Dear ECPC participant,

Welcome to the ECPC2020. We hope you are fine and ready for a new challenge. This file will guide
you through your trip to achieve your goals in ECPC. Please read it carefully and follow the instructions and

Basic definitions:

ECPC: Egyptian Collegiate Programming Contest, the Regional contest of Egypt, which qualifies teams to participate in
ACPC (Africa and Arab Collegiate Programming Championship).

Finals: ECPC final round, which will be held on 19th of November 2020, Arab Academy for Science, Technology & Martime
Transport, Abu-Keer campus, Alexandria

Qualifications: The official qualifier contest rounds, which will be held on 15th- 18th of November 2020 at the same
ECPC2020 Site. Local contests are also qualifiers.

Entity: Any tertiary educational institution that is uniquely registered on the ICPC system, and can be chosen as an option
in the field named (university / institute ) on the person profile on ICPC account (such as University, College, Faculty,
Academy, Institute, or any other postsecondary academic education type that have a collegiate program)

Non-Zero: For any official ICPC contest round, a team is counted as a Non-Zero team only if they solve at least one
problem correctly in the contest.

Leader: Student or coach from ACPC club or ICPC community, and represent their colleagues in the entity and act as a
communication channel between the ECPC board and their colleagues.

Participation:

For all teams from the same entity, teams will be promoted through the Qualifications to participate in ECPC2020 Finals,
only according to the following criteria:

1) The top 15% of the Non-Zero teams from each entity that participated in Qualifications.
2) Excellence slots (according to room availability at contest floor) as per the point earning system published to the
communities leaders.

Note:

Fractions will be rounded, which should allow at least one team from non-zero team/s to be promoted from each
entity (e.g., an entity with 1-9 non-zero team(s) will get 1 slot, 10-16 Non-Zero teams will get 2 slots, 17-23 non-zero
teams will get 3 slots, 24-29 non-zero teams will get 4 slots, 30-36 non-zero teams will get 5 slots, 37-43 non-zero
teams will get 6 slots, 44-49 non-zero teams will get 7 slots, 50-56 non-zero teams will get 8 slots, 57-63 non-zero
teams will get 9 slots, 64-69 non-zero teams will get 10 slots, and so on).

Fees, Accommodation, & Transportation:

1) Thanks to our sponsors who will cover the expenses of the both rounds this year (Qualifications and Finals), and
each team participating in one or both rounds (if promoted to finals), will pay only 150 LE only once (non-
refundable) as a proof of seriousness.
2) We have no official accommodation plans.
3) We have no transportation plans.

How to complete team registration:

2) Decide who will be the onsite coach - the focal person for all event related communications- and have him to

Eligibility:

1) It is very important to check participation and eligibility rules from this link The ICPC International Collegiate

2) For smooth verification process, please make sure that each member in the team has a complete profile with the
correct data, otherwise it will postpone the whole team’s acceptance till all profiles’ information completed or the
team may be canceled (all dates fields, T-shirt size, badge name, certificate name,... these fields will affect your
acceptance directly, or affect your good appearance like your costume or capital and small letters on your
certificate and contestant/coach ID)

Each participant must have an Official “proof of enrollment letter”. This could be "‫ "إثبات قيد‬or a letter signed from
his/her department head/dean and stamped by the entity official stamp, this letter may be directed to “whom it
may concern” or “ECPC committee”, and it could be per each participant, per each team’s members, or for all
participants from the same entity.
This letter must state the following four things:
1) Contestant full name as in the national ID or passport
2) State that the contestant is enrolled in a collegiate program for the academic year 2020/202
3) Year of birth
4) The year that the contestant joined the entity.
3) Exceptionally this year, will temporary accept the current year/previous years/total years College ID to verify the
teams data, with commitment from the team’s coach to provide the original enrollment letter/s for all his team
members participated in Qualifications whether the they promoted to the next up level or not so far before the
ACPC round, and the coach will sign a document states this commitment.
4) The coach must collect a soft copy of the enrollment letter/s for his team/s (or college ID as
mentioned before) in one PDF file and upload it maximum by Thursday 29th of October midnight to the following

