• Scanning to file
Telecommuting
•This is defined as working at
home or from another location
by using a computer that is
electronically linked to a
central place of employment
Teleconferencing
• This is a meeting between two or more
people in different locations through the
use of electronic communication
technology. A teleconference can be either
Audio conference
Video conference
Social networks and social media
• Social Media is an instrument of communication
which allows users to create, share and exchange
content and post comments on user-generated
content. Examples of social media technologies
include Internet Forums, weblogs (blogs) and
podcasts.
• Social media websites include sites for social
networking such as Facebook and sites for Social
Photo and Video Sharing such as Flickr and Youtube.
The internet
•The internet is the largest
existing computer network,
linking individual computers,
and networks throughout the
world via telephone lines,
cables and satellites
Facsimile

converted to a code that is transmitted via
telephone lines or the internet.
• It enables documents to be sent faster, and
usually more economically, than by mail or
courier service.
• It is also called a FAX.
Scan to mail & Scan to file
• Software can control the scanner and scanner
drivers can offer the options scan to mail and
scan to file.
• Scan to mail allows you to email documents
directly from the scanner
• Scan to file enables you to save the document
on a storage medium such as a hard disk drive
and flash drive
Selection of Communication Media
• Urgency
• Genre
• Level of confidentiality
• Location and time zone
• Cost
• Efficiency
• Effectiveness
Urgency
•How quick must the message
be delivered?
•Is the recipient expecting it
right away?
Genre
•What is the format of the material
to be presented, i.e. is the
information in an oral format, in an
audible format such as a recording,
in a written format, or in a visual
format such as graphics
Level of confidentiality
• How sensitive is the information being
transmitted?
• Has the recipient requested that the
information be kept confidential?
• Will the disclosure of all or part of the
information diminish the value of the
information being transmitted?
• Confidentiality denotes that a matter should be
kept secret, intimate, private or restricted
Location and time zone
• What is the local time at the location
of the sender?
• What is the local time at the
destination of the recipient?
• Is the recipient still likely to be still in
the office or even awake?
Cost
• What will each of the electronic
communication media cost?
• Which is the least expensive?
• Which is the most expensive – e.g. will
you use a courier such as DHL or Fedex to
deliver a casual letter to a friend?
Efficiency
How much effort is required to:
Get a document in the format required by a
particular medium;
Initiate the connection required;
Transmit the document?
• Efficiency is a ratio that measures output
in relation to input. If a method takes more
effort than it is really worth then it may make
sense to select another medium.
Effectiveness
• Will the selected method allow for the
transmission to be done within the expected
time (urgency) and time zone while
maintaining the required level of
confidentiality?
• Will it use the lowest cost method that is also
the most efficient of the options available
• Effectiveness is a measure of how well the
desired or intended result is produced.
