Definition
A presentation is a communication among a group of individuals one of whom is speaking aloud at any given time.

General Purposes for Presentations


To inform To share information by defining, describing, or explaining a thing, person, place, concept, process, or function. To persuade To change or reinforce a listeners attitude, belief, value, or behavior. To entertain To help an audience have a good time by getting listeners to relax, smile, and laugh.

Audience Analysis
You are not the most important part of your presentation; your audience is. If you are not interested in them, why should they be interested in you and what you have to say.

Audience analysis is the process of examining information about the listeners whom you expect to hear your speech.
The audience should be the central focus of the presentation. Audience vary, so find out everything you can about them. An effective presenter is audience-centered.

A-U-D-I-E-N-C-E
A Analysis- Who are they ? How many will be there? U Understanding- What is the Knowledge of the subject? D I E N Demographics- What is their age, sex, educational background? Interest- Why are they there? Who asked them to be there? Environment- Where will I stand? Can they all see and hear me? Needs- What are their needs? What are your needs as the speaker?

C Customized- What specific needs do you need to address? E Expectations What do they expect to learn and hear from you?

Preparation
The single best way to have a successful presentation is to prepare properly. Nothing will help you feel more confident than having a carefully planned, thoughtfully written and well rehearsed presentation. The first step towards preparation is RESEARCH.

Research
A successful presentation always begins with careful background research. This requires:

Allocate sufficient time for research and explore as many sources as possible ranging from encyclopedic clips, press cuttings to the internet. A good starting point for research is to review one of the leading books on the subject of your presentation, and to look at its bibliography. From there you should be able to find a large amount of relevant reference material.

Newspapers or magazine articles Management reports, government papers, and professional journals Friends, family, and other personal contacts. Videos, Cable Net , Extranet as well as the Internet. Encyclopedia, Atlas, Almanacs

Organizing
One of the main reasons people give poor speeches or presentations, is an inability to organize thoughts in to a clear and cohesive style. The two parts of your presentation that will be remembered most clearly are the introduction and conclusion. Capture the attention by an effective presentation. In general, your presentation will consist of an opening, a main body , and


a closing. The opening will usually consist of two slides:(1) a title slide and (2) an overview/general idea of slide. The main body of your presentation will have many slides necessary to make and support the points you are trying to make Like the opening, the closing will typically consist of two or perhaps three slides: (1) a summary or recap slide,

(2) an action (e.g., ask for the order or propose a next step) slide, and
(3) a contact slide (i.e., a slide indicating how your audience can contact you).

Always aim to finish a presentation (no matter what the subject) on a positive note. Make the audience feel that you and they have shared in a worthwhile experience. In the old show business adage, Always leave them wanting more

Answering Questions
Do anticipate question. Generate a list of every possible question your audience might ask you Dont let few people dominate the scene. Provide opportunity to all sections of your audience to ask you questions. Dont let the questioner give a speech. Listen to the question carefully and give answer precisely (not more than one minute. Be sincere to your audience. Dont guess and dont bluff. End the question & answer session on a strong note. Do assist a nervous questioner. Dont send the questioner a negative non-verbal message. Dont attack the questioner. Dont limit your eye contact to the questioner.