Payment:

1) All payment must be done and sent to the ECPC committee maximum by Monday 26th of October.
2) Teams from entities listed in the below appendix A, will pay to their community leader (entities and leaders
contacts in appendix A)
3) Entities which not listed in the appendix A, those who doesn’t have a community leader, will pay the fees by a
deposit of 150 LE per each team (preferred to have someone collect fees from each team in the same entity and
pay it once) by Orange Cash to the number 01222169743 or Vodafone Cash to the number 01002169743
And submit a clear copy or screenshot of the payment receipt to using this form ECPC Receipts

Acceptance:

1) Accordingly, ECPC committee to review the eligibility of the team members using the documents provided
electronically by the coach as explained in the eligibility part of this guideline and comparing it with the data of the
ICPC profile for each contestant, Once eligibility is verified and payment is done, the team will be officially
accepted for the Qualifications on the ICPC system.

2) The deadline for teams’ acceptance is by Friday, 30th of October midnight, and no more teams accepted after this
date.

Penalties:

For each entity registered in the ECPC Qualifications having paid the registration fees and its teams are accepted
on the system, the penalty for each team not attending the on-site contest will be removing a qualified team from
being promoted to ECPC.

For example: Entity X,

Number of teams qualified to ECPC = 10,

Number of teams that did not show up to the on-site contest (ECPC Qualifications) = 2,

Number of teams promoted to ECPC contest from that entity = 8

We wish you all abide to the rules and attending the contest in order to avoid such penalties.

All teams MUST follow the below rules During the contest days:

1) Be safe, ECPC will apply all social distance and precautions protocols during the competition to insure people’s
safety, and please keep yourself safe all the time with safety procedures, and contact us immediately if you feel
any symptoms anytime.
2) All participants must have their original and valid National ID or Passport and show it to the contest premises to be
cross checked with the ICPC profile data.
3) The orientation session will be recorded, and after there will be an online Q&A session on zoom the week before
the contest, links for both will be sent on ECPC2020 Broadcasting Telegram Channel.
4) This week will announce the time table for all entities ( each entity in which day in the Qualifications days )
5) Team’s numbers, seats numbers, schedule, and many other important details will be sent through the ECPC2020
Broadcasting Telegram Channel.
6) Each team MUST have an onsite coach. If your registered coach won't be present at the event make sure you
arrange with someone who will, and send us an email to arrange for his/her participation to

7) The onsite registration booth will be only for coaches, contestants will go directly to the practice session, National
ID verification will be through the practice session by our volunteers, the contest ID and T-shirt will be found on
table for each team.

8) The coach must bring the original enrollment letter/s for his team/s (or college ID as mentioned before) and
provide it to the onsite registration panel.
9) All the teams participating in the Qualifications or ECPC2020 Finals MUST attend all the corresponding Practice &
Orientation & Q&A Sessions as per schedule for each day/round.
10) At any official round, contestants Must attend the whole contest time and are not allowed to leave the contest
floor early, otherwise the team will be disqualified immediately.
11) On the contest floor, only food, water, pens/pencils, papers-including books, alcohol and sanitizers, masks, face
shields, medicine (if any, but not medical equipment) are allowed, ANYTHING else (Mobile, head set, any
electronic device…) is not allowed on the contest floor and should be left with the onsite coach outside the
contest floor before entering the contest. We have no place to keep any belongings, nor will we hold any
responsibility for anything left outside the contest floor.
12) Teams are required to leave the printed materials intended for use during the contest on their work stations
during practice session.
13) We will not provide any printing facilities for printing references/materials during the contest and will not allow
any references to be added after the practice session, so please make sure you have all your material printed and
ready to be left during the practice session.
14) Late arrival to the practice/contest sessions is not allowed.
15) We have a group for discussion on Whats-App for students’ communities leaders only, if you are student
community leader and didn't join it yet, you can send to us the data (name, community, phone number) to add
you to the group, note that we add only the student community leader and his vice to represent each community.
16) Violation of any of the above rules can result in team disqualification.
