ELECTRONIC DATA PROCESSING

• Electronic data processing (EDP),it is the


process of collecting data and processing the
collected data , to produce meaningful
information by using computers, processing
software and standard database tools.
PURPOSE OF EDP
The prime purposes of EDP are :
• Faster speed and access to data: The information
stored can be instantly retrieved through the internet
or an internal network
• Generation of Documents: Reports or invoices can be
automatically generated through an EDP system
• Reduce costs: Once EDP is developed and applied it
can minimize the cost of managing data
• Reduced labour: In manual data entry, there is always
the issue of repeated entries; with EDP such mistakes
are reduced or completely eliminated.
STAGES OF PROCESSING
There are four main stages of EDP

1.Collection

2.Processing

3. Output

4.Storage
1. Collection
• Collection or input is the first and crucial
stage; as it ensures clear and safe collection of
data .
• This stage involves the process of
transforming data into a form that a computer
understands
2. Processing
• After data is collected and converted into an
appropriate form ; it is then processed.

• Processing involves different arithmetic and


logical operations; to process data means to
do the classifying, sorting, summarizing,
comparing and other manipulation techniques
that convert data into useful data.
3. Output
• After data being processed ; it then gets
converted
• This stage basically converts the information
into the right form
• This stage shapes information in a readable
format ; readable by humans
4. Storage
• The last stage ; The storage is the stage that
contains the processed data and instructions
that must be followed while data processing.
• This stage also helps in the retrieval of
information when necessary
EDP In Business
• In present time , every business is inclusive of
information , no business is without information.
To progress the business , data processing should
be of main concern , as it carries all the task of
presenting information digitally .
• In business large amount of data has to be
transformed into meaningful output , that is
possible only through EDP , as it makes it easier in
doing so.
EDP : Significance In Business
RECORD KEEPING : Every business has records
of its sales, documents, clients etc. Keeping
these records is a complex process. EDP has
simplified this process through storage files and
disks ; that store large amount of information
and retrieve it when needed again .

• INFORMATION : For a successful business ,
readily available information and sharing of
information , are to be fast enough to held
meetings and dealings . This is possible when
a company or organisation has stored
information and a mean to progress it to the
concerned sources .
• EDP makes it quite easy to share and receive
data in a complete way .

• SERVICES : Customer services plays an
important role in any business , they should
be provided with required data . EDP has
made it easier to provide customers with the
data require , especially in online business and
customer care services field .

• DATABASE SYSTEM : Every business company
has reliable resources of data and information.
• The preservation of these resources helps in
business progression . EDP assists in
maintaining database system of business

• DATA PROCESSING SPEED : In current days ,
business companies process large volumes of
information daily , which is directly related to
the progress of that company’s sales ,
especially online marketing . EDP processes
the data to the desired destiny with in few
seconds .

• ACCURACY : EDP generates and sends 100%
accurate data , if entered correct and clear .
This is the main difference between computer
and human-being . Accurate helps in
satisfaction of customer and gross
calculations. EDP is quite effective than any
other method of processing .

producing reports and documents that help in
meetings , dealings and decision-making
process
• EFFICIENT COMMUNICATION : Reports ,
documents and concerned materials such as ,
bills , invoices , statements can be generated
and send swiftly . Also conversations can take
place online .

• BUSINESS EXPANSION : EDP surely assists in
expanding the scope of business . The
customers can review the products of the
company or get assisted by the company and
the desired information could be displayed .
