QUESTION # 01 :
( i ) Why is effective communication necessary in business ?
· Avoids Confusion : Clear communication helps everyone understand
their work properly.
· Improves Teamwork : Employees can work better together when they
understand each other.
· Builds Good Relationships : Good communication creates trust
between workers, managers, and customers.
· Helps in Decision Making : Sharing correct information helps in
making smart business choices.
· Increases Productivity : When instructions are clear, work is done
faster and better.
( ii ) What do we mean by culture ?
Culture : means the way people’s background, habits, and beliefs affect
how they talk, listen, and behave in a business setting. It includes how
people greet, speak, write, and show respect at work.
. For example:
~ In Japan, people may bow and speak very politely.
~ In Western countries, people may speak more directly.
~ Some cultures like formal emails, while others are okay with casual
messages.
( iii ) Why is it important to understand the cultural values of a
particular group in business communication ?
1. To Avoid Misunderstandings : Different cultures have different
ways of speaking and behaving. Knowing them helps prevent confusion.
2. To Show Respect : Understanding someone’s culture shows that you
respect their beliefs and traditions.
3. To Build Good Relationships : People feel more comfortable when
you understand their values, which helps in teamwork and trust.
4.To Communicate Clearly : Cultural knowledge helps you send the
right message in the right way.
5. To Succeed in Global Business : If you work with people from other
countries, knowing their culture helps in doing better business.

( iv ) What do you mean by ethical concerns in business


communication ?
Ethical concerns : mean doing the right and honest thing when sharing
information at work. It includes telling the truth, respecting others,
keeping secrets safe, and not cheating or lying in messages.
· Honesty : Always give true and correct information.
· Respect : Use kind and respectful words while talking or writing.
· Privacy : Keep private or personal information safe.
· Fairness : Don’t hide facts or mislead people.
· Responsibility : Take care of what you say or write because it can
affect others.
( v ) Write five parts of a business letter.
Parts of a Business Letter:
1. Heading – This shows the sender's address and the date.
2. Receiver’s Address – The name and address of the person or
company you are writing to.
3. Salutation – A polite greeting like "Dear Sir/Madam" or "Dear Mr. Ali."
4. Body – The main part of the letter where you write your message
clearly and briefly.
5. Closing and Signature – A polite ending like "Yours sincerely"
followed by your name and signature.
( vi ) What is a refusal letter in business communication ?
Refusal letter : is a letter used in business to politely say "no" to a
request, offer, or proposal. It is written in a respectful and clear way so the
other person understands the reason for the refusal without feeling bad.
Example situations :
~ Saying no to a job application.
~ Refusing a business deal or request for credit.
~ Declining a service or product offer.
