I trust this note finds you well. I am writing to highlight a critical concern
regarding the recording of daily physical attendance for workshop
employees, a matter we previously discussed in our communication with
reference number 123 dated 12.12.2023.

Initially, the responsibility of capturing data related to employee attendance


rested with the time office. However, following a downsizing, this
responsibility was transferred to the respective shop offices. Regrettably, it
has come to our attention that the shop offices are not consistently and
promptly feeding attendance data into the system.

This irregularity has led to the inadvertent overpayment of incentive


amounts to employees, prompting an IT review at the center. Subsequently,
overpayments have been recovered from affected employees, resulting in
unnecessary unrest among the workforce.

In response to this challenge, the IT Centre has developed a Web-Based


Online Application for recording daily physical attendance. The system
utilizes Employee Gate Attendance capture through a Biometric reader,
ensuring precise and efficient data collection. Moreover, the application
enables shop offices to easily mark employee physical absences.

Designed with user-friendliness in mind, the system boasts a responsive


interface, allowing data capture even through mobile phones. The IT Centre
has invested considerable time and resources in creating a seamless solution
to address the hurdles faced in attendance recording.

To facilitate a smooth transition and ensure effective utilization of the


system, the IT Centre has organized necessary training sessions, to be
conducted in due course.

We hereby submit this proposal for your approval. Upon your endorsement,
the Online Daily Physical Attendance System will be poised for
implementation, promising a significant enhancement in the accuracy and
timeliness of attendance data capture.

Your prompt attention to this matter is highly appreciated. We eagerly


anticipate receiving your approval to proceed with the implementation of
this proposed system.
