MICROSOFT PAINT:-

Microsoft Paint (often called MS Paint) is a simple graphics editing program that comes pre-installed with Microsoft
Windows operating systems. It's widely used for basic image creation and editing.

Home Menu in MS Paint – Main Sections & Tools:-

1. Clipboard Group:-

 Paste: Inserts content from the clipboard.


 Cut: Removes the selected area and copies it to the clipboard.
 Copy: Copies the selected area to the clipboard.

2. Image Group:-

 Select: Allows you to choose a rectangular or free-form area.


 Crop: Trims the image to the selected area.
 Resize: Changes the size of the image (by percentage or pixels).
 Rotate: Rotate or flip the image (90°, 180°, horizontal, vertical).

3. Tools Group:-

 Pencil: For freehand drawing.


 Fill with Color (Bucket): Fills an area with the selected color.
 Text: Adds text boxes to your image.
 Eraser: Removes parts of the image.
 Color Picker: Selects a color from the image.
 Magnifier: Zooms into the image for detailed editing.

4. Shapes Group:-

 A variety of pre-defined shapes like:


o Rectangle, Ellipse, Line, Arrow, Star, Heart, etc.
 Outline and Fill options to customize shapes.

5. Colors Group:-

 Color Palette: Choose from default or custom colors.


 Color 1: Primary drawing color (left-click).
 Color 2: Secondary/background color (right-click).
 Edit Colors: Create custom colors.

File Formats Supported in M.S Paint:-

1. BMP – Bitmap Image File


A basic image format that stores color data for each pixel without compression.
2. JPEG – Joint Photographic Experts Group
A commonly used compressed image format, ideal for photographs.
3. PNG – Portable Network Graphics
A lossless compressed format that supports transparency.
4. GIF – Graphics Interchange Format
Supports animation and transparency, but limited to 256 colors.
5. TIFF – Tagged Image File Format
A flexible format used mainly in publishing and photography; supports high-quality images and layers.

View Menu in MS Paint:-

1. Zoom Group:-

 Zoom In: Enlarges the view of the image (does not affect actual size).
 Zoom Out: Reduces the view of the image.
 100%: Resets the view to the actual size (100% zoom level).
 Show Gridlines: Displays a grid over the image for better alignment (useful for pixel art).
 Show Rulers: Displays rulers along the top and side of the canvas for precise measurements.

2. Display Group:-

 Status Bar: Toggles the visibility of the status bar (shows image size, cursor coordinates).
 Full Screen: Maximizes the canvas to fill the screen (hides interface elements temporarily).
 Thumbnail (in older versions): Shows a small version of the entire image.

3. Other Options (may vary slightly by Windows version):-

 Message Bar: Shows or hides helpful tips or messages.


 Scroll Bars: Enables or disables scroll bars for navigation.

Microsoft Word:-
Microsoft Word is powerful word processing software developed by Microsoft, used for creating, editing, formatting,
and printing text documents. It is part of the Microsoft Office Suite and is widely used in education, business, and
personal tasks.

Common Uses of MS Word:-

 Writing letters, essays, and reports


 Designing resumes and cover letters
 Creating meeting notes and business documents
 Formatting newsletters and brochures
 Drafting legal and academic documents

Home Button:-

The Home tab is one of the most frequently used tabs in Microsoft Word, located on the Ribbon at the top. It
contains basic tools for text formatting, paragraph alignment, styles, and clipboard functions.

1. Clipboard Group:-

 Cut: Removes selected text and places it on the clipboard.


 Copy: Copies the selected text to the clipboard.
 Paste: Inserts the content from the clipboard.
 Format Painter: Copies formatting from one place and applies it to another.

2. Font Group:-

 Font Type & Size: Change the font style and size.
 Bold, Italic, Underline: Basic text emphasis.
 Text Color: Change the font color.
 Highlight: Highlight text with color.
 Strikethrough, Subscript, Superscript: Special text effects.
 Change Case: Change letters to uppercase, lowercase, etc.
 Clear Formatting: Remove all formatting from selected text.

3. Paragraph Group:-

 Bullets & Numbering: Create lists.


 Align Text: Align text left, center, right, or justify.
 Line and Paragraph Spacing: Adjust space between lines or paragraphs.
 Shading: Add background color to text or paragraphs.
 Borders: Apply borders to paragraphs or text.
 Indentation and Sorting: Adjust paragraph indent or sort text.

4. Styles Group:-

 Apply predefined styles (like Heading 1, Title, Subtitle) to quickly format documents consistently.

5. Editing Group:-

 Find: Search for words or phrases in the document.


 Replace: Find and replace words or formatting.
 Select: Select specific text or objects.

Insert Tab in Microsoft Word:-

The Insert tab in Microsoft Word allows you to add various elements into your document to make it more
informative, structured, and visually appealing. These include tables, pictures, charts, symbols, and more.

