Open a Blank Project

Set Project Calendar ------ Project  Change working Time  set Calendar  Add
exception if any  Details  Recurrence  Set

Enter Tasks ----- Simple Enter Tasks

Enter recurring Task – Task  Recurring Task – add task name, recurrent frequency,
and start date – end date

Set Task relationships ----- Select Tasks & link them for FS / mention predecessor

Enter Tasks Duration


Enter Milestone ------ Enter when you want to add milestone  Task  Milestone

Phase wise Tasks are listed now like.. P1 – 13 days, P2- 43 days etc. To get total
Project duration on the Task

Click on first Row  Task  Summary

End Deadline ------ Select the task  Information  Advanced  Deadline – Mention
date

Set Resources - ------ View In Resource View Group Resource Sheet  Enter
Resource  Save Set category, Capacity, Cost, etc

Set Resource calendar ------ Project  Change working Time  Select resource 
select work weeks  Details – set working / non working days (If part time)

Set Task Calendar ------

Project  Change working Time  Create new Calendar – Name the Calendar 
Select work week  Details – apply details on which particular day a Task can be
performed and task cannot be performed. i.e. Monday/ Tuesday non working day set.

Apply Task calendar to the Task -----

Double click on particular Task  Select Advanced  Select Calendar  Apply the
calendar you just created  Ok
Allocate Resource ------ Select Task for which you want to assign resource 
Resource Tab  In Assignment Groups Assign Resource  Select Resources 
Assign

Project Summary ----- Project  Project information  Statistics (You will know overall
schedule & cost of the project)
Set Baseline

Project  Set Baseline – select for entire project & Click Ok (Check baseline has
inserted date just now)

View Project’s Critical path ----- View  More views  Tracking gantt charts  Apply
Critical tasks will be in red

Task progress on a specific Date

Project  Update Project  Mention date

Enter Task completion percentage ----- Select Task  Mention % of completion

Inactivate Task ----- Select Task  Right click  Select Inactivate (Sometime used to
cut the cost of the project without affecting Risk
Just to show summary Tasks / Phase ----- View  Outline  Select Level 1/ 2

Examine Resource over allocation ----- View  Resource usage  Select time scale
so that to know daily over allocation

Resource over allocation

Solution

1. Reschedule on available date –(Which will extend the schedule overall)

2. Replace the resource with other resource


Select the Task  Assign Resource  Select over allocated Resource 
Replace  Select other Resource (Also consider project cost)  Ok

3. Resource leveling
Resource  In Level Groups select Leveling options  Level all
(It will automatically calculate and solve the problem)

Identify Tasks those are slipped ----- View  More views  Tracking Gantt chart 
Select filter  More Filter  Select Slipping Tasks  Apply
Select Filter  Late Task / Completed tasks / In completed tasks / Critical tasks / Tasks
with over budget / Milestones / coming milestones etc

Identify Cost variance through Tasks -----

View  Task Sheet Table  Cost (This will show baseline, Actual, Variance in
Cost)

Identify Cost Variance through Resources -----

View  Resource Sheet  Table  Cost (This will show baseline, Actual, Variance in
Cost)

Identify Schedule Variance through Tasks

View  Task Sheet  Table  Variance (This will show Baseline Start Finish & Actual
Start Finish & Variance Start Finish)

To get Earned Value analysis

CV / SV / CPI / SPI

Reports  Cost  Earned Value

Reports  Cost  Resource cost overview / Task cost overview / cash flow / Cost
overrun (Different reports)

Reports  Dash boards  Project Overview (Shows Due milestones, Late tasks, %
complete of the project)

Reports  Dash boards  Cost overview (shows Baseline, Remaining cost, If %


complete line is above Cumulative cost then under budget)

Reports  Dash boards  Work overview (Shows total hours of work and completed
hours of work)

Reports  Resource  Resource overview & Over allocated resources


Check Tasks’ Predecessor, Driving Predecessor & Successor, Driving
successors ------

View  Gantt chart  Format  Task Path  Select Predecessor / Driving

Add Lags & Leads in Tasks ------

For Lag

Double click on the Task  Predecessor  Lag – Apply the Lag time you want to apply

For Lead

Double click on the Task  Predecessor  Lag – Apply the Lag time in negative (Here
negative value is for Lead time)

Change Relationship among Tasks ------

Double click on the Task  Predecessor  Select Type  Change the relationship
(FS/SS/FF etc)

Set Resource Constraints ------

Double click on the Task  Advanced  Constraint Type  Select the type  Ok

Start No Earlier Than – i.e. Task cannot start before that Date

Start No Later Than – i.e. Task can be late but NOT more than particular Date

As soon as possible – i.e. default (FS relation)

As late as possible – i.e. default

Must Start on – i.e. Must start on mentioned date

Must Finish on – i.e. Must Finish on mentioned date


Split the Task -------

Sometimes it happens that particular tasks get interrupted due to some reasons (i.e.
Property survey due to riots) so at that time Task has to be split

By doing so Resource may be over allocated as Resources may have other


engagements too. Over allocation can be solved as explained.

Select the Task  Task tab  Split – and set when you want to split the task

Set Resource Availability over the period of Time ------

Property surveyors 10 in Jan, 15 in February, 12 in March likewise.

View  Resource Sheet (This will give view of all resources)

Select those Category Resources (Double click on that Resource)  General 


Resource Availability – Set Resource capacity calendar wise (January 1000%, February
1500% likewise)  Ok

Set multiple Pay rates for the Resource for different Tasks / works

Property Data entry operators normally do data entry work at std. rate but if they are
assigned for duplicate solve work their pay rate can be different.

Content editors’ work and project editors work is different so different pay scale will be
given to the same resource.

View  Resource Sheet  Select the resource (Double click on the resource)  Select
Cost – (You will get 5 options so up to 5 pay rates can be set for the resource)  Ok

Assign different pay rate for Different Task

View Task Usage – Select particular Task  Select Format Tab  Select Information
 In General Tab – Select Cost Rate Table (From A,B,C,D,E)  Ok
Set different pay rates for a single Resource (Initial & Increment) Mainly used for
HR purpose for salary set during period of time.

Resource will work at 50/hr from Jan to May, From June 1st He will charge 25% more

Property Work for 6 months

View  Resource Sheet  Select the resource (Double click on the resource) / Right
click and select Information  Select cost  Select Effective Date and select NEW std.
rate (Just mention 25% so it will take 25% increment in default rate)

Delaying the Start of Assignments

Sometimes more than one resource is assigned for a work, but not all of them are
required at starting of the work. There can be a delay for one resource to assigned task.

4 Members are working on a work package. And 1 of them is assigned to check the
quality of the work package so he is not required to start working from initial stage for
that work package.

(i.e. a Task Duration is from 1st Jan 2016 to 31st Jan 2016 but resource A’s work
will start from 16th Jan 2016 so set Start date as 16th Jan 2016)

View  Task Usage  Select task with multiple Resources (HR) – Right click  Select
Information  General tab – Start Date – Set start date when you want this resource to
start work on  Ok

Check the Resource Availability

View  Resource Usage  Select Format Tab  Select Remaining availability
