The software used in Project Management and Project life cycle

Most softwares nowadays break up the project life cycle in 4 stages

Project initiation

The softwares help in the above stages of the initiation stage of the life cycle of project

Project Planning
After defining the project and appointing the project team, you're ready to enter the detailed Project Planning phase. This involves creating a suite of planning documents to help guide the team throughout the project delivery. The Planning Phase involves completing the following 10 key steps:

Project Execution

Project Closure

Project Closure involves releasing the final deliverables to the customer, handing over project documentation to the business, terminating supplier contracts, releasing project resources and communicating project closure to all stakeholders. The last remaining step is to undertake a Post Implementation Review to identify the level of project success and note any lessons learned for future projects.

Impacts of Software on project management.

Issue
In computing, the term issue is a unit of work to accomplish an improvement in a system. An issue could be a bug, a requested feature, task, missing documentation, and etc. For example, OpenOffice.org used to call their modified version of BugZilla Issue Zilla. As of September 2010, they call their system Issue Tracker. Problems occur from time to time and fixing them in a timely fashion is essential to achieve correctness of a system and avoid delayed deliveries of products.

severity levels
Critical High The bug or issue affects a crucial part of a system, and must be fixed in order for it to resume normal operation. Medium The bug or issue affects a minor part of a system, but has some impact on its operation. This severity level is assigned when a non-central requirement of a system is affected. Low The bug or issue affects a minor part of a system, and has very little impact on its operation. This severity level is assigned when a non-central requirement of a system (and with lower importance) is affected.

Cosmetic
The system works correctly, but the appearance does not match the expected one. For example: wrong colors, too much or too little spacing between contents, incorrect font sizes, typos, etc. This is the lowest severity issue. In many software companies, issues are often investigated by Quality Assurance Analysts when they verify a system for correctness, and then assigned to the developer(s) that are responsible for resolving them. They can also be assigned by system users during the User Acceptance Testing (UAT) phase.

Project Scheduling case study

AdHoc Resource Planner and enTouch.schedule reduce planning time by as much as 80%

The Problem
It used to take this industrial manufacturer up to 80 hours a month to modify and manage the job schedule. The scheduling manager would print out a copy of the spreadsheet and mock up changes for an administrative assistant to make the actual changes. This would take several iterations and constant updates. In addition, there was no way to easily insert a new job into the schedule when the current job would run long, or add a new job to the schedule. The spreadsheet approach had become cumbersome and difficult to manage. A new way to manage the schedule had to be found.

The Analysis
The customers bottom line depended on the timely and efficient scheduling of heavy equipment trucks and operating crews. The widely separated job locations and extended planning windows were significantly affecting job costs and profit margins. Jobs were often moved from one truck to another truck, which caused a bull whip effect on the overall schedule. For example, if a truck and crew were already in Illinois when a new job in Illinois hit the queue, it would be beneficial to reassign the Illinois truck rather than move a truck from Florida to Illinois or send the Illinois truck out-of-state as originally planned. The constantly changing schedule due to new business, varying skill level of crews, and how the trucks were equipped placed it clearly on the critical path.

The Solution
By implementing AdHoc Systems Resource Planner in conjunction with our enTouch.schedule framework, PSC was able to reduce the monthly schedule management time from 80 hours to less than 16 hours about 20% of the original effort The drag-and-drop user interface of the Resource Planner was used to move and insert jobs into the current job schedule as they occurred. enTouch.schedule was then called from the Resource Planner to readjust and update the schedule, which was redisplayed in the Resource Planner. Using the Resource Planner, the scheduling manager can now print a variety of schedules by truck, type of job, availability of crew, or by customer. The user interface and the use of colors to differentiate between the various types of jobs for easier readability make the management of the job schedule more intuitive.

How to Choose ProjectManagement Software

When the project is sufficiently complex, we can use software for a wide variety of tasks, including storing and retrieving important information; analyzing and updating that information; and preparing presentations and reports that describe the information and results of the analyses.
