1. Begin with a greeting

If your relationship with the reader is formal, use


their family name:
Dear Mr
Ms Price – in professional context
Mrs Price

If you don’t know the name of the person you are


writing to, use: 
Dear Sir/Madam
To whom it may concern
 
Thank the recipient

• Thank you for your prompt reply.


• Thank you for getting back to me.
• Thank you for contacting ABC Company.
• Thank you for your mail last week.
• It was nice talking to you on the phone earlier.
State your purpose

• I am writing in connection with...


• I am writing to enquire about...
• I am writing in reference to...
• As discussed I am sending you...
• I would like to inform you about...
• Could you please let me know if...

• I would like to confirm...
Add your closing remarks

• Make your purpose clear
• Keep your sentences short and clear
• Use complete sentences and polite phrasing
