EndNote 21 Bibliographic Management Software for

Windows: Just the Basics


Introduction: EndNote 21 is a bibliographic management software program. What
is that? It is a program that enables you to create a database of the sources you
use (books, journal articles, websites etc.) when researching. It can be very helpful
for graduate students.

What sorts of things does it do? It can:


• Create collections of bibliographic resources (called libraries).
• Transfer groups of references retrieved from library (and other online)
bibliographic databases into your EndNote library
• Organize notes, URLs, and saved files such as PDFs in your libraries
• Store pdfs of documents with bibliographic information and notes
• Create bibliographies automatically in your word processor drawing from
your EndNote library(s).
• "Cite as you write" in developing papers or manuscripts for publication

How do you get it?

EndNote 21 is available on computers in all IUP computer labs. Individual copies of


the software can be downloaded from the IT Support Center EndNote page at:
http://www.iup.edu/itsupportcenter/get-support/software/endnote/. Follow the
instructions exactly when installing. For assistance with downloading and installing
this software, send a message to ihelp at http://ihelp.iup.edu.

Opening Endnote

• Once installed on your computer, you can choose EndNote from the list of
programs on the bottom left corner of the computer screen (with the
looking glass and the phrase :”Type here to search”.

Create a new Library

• When you open EndNote you will be promoted to Create a new library.
• Give your library a name (otherwise it will be called MyEndNoteLibrary.enl)
EndNote recommends that you save the library on your machine’s hard drive,
but it is a good idea to save it to a drive that is backed up, such as in a
folder in IUP’s OneDrive.

• A new library will be created with 0 references ("showing 0 out of 0
references" noted at bottom).

Add Citations
• To manually input citations, click on Reference on the band across the top of
your page and then New Reference.
• A blank entry will open. Note that you can change the Reference Type to
journal, book, etc. for different types of information resources.
• Fill different lines (fields) with any information that you would need to cite
it. All templates include “Research Notes,” “File attachments” and URL
fields. You can use research notes for your personal notes, add file
attachments (such as the pdf of an article), and URLs that will help you
access the material again.

Importing References from EbscoHost Databases

Follow these steps to upload items from EbscoHost Databases


• Make sure that an EndNote library is open on your desktop.
• Open another window and go to the library web page
(http://www.iup.edu/library). From the IUP Libraries web page choose
databases and then EBSCOhost. From this page select one or more of the
databases and then Continue.
• Do a search by putting relevant items in a folder and proceed as if you were
going to print or email, but instead choose Export.
• The screen will then allow you to choose “Direct Export in RIS format”.
Chose this option and click on Save.
• Find the delivery.ris file and click on it. The file will then connect to your
EndNote library and the bibliographic information will be added to your
EndNote Library.
• Check over the references to make sure the information is in the right
fields and for other clear errors. (For example, sometimes every word in the
article title is capitalized). Fix these errors.

Attach PDFs to Library Records

There are two methods of attaching PDFs EndNote library records.


• Find Full-Text Button located in the band across the top. This is a nice

feature, but it only works a portion of the time. (see image on
right)
• To attach individual files, perform the following steps:
o Save pdf (or other type of file) to your computer
o Open the reference
o Click on PDF from selections
o Choose “Attach PDF”
o Select the file from your documents and save
o Note that a paper clip icon will appear to the left of your
bibliographic record

Google Scholar Imports

You can also add references to your library from Google Scholar. Prior to adding
references, you should set-up Google Scholar to provide data to you EndNote
library. This is also a good time to set Google Scholar up to find the full text of
materials available through some of our databases.

Configure Google Scholar to send references to EndNote

• Go to the Google Scholar home page at http://scholar.google.com


• Click on the Click on the "Settings" link.
• Under "Bibliography Manager" select the option "Show links to import
citations into" and choose "EndNote" in the drop-down box.
• Click on the "Save " button.

Configure Google Scholar to locate full-text available through IUP Libraries.

• Go to the Google Scholar home page at http://scholar.google.com


• Click on the "Settings" link.
• Click on “Library Links” found on the left side of the screen
• Type “Indiana University of Pennsylvania” into the search box and choose all
items that come up with that search.
• Click on “Save”

Import search results into EndNote from Google Scholar:

• Have the EndNote Library you wish to import to open.

• Perform a search on Google Scholar.
• Click on the "Import into EndNote" link for the reference you want to
import a file named Scholar.enw will be downloaded.
• Right click on file and open.

Cite While You Write with MS-Word

• Begin or open a pre-existing document in MS-Word.


• Locate a point where you would like to insert a citation.
• Go to EndNote 21
• Choose Insert citation.
• A search window will appear. Search for a bibliographic entry from one of
your libraries by typing in keywords. It will pull up possible entries.
• Highlight the one you would like to insert and click on Insert.
• The parenthetical reference automatically be inserted and a bibliographic
entry generated.

Change Bibliographic Styles for References

You can change the bibliographic style in which the items are displayed. If you
would like to use a different style:
• Choose Styles/Select Another Style.
• From the EndNote 21 styles screen choose a new bibliographic style and
click on OK.
• It will automatically reformat the parenthetical reference and
bibliography to the new style.
