Chapter 2: Introduction of the Internship

2.1 About the Internship

The internship at Accredian provided an exceptional opportunity to gain exposure to real-world data operations,
automation, CRM systems, and data-driven decision-making processes in the EdTech sector. The internship was
carried out over a six-month period, starting on 23rd December 2024 and is scheduled to end on 23rd July 2025.

During this internship, I was assigned to the Data Operations and Automation team, where I was actively
involved in maintaining data integrity, improving process efficiency, and automating recurring tasks related to
admissions and team performance analysis. The projects undertaken covered a wide array of domains including
data analysis, workflow automation, CRM integration, and dashboard creation using Power BI.

The internship focused on hands-on execution, applying knowledge of programming logic, data analytics, and
business processes to solve internal problems. The emphasis on ownership and outcome-based projects allowed
me to work directly on live tasks that impacted the organization’s daily operations and strategic decision-making.

This experience gave me the opportunity to work with a multi-disciplinary team consisting of data analysts,
operations managers, business consultants, and technical leads. I was also able to interact closely with internal
tools like LeadSquared CRM, Tata Dialer, and Google Sheets automation, gaining both technical and business
perspectives.

2.2 Objectives of the Internship

The internship was undertaken with the following key objectives:

• To understand and enhance the admission workflow through automation tools and data validation
mechanisms.
• To improve operational efficiency by building automated sheets that calculate incentives for different
teams based on real-time data.
• To create and maintain dashboards for daily, weekly, and monthly performance metrics using tools like
Power BI.
• To understand the practical application of CRM systems like LeadSquared and contribute to
automation within it.
• To participate in the development of AI-based tools, specifically an AI-powered pitch analyzer aimed
at improving sales call effectiveness.
• To gain insight into business analytics, and how operational metrics are tracked and used to optimize
decision-making.
• To work on data integrity and optimization, focusing on reducing manual errors and increasing process
transparency.
• To build soft skills and collaboration, such as working in a team, taking feedback, and managing
deliverables under deadlines.

These objectives aligned well with my academic knowledge and career aspirations, allowing me to bridge the gap
between classroom learning and professional skill application.

2.3 Roles and Responsibilities

During the internship, I was responsible for several tasks across domains such as data operations, analytics, CRM
automation, and internal tool development. My roles included both technical execution and process-level
understanding. Below are the main responsibilities I handled:

2.3.1 Data Automation and Validation

• Built automated sheets that pulled real-time student admission data from various payment portals and
CRM systems.
• Verified incoming data for inconsistencies and resolved mismatches through coordination with relevant
teams.
• Helped design structured templates for data recording to streamline student enrollment across different
programs.

2.3.2 Incentive Automation Projects

• Created dynamic incentive calculators for Sales Representatives by filtering and mapping their
enrollments.
• Built similar automation for Team Leaders (TLs), generating reports for their respective teams
automatically.
• Reduced manual workload significantly and improved transparency in incentive distribution.

2.3.3 Dashboard Development

• Designed and published Power BI dashboards for month-on-month performance reviews.


• Developed daily team performance dashboards, tracking FCDs (First Call Done) and enrollments per
team.
• Collaborated with stakeholders to define key metrics and visualization requirements.

2.3.4 CRM Automation and Lead Analysis

• Performed CLI changes and configured Tata Dialer settings to improve outreach flow.
• Integrated automation sequences in LeadSquared, enabling lead scoring, nurturing, and stage transitions.
• Analyzed weekly lead-to-conversion ratios, highlighting the most productive sources and agent behavior.

Chapter 3: Internship Activities

3.1 Task Description

During my internship at Accredian, I worked on a series of data-centric and automation-driven tasks. These
activities were designed not only to contribute directly to the organization’s operational goals but also to enhance
my practical skills in data management, business process automation, and analytics.

The key tasks undertaken include:

1. Automation of Admission Sheet

• Developed an integrated Google Sheet that collected and managed real-time admission data from different
sources including payment portals and CRM tools like LeadSquared.
• The data automation reduced manual data entry errors and improved data visibility across internal teams.
• The system parsed payment confirmations, mapped them to respective programs and sales representatives,
and ensured accurate allocation in the central admission records.

2. Automation of Reps’ Incentive Sheet

• Designed logic-based filtering and incentive calculation templates in Google Sheets.


