Be brief and say in fewest possible words.

- Avoid wordy expressions


- Include only relevant material
- Avoid repetition

3. Clarity
The message must be put in simple terms
to ensure clarity.
- Words must mean the same thing to the receiver
as they do to the sender.
- Use precise, concrete, familiar and simple words.

4. Correctness
Accuracy of facts, figures and words .

5. Concreteness
Being specific, definite and vivid rather
than vague and general .

6. Consideration
Preparing the message with the intended
receiver in mind.
- Focus on ‘you’ instead of ‘I’ or ‘We’.
- Show empathy.
- Avoid plain words like ‘no’, ‘sorry’, ‘regret’ or
‘disagree’.
