TIPS TO WRITE LETTERS
The best letters give the most important information in the shortest time
and most accessible form. Points to Remember
• Always plan your letter. Think before you write.
• Avoid ambiguity, cliches and be straight forward.
• Give complete information.
• Don’t use abbreviations, e.g., Inst., govt. etc. Though contractions (don’t
can’t etc.) are permissible in modern letter writing, one should avoid them.
• Be polite, courteous and correct even if you are in bad mood.
• Use short and crisp language.
• Write one idea in one paragraph. Use different paragraphs for different points with
appropriate linkers. • Always edit your rough draft.
• Avoid long-winded and rambling turns of phrase. For example, write “please let me know”, Not “I
would appreciate your informing me....”
. • Use correct/appropriate format.
• Avoid vague closing like ‘Hoping to hear from you’ or ‘Thanking you in anticipation’. These are
outdated. Instead end on a firm and positive note. Such as ‘This communication should be a pre-
cursor to all the future negotiations to follow’.
• Follow block style (latest). Do not mix it up with the traditional semi-block style.
• Leave one line space between paragraphs.
• No punctuation in address/date/salutation.
• Don’t leave any space at the beginning of a new paragraph, as was done in traditional
paragraphs.
• Follow these greetings and salutations for different situations:
o In the complimentary close, for the letter to Editor- write: * Yours truly/sincerely
o to the Principal * Yours sincererly/faithfully/obediently
o to the editor write Dear Sir - as salutation.
o Yours sincerely-to friends and to all the people whom you are addressing by name.
o * Yours affectionately-to relatives.
o To the Editor – end with signature of the sender followed by his name in block letters and
designation.
o • In modern letter writing, ‘yours Sincerely’ is often used for business letters, to editor also.
DRAFTING GUIDELINES
o Follow accepted conventions
o write as simply and Clearly as possible,
o Don’t use informal language like contractions slangs, colloquial language.
o Always stick to the word limit.

shortage of cold drinking water outlets in the school. Write a letter to the Principal of the school

Through the columns of your esteemed newspaper, I’m compelled to share my deep annoyance at the open
violation of COVID protocols by Delhiites.
The steep spike in cases has led to teeming wards in public and private hospitals, making it impossible for
the govt to manage the situation, but the callous behaviour of common man on roads is outrageous. Masks
and social distancing is practised only in namesake. Local markets, religious hubs and political rallies are
increasing becoming the red zones which might multiply the existing numbers in the next 24 hours. But who
cares?
It’s imperative that Govt’s appeal to get vaccinated must be given top priority. People must refrain from
holding family gatherings, attending social events or even shopping in person. Utilities and provisions must
be home-delivered and life to be put on the basic gear to ensure survival.
Only a united and a conscientious effort can save the humanity from the severity of this contagion.
Hope my letter finds a suitable place on your editorial page to seek the attention of general public and
concerned authorities.

Now-a-days, prices are rising at a compounded speed. It was not so in earlier times when things were very

the income levels remain the same. The sharp rises in prices have crushed the common man. He cannot bear
even the daily expenses of his family. This is giving rise to disappointments and dejections in their life.
There is even more pressure on the families which are below the poverty line. Corruption is also on the rise,
to avoid a financial crisis, people are turning towards bribery which is the root cause of all evils. The
society is taking a bad turn only because of inflation.
 
It is high time that the concerned authorities should wake up to this social cause. I rest my case with the
hope that it would find a place in your newspaper and act as an eye-opener for the authorities.