1. Pages Group:-

 Cover Page: Inserts a professionally designed cover page.


 Blank Page: Adds a new blank page to the document.
 Page Break: Starts a new page at the current cursor position.

2. Tables Group:-

 Table: Insert a table or draw one manually to organize data in rows and columns.

3. Illustrations Group:-

 Pictures: Insert images from your device.


 Online Pictures: Add pictures from the internet.
 Shapes: Add arrows, boxes, circles, and other shapes.
 Icons: Insert graphic icons from Microsoft’s library.
 3D Models: Insert and manipulate 3D graphics (in newer versions).
 Smart Art: Add diagrams like flowcharts or organizational charts.
 Chart: Insert various types of charts (bar, pie, line, etc.).

4. Add-ins Group:-

 Get Add-ins: Install third-party tools and extensions

5. Media Group:-

 Online Video: Embed videos from online sources (YouTube, etc.).

6. Links Group:-

 Link: Create hyperlinks to websites, documents, or email addresses.


 Bookmark: Mark a location in the document.
 Cross-reference: Refer to headings, figures, or tables.

7. Comments Group:-

 Comment: Add annotations or comments for feedback or notes.

8. Header & Footer Group:-

 Header: Add text to the top of each page.


 Footer: Add text to the bottom of each page.
 Page Number: Insert and format page numbers.

9. Text Group:-

 Text Box: Insert a movable text box.


 Quick Parts: Add reusable document components like fields, properties.
 WordArt: Insert decorative stylized text.
 Drop Cap: Create a large initial capital letter.
 Signature Line: Insert a digital signature field.
 Date & Time: Insert the current date or time.
 Object: Insert files or embedded objects (e.g., PDFs, spreadsheets).
10. Symbols Group:-

 Equation: Insert mathematical equations.


 Symbol: Add special characters or symbols (e.g., ©, ™, ¥).

Page layout button in M.S Word:-

The Page Layout tab (or Layout tab) in Microsoft Word contains tools for setting up the structure,
appearance, and layout of your document pages.

1. Themes Group:-

 Themes: Apply a consistent design (fonts, colors, effects) across the whole document.
 Colors: Choose theme color sets.
 Fonts: Select font sets for headings and body text.
 Effects: Apply visual effects like shadows or reflections.

2. Page Setup Group:-

 Margins: Set the space between text and the edges of the page (top, bottom, left, right).
 Orientation: Choose between Portrait (vertical) or Landscape (horizontal).
 Size: Select the paper size (A4, Letter, Legal, etc.).
 Columns: Split the text into multiple columns.
 Breaks: Insert page, section, or column breaks to control layout flow.
 Line Numbers: Add or remove line numbers in the margins.
 Hyphenation: Enable or disable automatic hyphenation of long words.

3. Paragraph Group:-

 Indentation: Set how far text is pushed in from the left or right margins.
 Spacing: Adjust space before or after paragraphs.

4. Arrange Group:-

 Position: Change the position of images or objects on the page.


 Wrap Text: Set how text wraps around pictures or shapes.
 Bring Forward / Send Backward: Layer objects (e.g., send an image behind text).
 Align: Align objects to the page or to each other.
 Group: Combine multiple objects into one unit.
 Rotate: Rotate or flip selected objects.

References Tab in Microsoft Word:-

The References tab in Microsoft Word is used for managing citations, bibliographies, tables of contents,
footnotes, and cross-references. It’s especially helpful for academic writing, research papers, reports, and
professional documents.

1. Table of Contents Group:-

 Table of Contents: Automatically generates a list of headings and subheadings in your document.
 Add Text: Mark selected text to include in the Table of Contents.
 Update Table: Refreshes the table of contents if you've made changes.

2. Footnotes Group:-

 Insert Footnote: Adds a note at the bottom of the page with references or comments.
 Insert Endnote: Adds a note at the end of the document.
 Next Footnote: Jump between footnotes or endnotes.
 Show Notes: View or navigate through footnotes or endnotes.

3. Citations & Bibliography Group:-

 Insert Citation: Add a reference to a book, article, or website.


 Manage Sources: Organize and edit all citation sources.
 Style: Choose a citation style (e.g., APA, MLA, Chicago).
 Bibliography: Automatically generate a bibliography or works cited list.

4. Captions Group:-

 Insert Caption: Label images, tables, equations (e.g., "Figure 1").


 Insert Table of Figures: Create a list of all labeled figures or tables.
 Update Table: Refreshes the Table of Figures.
 Cross-reference: Insert links to figures, tables, headings, or bookmarks.

5. Index Group:-
 Mark Entry: Select words to include in the index.
 Insert Index: Add an alphabetized list of terms and page numbers.
 Update Index: Refresh the index if changes are made.

6. Table of Authorities Group:-

 Mark Citation: Identify legal citations.