• Each rep’s enrollments were filtered automatically from the admission master and matched with incentive
criteria.
• Created a one-click solution for generating monthly incentive reports, which was previously a time-
consuming manual task.

3. Creation of Power BI Dashboards (Monthly & Daily)

• Monthly Dashboard: Compiled month-on-month performance indicators, including leads generated,


FCD (First Call Done), enrollments, and conversion rates.
• Daily Dashboard: Captured real-time team performance data like daily enrollments, FCDs, and rep-
wise contributions.
• Used Power BI’s data visualization tools to generate dynamic charts and slicers, allowing managers to
analyze trends and KPIs easily.

4. Automation of Team Leader (TL) Incentive Sheet

• Extended the reps incentive automation logic to Team Leaders.


• Designed a hierarchy-based filtering system to track team-specific enrollments and automate TL
incentive reports.
• Reduced misalignment between team data and incentive claims through transparency.

5. AI-Powered Pitch Analyzer (Ongoing Project)

• Focus on transcription analysis, identifying pacing, filler words, clarity, and emotional tone.
• Contributed to planning UI for frontend feedback and organizing speaker-diarized transcriptions.
• Worked with WhisperX for diarization and emotion/pacing analysis modules for backend.

To successfully complete my internship tasks, I worked extensively with the following tools and platforms:

3.3 Technical Application

Each of the tasks involved significant hands-on application of technical concepts:

Data Automation

• Used Google Apps Script to connect spreadsheets with CRM APIs and trigger automated data pulls.
• Applied IF, FILTER, QUERY, and VLOOKUP logic for real-time incentive breakdowns.

Power BI Development

• Used Power BI’s data modeling features to create relationships between different tables (admissions,
reps, dates).
• Built custom DAX expressions to calculate dynamic metrics like:
o Conversion rate = (Enrollments ÷ Leads)
o Team performance comparisons
o Variance analysis against target KPIs

CRM Integration

• Created automation journeys in LeadSquared:


o Auto-tagging leads based on their source and program.
o Workflow to move leads to next stage on action (call made, form filled, payment done).
• Used Webhooks and APIs to sync data from LeadSquared to sheets.

• Used WhisperX for transcription and speaker diarization to separate team member and student.
• Implemented Python scripts to calculate:
o Pacing: Words per minute, pause duration
o Emotion detection: Using tone-based heuristic analysis
o Visualized the output in structured feedback.

CLI and Campaign Automation

• Made modifications in Tata Dialer CLI, such as agent routing and status code mapping.

bottlenecks.

3.4 Challenges Faced

Despite the structured nature of tasks, there were several real-world challenges encountered:

Data Consistency Across Sources

• Student data coming from different portals sometimes conflicted (misspelled names, ID mismatch,
duplicate entries).
• Solution: Added data validation layers using logic-based filters and duplicate checking mechanisms.

Dynamic Business Rules

• Incentive criteria kept changing based on new policies or exceptions.


• Solution: Made the automation modular, where rules could be toggled or updated without affecting the
entire sheet.

Power BI Data Refresh Issues

• Daily refreshes failed due to missing entries or column structure mismatch.


• Solution: Wrote preprocessing scripts to standardize Excel data before importing into Power BI.

Time Constraints

• Some projects like dashboards had tight deadlines.


• Managed by breaking down deliverables into micro-goals and updating status daily via Slack.

Technical Limitations in CRM

• Certain automation steps were not supported directly by LeadSquared (e.g., nested filters).
• Created intermediate logic flows using Google Sheets as a buffer automation layer.

Chapter 4: Contribution to the Organization

This chapter outlines the key contributions I made during my internship at Accredian. My work centered around
optimizing internal processes, automating manual tasks, building dashboards for business insights, and
contributing to AI-powered development initiatives. These contributions enhanced operational efficiency,
improved data visibility, and assisted in data-driven decision-making within the sales and CRM teams.

4.1 Streamlining and Automating Data Management

A. Admission Sheet Automation

Before:
The admission data was collected manually from various sources like payment gateways and CRM systems.
This resulted in:

• Data duplication
• Errors in allocation
• Delayed access to updated information

Contribution:

• Developed a dynamic admission tracker using Google Sheets and automation scripts.
• Integrated data from LeadSquared, Razorpay, and other portals using import functions and Google Apps
Scripts.
• Designed filters to categorize enrollments by program, batch, and rep.

Impact:

• Reduced manual errors by 90%


• Saved 3–4 hours/day previously spent on data entry
