problem, we naturally begin to ask questions
What is the problem?
Why is the problem occurring? How does the problem start?
What are the causes of the problem?
Can we measure the problem?
DO
Purpose:- To ENLIGHTEN the Team as to the Real Problem by analyzing the Data and IMPLEMENTING a solution plan.
Lets go test our corrective action to the problem
Run a Trial and measure the results Implement the Plan Monitor the change during implementation
CHECK
Purpose:- To monitor effect of implementation of project plan & find Countermeasures to further improve the solution.
Were the results what we expected?
Compare results of test to baseline data
If a change occurred, ask Why did it change?
Did the problem: get better, get worse, or stay the same?
ACT
Purpose:- To Review Continuously the Performance Measure & make adjustments as required. Start PDCA Cycle again.
Implement the New and Improved Standard
Stabilize new Standard Train others to new method Update process improvement methods where and when required Share new standard Re-Apply the PDCA Method over again.
PDCA as Problem solving technique
1. Identify the problem 7. Plan for the future 2. Analyse the problem 3. Develop the optimal solution

METHODS
PARETO ANALYSIS
Method of showing a table of data in graphical format to aid understanding. Pareto analysis is a statistical technique in decision making that is used for selection of a limited number of tasks that produce significant overall effect. It uses the Pareto principle - the idea that by doing 20% of work, 80% of the advantage of doing the entire job can be generated. Or in terms of quality improvement, a large majority of problems (80%) are produced by a few key causes (20%).
5WHYS & 5W1H
The 5 Whys & 5W1H are the questions-asking methods used to explore the cause/effect relationships underlying a particular problem. Ultimately, the goal of applying the 5 Whys method is to determine a root cause of a problem Below is the example of 5W1H Who is it about? What happened (what's the story)? When did it take place? Where did it take place? How did it happen? Why did it happen?
PROCESS FLOW CHART
DEFINE the PROBLEM Write a SMART definition
ANALYSE DATA & BRAINSTORM possible SOLUTIONS. Using Technique 1 BRAINSTORMING
Brainstorm Possible Causes.
Using Technique 2 Cause & Effect
DECIDE on a QUICK FIX to protect the Customer.
Prioritise Solutions using Impact Diagrams
PRIORITISE Possible Causes Give each Team Member 5 votes each
Collect Data at Source Use Technique 3 CHECKSHEETS
Verify the Effect of Implementing each Solution using Solution Effect, Force FieldAnalysis and Failure Prevention.
Make an Implementation Schedule using Technique 13 - Project Planning
Set up Measures to Monitor the Effect. Use Checksheets, Paretos, Control Charts.
IMPLEMENT PROJECT PLAN
REVIEW EFFECT on MEASURES - MAKE COUNTERMEASURES to ENSURE OBJECTIVE IS ACHIEVED.
ADVANTAGES OF PDCA
1.Minimum possibility of an ERROR. 2.On - time CORRECTIVE action. 3.Optimum utilization of TIME. 4.Improved PRODUCTIVITY. 5.Continuous IMPROVEMENT.
PDCA FOR PRINTER & SCANNER ISSUES
Corp. Tax team would require two compliance to complete
the PDCA and come to the final conclusion.
The First two steps can be implemented during this
compliance and the rest two during next compliance.
PLAN FOR PRINTER & SCANNER ISSUES
What is the problem? Scanners and printers are not working properly.
Why is the problem occurring?
Scanners - not replaced on time Printers Cartridge not replaced or checked on time.
How does the problem start?
Scanners When we start scanning, It takes in two or more pages at a time and many of the copies wont get scanned properly. Printers When we give print, printer shows there is a paper Jam or memory error 10.10.00
What are the causes of the problem?
Scanners- Outdated Printers - Problem with the cartridge.
Can we measure the problem? The problem is constant, and it will occur frequently.
PLAN FOR PRINTER & SCANNER ISSUES
In order to over come the above described problem, here are the few plans. Replace the scanner. Replace the cartridge with new one.
In order to avoid occurrence of problems during compliance, conduct a sample test of scanner and printers on the 1st of every month. In order to avoid emergency incidents of scanners and printer issue, we should have extra scanner and printer cartridge as a backup. (both should be tested and should be in ready to use position)
DO STEP FOR PRINTER & SCANNER ISSUES
Here we got to implement the action plans, that we have designed
Actual replacement of Scanners and Printer cartridge.
CHECK STEP FOR PRINTER & SCANNER ISSUES
Will be carried out during next compliance. Time to check out the outcomes of first two steps.
Need to compare the result of test with the occurrence of problem in the past.
Outcome: get better, get worse, or stay the same?
ACT STEP FOR PRINTER & SCANNER ISSUES
Will be carried out during next compliance. Its a decision making step. Need to take a decision based on first 3 steps.
Check whether
we have come up with the better, best or worst. Train the team on preventing silly problems. Ex error 10.10.00 Update process improvement methods where and when required Share new standard Re-Apply the PDCA Method over again, if not happy with the results.
RESULTS
No need to call the IT frequently and wait till they
come and solve the issue.
Reduces expected time for scanning.
Improved efficiency.
Improved Quality of prints and scanned copies.
All above leads customer delight and a pleasant
work place.