 Insert Table of Authorities: Adds a list of legal references used in the document.

Mailings Tab in Microsoft Word:-

The Mailings tab is used for creating and managing mail merge documents—especially useful when sending
personalized letters, labels, or emails to many recipients at once.

1. Create Group:-

 Envelopes: Create and print envelopes with delivery and return addresses.
 Labels: Design and print mailing labels.

2. Start Mail Merge Group:-

 Start Mail Merge: Choose the type of document (letters, emails, envelopes, labels, etc.).
 Step-by-Step Mail Merge Wizard: Guides you through the entire process.
 Select Recipients: Use an existing list (like Excel), create a new list, or choose from Outlook contacts.
 Edit Recipient List: Modify or filter your mailing list before merging.

3. Write & Insert Fields Group:-

 Insert Merge Field: Add placeholders (like Name, Address) that will be filled with data from your list.
 Rules: Add conditional logic (e.g., "If Gender is Male, use Mr.").
 Match Fields: Align your data with the required merge fields.
 Update Labels: Automatically apply changes across all label entries.

4. Preview Results Group:-

 Preview Results: See what your merged letters or emails will look like.
 Find Recipient: Search for a specific entry in your recipient list.
 Auto Check for Errors: Scan the merge for missing or incorrect data.
5. Finish Group:-

 Finish & Merge: Finalize the merge and choose whether to print, email, or edit individual documents.

 Emailing newsletters using data from Excel
 Automating certificates, invitations, or reports

Review Button in Microsoft Word:-

The Review tab in Microsoft Word is designed for proofreading, editing, tracking changes, adding
comments, and language tools. It's especially helpful for collaborative editing and academic or professional
document review.

1. Proofing Group:-

 Spelling & Grammar: Checks the document for spelling and grammar errors.
 Thesaurus: Suggests synonyms for selected words.
 Word Count: Shows the number of words, characters, paragraphs, and lines.
 Translate: Translates selected text or the entire document into another language.
 Language: Sets the proofing language for selected text.

2. Accessibility Group:-

 Check Accessibility: Reviews the document for issues that may affect people with disabilities.

3. Comments Group:-

 New Comment: Add a comment to selected text.


 Delete: Remove comments.
 Previous / Next: Navigate through comments.
 Show Comments: Show or hide comments in the margin.

4. Tracking Group:-
 Track Changes: Turns on/off the ability to record edits made to the document.
 Simple Markup / All Markup: Controls how changes are displayed.
 Show Markup: Choose what types of changes to display (comments, insertions, formatting, etc.).
 Reviewing Pane: Shows a summary of all tracked changes and comments.

5. Changes Group:-

 Accept: Accept tracked changes.


 Reject: Reject tracked changes.
 Previous / Next: Navigate through tracked changes.

6. Compare Group:-

 Compare: Compare two versions of a document to see differences.


 Combine: Merge edits from multiple reviewers into one document.

7. Protect Group:-

 Restrict Editing: Limit what others can edit in the document.


 Block Authors: (in shared documents) prevent others from editing specific parts.

Common Uses:-

 Editing essays, reports, or legal documents


 Collaborating with multiple reviewers
 Tracking feedback and suggested edits
 Checking grammar, spelling, and readability

View Tab in Microsoft Word:-

The View tab in Microsoft Word controls how your document is displayed on the screen. It offers different
layout modes, shows/hides tools like rulers and gridlines, and provides zoom and window options to customize
your workspace.

1. Views Group:-

 Read Mode: Displays the document in a clean, book-style format for easy reading.
 Print Layout: Shows the document as it will appear when printed.
 Web Layout: Displays the document as it would appear in a web browser.
 Outline: Shows the structure of the document using heading levels.
 Draft: Displays text only (no images or formatting) for quick editing.

2. Show Group:-

 Ruler: Toggles the top and side rulers on or off.


 Gridlines: Displays horizontal and vertical lines to help align text and objects.
 Navigation Pane: Opens a sidebar to jump between headings, pages, or search results.

3. Zoom Group:-

 Zoom: Opens a dialog box to set a custom zoom percentage.


 100%: Sets the zoom level to actual size.
 One Page / Multiple Pages: View one or more pages at once.
 Page Width: Zooms to fit the page width to your screen.

4. Window Group:-

 New Window: Opens another window of the same document.


 Arrange All: Displays all open Word documents side by side.
 Split: Splits the window to view two parts of the same document.
 View Side by Side: Compare two documents next to each other.
 Synchronous Scrolling: Scroll both documents at the same time (when viewing side by side).
 Reset Window Position: Resets the layout of split or side-by-side view.
 Switch Windows: Switch between open Word documents.

5. Macros Group:-

 Macros: Run, create, or manage recorded macros (for automating tasks).

Common Uses:-

 Changing layout for reading vs. editing
