WHAT IS PUNCTUATION?
Punctuation is a system of inserting points
as aids to understand written text whether
to stop read silently or aloud.

THE COMMA (,)
useful in a sentence when :
✘ Pause before proceeding
✘ Add a phrase that does not contain any new subject
✘ Separate items on a list
✘ Use more than one adjective (a describing word, like beautiful)

1.The boy, who knew that his mother was about to arrive,
ran quickly towards the opening door.
2.The shoping trolley was loaded high with bottles of
beer, fruit, vegetables, toilet rolls, cereals and cartons of

useful in sentence when:
• To end a sentence
• To indicate where a section of a
quotation has been omitted when it is
not relevant to the text
• to indicate the abbreviation of
commonly used words
Example:

“Exclamation Mark (!)”
Useful in sentence when:
✘ indicates strong feeling
within a
sentence.
✘ to indicate a sharp
instruction
✘ to indicate humour

Question Mark (?)
✘ indicates that a sentence is asking a
question.
Example:
✘ : What are you doing ?.

Semi-colon (;)
As a general rule, the semi-colon is ✘ to assemble detailed lists.

Colon (:)
• It is most commonly used when listing.

Quotation or Speech Marks (“….”)
Quotation or speech marks are used to:
1.To mark out speech
2.When quoting someone else's speech
For example:

My grandpa said, "Share your chocolates with your friends."

"George, don't do that!"

"Will you get your books out please?” said Mrs Jones, the teacher, “and quieten down!"

It is worth noting that to report an event back does not require speech or quotation marks.

For example:

Mrs Jones told the pupils to take out their books and to quieten down.

Hyphen (-)
The hyphen is used to link words together.
For example:
✘ sub-part
✘ eighteenth-century people
✘ week-end
✘ second-class post
✘ gender-neutral
✘ non-verbal

Brackets ( )
Brackets always come in pairs ( ) and are used to make an
aside, or a point which is not part of the main flow of a
sentence. If you remove the words between the brackets,
the sentence should still make sense.

For example:
“The strategy (or strategies) chosen to meet the objectives
may need to change as the intervention continues.”

Square Brackets […]
A different set of square brackets [ ] can be used:
(-)to abbreviate lengthy quotations
(-)to correct the tense of a quotation to suit the tense of
your own sentence
(-)to add your own words to sections of an abbreviated
quotation.

For example, if you were writing about class structure, you might
use the following:
According to Giddens, (1997, p.243) the “[o]wnership of wealth,
together with occupation, are thechief basis of class differences”.

Note, that when using square brackets, only the occasional letter
as in the above example or the occasional word (for example
when changing the tense of the sentence) would be placed in
square brackets in this way.

Slash (/)
Many people use the slash instead of or, and
etc., but this is not always helpful to the
reader. There is, however, a modern
convention in gender-neutral writing to use
‘s/he’.

IN COVER
LETTER
Bulleted Lists

Use a capital letter to begin each bulleted item. You can


use a period after the last bulleted item in the list if you
like. For example, if you want to write, “I have completed
the following functions as marketing director: increased
home equity loans, created a self-mail brochure on
certificate of deposits and increased membership by 25
percent," you would use a separate bullet for each item
and capitalize each of the three duties. 
Semicolons

Semicolons are tricky to use correctly, so you might want


to avoid them altogether. If you want to use them, you
would do so like this: “I have completed the following
functions as marketing director: I increased home equity
loans; I created a self-mail brochure on certificates of
deposit; and I increased membership by 25 percent.”
Commas

Choose whether you want to use a serial comma or not. A


serial comma requires a comma to separate each item you
list and using one before the word, “and.” For example,
you would write, “I can write press releases, sales letters,
and annual reports.” If you don’t want to use a serial
comma, you would not put the comma after “letters” and
before “and.”
Parentheses and Exclamation Marks

Although it is not wrong to use parentheses or exclamation


marks, it is better to avoid them in your cover letter. You
might be burying an important thought by putting it in
parentheses, or the sentence might be more cumbersome
to read. It would be better to rewrite your thought without
using parentheses.
Contractions

If contractions are used regularly in the job description,


employer branding, or company blogs, then it is probably
okay to use them in a cover letter. But on the side of
caution and don’t overuse them. You always want to look
professional and in control of the language you use to
express yourself. If in doubt, avoid using contractions.
