What is Salary ?
 A fixed regular payment, typically paid on a
monthly or biweekly basis but often
expressed as an annual sum, made by an
employer to an employee.
 Salary can also be viewed as the cost of

acquiring Human Resources for running


operations, and is then termed personnel
expense or salary expense.
Purpose of Salary System
 Easy to get salaries on time.
 To avoid any confusion or conflicts regarding

any employee’s salary, allowances, provident


funds, loans, savings etc ..
 On promotion, an employee can get his

increased salary and other allowances .


 It helps to manage salaries of large workforce

in an organization efficiently.
PROBLEM DEFINITION
 The main objective is to study the current
System of Salary distribution among the
employees in a department of HPU.
OBJECTIVES
 Our goal is to study the present salary system
in any department of HPU.
 To find out problems currently faced by them

in managing salary distribution for


employees.
SCOPE OF STUDY
 The Salary Distribution System in any
department is a vital component.
 It concerns with accounting which formulates

salary of employees of various posts in a


department.

 The current computerized salary system in
HPU uses “dBase” for maintaining the records
of the employees.
 dBase IV was the first widely used Database

Management Systems (DBMS) for


Microcomputers.
 But now many newer RDBMS systems have

taken over.

 Each Employee is given a unique employee code
that recognises him in the database i.e acts as a
primary key.
 Records are maintained in two files
o Master file – in which no deletion of any account

takes place even if the employee has left or


retired. Only addition to it is made in case of
new employee
o Transaction file- it is a copy of master file

except it keeps a check on the status of an


employee –is he working or left.

Flaws in present system
 The version of dBase (DBMS) used is old and
inflexible.
 The environment is unfamiliar to new

programmers.
 As field number can hugely grow over time .

So the data in some fields is overwritten


rather than stored.
 It is not menu driven.
 We cannot back-up old data.
Example
 If an employee ask for details of his salary after a
period of time (say) he comes in July to get his salary
and taxation statement of the month January ,then it
cannot be obtained from the database.
 Because old data is over-written .
 If we go on to manage previous data e.g.

we have 20 types of deductions in a month and


hence, 20*12 = 240 deductions in a year.
240*12 and so on .. Deduction will go on increasing
and hence very difficult to manage .
Proposed System
 The system should be more interactive and
menu driven
 It should have the facility of maintaining

records properly and necessarily not be


overwritten with newer attributes to prevent
enormous increase in number of fields.
 It should be resistant to virus threats and

protection breaches to avoid any loss to the


data.
