Management 2024 Part-1

The document outlines a lecture project titled 'Management for Engineers' by Zbigniew J. Sroka, focusing on project management fundamentals, stages, and methodologies. It emphasizes the importance of defining problems, planning, and managing multi-task projects, while also detailing the nine areas of knowledge essential for effective project management. Students are organized into groups to tackle real-world problems in the automotive industry, applying the concepts learned throughout the course.

J. P. Lewis
„Project is a multi-task contract executed only once, for which requirements relating
to efficiency, cost, time and range are defined”
J. M. Juran
„Project is a problem to solve”

Conclusion: If the order is repeated it is not a project any more

J. P. Lewis
„Problem is a divergence between the presence and the state we would like to be
in. During the project defining we need to show this divergence and define problems
which must be overcome to achieve the aim”

The problem needs to be: defined, avoided or eliminated

Project management - fundamentals
Project and its stages

The project needs to be managed because of its multi-task structure.

The project management is similar, but as a matter of fact quite different than
management in the organizations/companies because of:

- time limits (precisely defined deadlines)

- different level of staff relationship (very often members of the team are from
different departments or from outside and although they have positions of
employees in the project they have also got their own bosses)

i.e. the management of the project „Green Engine” is something completely

different from the management of the project department in the engines
manufacture!

An overview analysis of the projects (budget about 250 mln $) carried out in
the trade of IT in USA shows that:

• 20 % - projects came to an end achieving the aims,

• 50% - projects with difficulties (change of aims, delay in realization, increase
of costs),
• 30 % - broken projects

One in three engineers must improve or correct the other people’s work

Project and its stages

An order only for one person (one-person project) doesn't need to be

managed or the management is very limited because all activities are done
by one person. The proper list of the tasks which are then realized is
enough – you only need self-control (!)

The project management is necessary for multi-person and multi-task

projects!

Project and its stages

American Project Management Institute in document „Project Management

Body Knowledge” defined nine areas of knowledge important for project
management:

1.Integration with the project

2.Project range
3.Time in the project
4.Costs in the project
5.Quality in the project
6.Human resources
7.Communication in the project
8.Risk investigation
9.Orders

Project and its stages

Integration with the project

(knowledge from planning, realization and control stages),
Project range
(range defining, authorization of the tasks),
Time in the project
(time management according to the schedule and personal time management),
Costs in the project
(ability of personal, material, information, equipment etc. cost defining)
Quality in the project
(knowledge about quality keeping during the whole project, ability to manage the
quality in difficult situations),

Project and its stages

Human resources
(knowledge about the team building, structure of tasks splitting defining, ability to
manage in conflict situations – negotiations and psychology aspect, employee
evaluation etc.),

Communication in the project

(management of the information, knowledge about structure of information flow in
the project, achievements etc.),

Risk Investigation
(knowledge about risk management: ability to define state of risk and its analysis,
limitation and elimination),

Orders
(orders logistics, offers recognition, dialog with contractors).
Management for Engineers
Project management - fundamentals
Project and its stages

Five stages of the project:

• Concept
(entrance concept definition: analysis of the market and existing solutions)
• Specification - decision about realization
(precise problem, vision and mission defining),
• Planning
(construction of project strategy and plan of its realization including the risk
analysis)
• Realization and Control
(tasks realization, monitoring and correcting - if needed)
• End of The Project
(report preparation, closing meeting, analysis of gained experience).

Problem description and concept

It is not enough to name the problem but it is necessary to define it properly.

It means that many activities need to be done before the project title, mission
and vision appears.

The problem is very often defined as a final effect expectation that suggests
a concept for solving the problem.

Question – is our expectation compatible with the client’s expectation?

It is necessary to recognize concept originality (unique) – the market analysis is

needed to avoid plagiarism or „preaching to the converted”

At this stage we need to find first answers to the questions:

WHO? WHEN? HOW MUCH?

Problem description and concept

Before starting the project it is necessary to make sure if solving the problem is defined
properly. This is grounds for showing the clues for further activities. At this stage vision,
mission and aims are formulated.

Vision – collection of needs, willingness and (optionally) client’s pleasure, which are
necessary to problem solving (to project realization)

Mission – to serve realization of the vision. Fulfillment of the client’s expectations

(employer)

Aims (objectives) - mission in details and description of the results

Problem description and concept

The objectives are defined based on SMART method:

Specific – aim has to be right defined

Measurable – aim has to be defined by measurable criterions
Attainable – aim has to be acceptable
Realistic – aim has to be relevant
Time-limited – aim has to be reached in defined time

Problem description – specification on example

Problem: there is no garage - car repair station - in a small village with the 50 km away from Wroclaw
Vision:
Needs:
• private cars fixing
• car vehicle mechanics
• electric and electronic systems reparation
• engine reparation
Willingness:
possibility of registration services
Pleasure:
the station should work in two shifts .
Mission:
to design and build diagnostic- repairing two-shift working car station with license to registration services.
Aims:
• recognition of clients’ real needs – model/type of the cars, the most common failures etc.
• location of the station
• staff requirement and recruitment,
• work out of functional-utility plan and building project,

Problem specification – problem declaration:

Lack of car repair station with vehicle registration services license.

Project management - fundamentals
Planning - dossier

1. Problem declaration
2. Mission declaration
3. Aim(s) of the project
4. Structure of task delegating – structural plan,
5. Requirements (humans, investments, material, information),
6. Schedule
7. Control system,
8. Risk zone,
9. Criteria of tasks and whole project fulfillment.

Let’s start with our problems

Students have been divided into 3-4 groups of about 6-7 people

Every year the world's problems are identified.

poverty unemployment

lack of water
cybercrime

corruption

Every year the automotive industry's problems are identified.

Artificial intelligence in automotive engineering

Dropping Car prices

Supply chain shortages

Demanding consumer

High energy cost

For the first task

name the problem and generally describe what you would like to do
Management for Engineers
Project management - fundamentals
Project - tasks

Tasks to do:
1. clarify the problem by defining the subject of the project,
2. determine the vision,
3. build a mission for the project,
4. describe the project structure and specify the steering committee and advisory committee,
5. describe the method of choosing the project leader (requirements),
6. build a plan by specifying a set of tasks to be performed along with the type (type) of employees needed,
7. describe the way of recruiting employees - how was the project team built?
8. build a Gantt chart for the given tasks
9. indicate milestones,
10. estimate the risks in the project
11. describe working meetings
12. describe the method of controlling tasks and assessing employees,
13. describe unusual situations, including possible conflicts during project implementation, and how to resolve them,
14. describe the end of the project
