Hints and Tips to


reduce the
spool file size
When you send a document to print a number of processes are started to get
the print job from the PC to the printer, one of the major processes is called
‘Spooling’. This is the process of translating your file into a language the
printer can understand ensuring the file is printed as you see it on the screen.
During this translation the spool file that is created can sometimes become
extremely large, resulting in a delay to the file being printed, a large spool file
can also stop other people from printing as the printer can only deal with one
spool file at a time. A large file may be generated if the document has a large
number of pages, if the document is graphically intense, has a number of
different fonts or is a complex PDF file. Here we try to offer advice on how to
cut down the size of the spool file to help speed up the printing process.

Break up your Document


Within in most programs, you can alter the number of pages you send to print
at any time, for example if you have a 20 page document break this down in to
4, 5 page print jobs. From the Print menu, Select Print Custom Range, break
down the document to print the specific pages for example enter 1-5, when
you print the document again enter 6-10 and so on, until you have printed the
number of pages you require.

When printing a PDF, Click into the Pages box, and enter the page numbers
you require, then Select Print.
Disable advanced printing features - Microsoft Office Programs
You can disable advanced printing features which will change the way the
spool file is created, therefore, reducing the size of the file.

When you are ready to print your document, Select File, Print and Printer
Properties

On the Print Screen, choose the Detailed Settings Tab, then using the scroll
bar, find and Select PS Options
Click the drop down box for Advanced Printing Features and Select Disabled
and then Select OK

Save as PDF file


By saving your file as a PDF this may also reduce the size of the spool file.
When saving your file, chose Save As.

Click on the drop down box beside Save as Type and Select PDF.
Further options will appear, check the box to Open file after publishing, and
Select Save this will open the PDF and you can then print the document from
the PDF.

PDF advanced printing features


Within the PDF printing options you are able to print the file as an image which
can also reduce the size of the spool file. Select Advanced, then Select Print
as Image, Select OK, then Select Print
