Assignment: Discovering and Modeling the As-Is Business Process at

QuickMeds Pharmacy

Scenario: QuickMeds Pharmacy


QuickMeds is a local pharmacy that handles hundreds of prescriptions daily. The process of
fulfilling prescriptions is currently manual and involves multiple roles. When a customer
arrives with a prescription:

- The pharmacy assistant takes the prescription and manually verifies the details.
- The pharmacist checks drug availability.
- If the medication is in stock, it is packaged and handed over.
- If the medication is not in stock, the assistant contacts a supplier.
- Sometimes, the pharmacy staff must call the doctor to clarify dosage or medicine
substitutions.
- Payment is collected only after the medicine is ready.

Delays, miscommunication, and missing stock are frequent issues. The pharmacy wants to
better understand how their current process works, with the goal of future improvement
and automation.

Assignment Objective
You are required to simulate the Process Discovery phase of the BPM lifecycle and generate
an As-Is BPMN model for QuickMeds Pharmacy’s prescription handling process.

Assignment Tasks

Part 1: Process Discovery (Information Gathering)


Use the questions below to guide your analysis:

 1. What is the primary process in this scenario?


 2. What event triggers the process?
 3. Who are the key stakeholders? What are their roles?
 4. What are the exact steps involved from the start to the end of the process?
 5. What decisions are made during the process?
 6. Are there any exceptions or alternate paths?
 7. What pain points or inefficiencies can you identify?
 8. What documents or communication methods are used currently?

You may answer these questions in bullet points or a short report (300–400 words).

Part 2: BPMN Modeling


Based on your process discovery:
1. Create a BPMN diagram that represents the As-Is process of prescription handling at
QuickMeds Pharmacy.
2. Your BPMN must include:

 Pools and lanes (to represent different roles like pharmacist, assistant, supplier, etc.)
 Events (start/end)
 Tasks/activities
 Gateways (for decisions)
 Message flows and sequence flows
 Exceptions if applicable

You are required to use diagramming tool (draw.io, Lucidchart, Visio, etc.).

Submission Format:
One document (PDF) containing:
1. Answers to the discovery questions
2. BPMN diagram (inserted as image or PDF page)

Stakeholder and Activity Mapping 5
Identification of Issues 5
Correctness of BPMN Elements 10
Visual Clarity of Diagram 15
Total 50 (weightage: 10% )
