INTRODUCTION
 This project deals with the conference management system. A
conference management system is web-based software that
supports the organization of conferences especially scientific
conferences.
 It constitutes of the basic management tools that involve planning,
organising, leading and control.
 As a student or a members are required to view detail of
conference is going to conduct in various place or institute and to
attend the conference to gain knowledge from the conference.
 Administrator will add the detail about the various conferences
available to attend for various department student.
 The process of conference organization consists of many phases,
such as call for papers, paper submission, paper review, review
discussion, and author notification
 It helps the program chair the conference organizers , the authors ,

and the reviewers in their respective activities.
 After the reviewing phase, the admin makes the final decision on
which submissions to accept. The authors of the accepted submission
must then submit the full paper,if only the abstracts were submitted, or
resubmit the paper making small corrections the reviewers suggested.
 Around this time, registration for the conference is open,with options

for early bird and standard rates, workshops,meals, etc.
Objective of the project
 1. The primary objective of this project is to define,
implement and build a system which offers support for the
conference management.
 2. The system should be able to offer the opportunity to
manage conferences, submissions, reviewers, available
sessions, available tracks or the schedule of the
conference.
 3. It speed communication with attendee.
 4. Allow the sponsor to register in the system online.
 5. Easy to check back for any information.
PROJECT SCOPES
 1. The scope of this conference management system is
to select the best candidate from the list of candidates
based on their performance in the process.
 2. It provides such a platform for all researchers,

enterprisers and students to exchange new ideas and
application experiences face to face.
 3. The conference will bring together leading academic

scientists, researchers and scholars in the domain of
interest from around the world.
SOFTWARE REQUIREMENTS
 1. OPERATING SYSTEM: Windows 7 or above

 2. Language: java 7 Runtime Environment or better
 3. Front End: NetBeans 7.3.1
 4. Back End: MySQL server 5.0
HARDWARE REQUIREMENTS
 1. PROCESSOR: Pentium IV or better

 2. RAM: 128 MB or more
 3. HARD DISK: 20 GB
 4. DISPLAY MONITOR: Any
 5. Keyboard: 122 keys
SPECIFICATION
 1. The Project will consist of 3 parts, Admin (Organizer) ,
the Authors , & the Attendees.
 2. The Admin will add a particular event, along with the
admin who will conduct the event and will also provide
complete details and schedule for that event.
 3. The Admin will list the names of participants and
Attendees.
 4. The User Will be able to check the upcoming events
and register if he/she desires.
 5. All the information regarding a particular event,
including the participants and author will be saved in a
database.

FUTURE ENHANCHMENT
 In the Conference Management Online System, there is a need
for future enhancement in order for the system to be user
friendly. This is important because it will influence the
effectiveness of certain part of the system for example the
Conference Management Online System does not have an edit
function for any function in the system. Adding the edit function
will give a feel of user friendly as this would allow the user to be
able to edit any information about him and the conference.
Other areas that need to be given attention are:
• Profile page (Author, participant, Event Manager)
• Call for papers
• Important dates
CONCLUSIONS
 In conclusion, this Conference Management Online System provides a lot
benefits as it allow Event Manager to organize the submission of conference
papers submitted by the Authors. The system hopefully would provide the
necessary functions to the Event Manager in order to manage the event
effectively, efficiently and thus knowing that the system will function
smoothly. Besides that, it would be nice and interesting if users found the
procedures used in online conference paper submission and review to be
user-friendly and flexible. In addition, this system will also help the Event
Manager of the conference to publish and alert the authors of the important
dates of submission.This will provide a better understanding between the
authors and event manager regarding the conference in order to effectively
manage the conference. The Conference Management Online System is
expected to be used in and outside
 Thus the mini project for conference management system has been
successfully executed and codes are generated.
