MS-POWERPOINT AND ITS APPLICATION

1. What is MS –PowerPoint? What are the features of PowerPoint?


Microsoft power point is a powerful tool to create professional looking presentation and
slide shows. A presentation or a slide show comprises individual slides arranged in a sequential
manner. Typically one slide covers a brief topic.
Power point allows the user to incorporate images, video and colourful backdrops to the
information on screen.,
Features of power point:
1. Slide layout: this functionality of ms-power point helps to provide the creator freedom of
choice to whatever layout he/she can choose. The content that anyone wants can differ from
one platform to the other. Some platforms require a horizontal page whereas some content
requires the vertical representation of animation and graphics.
2. Slide design: this functionality of MS –Power point helps us to add the colour and flavour
of glamour to out presentation. The slide design feature of ms –power point has
approximately 30-40 exciting templates with the additional option to modify the
background pictures of that template and also add some textures to it.
3. Animations: the animation section of ms –power point is what makes it unique from other
Microsoft distributions. This functionality is the reason why power point is capable enough
to provide its user with grate creative freedom and to add versatility to their slides and video
animations.
4. Transitions: slide transitions shows their relevance during the time of the slide show , slide
transition is the type of entrance and exit effects that are allocated to every slide in the
presentation . When you play the slide show each and every slide will come in with the
entrance transition and move out with the exit transition.
5. Image merging: ms –power point allows the user to add and upload multiple images at the
same time to use on the slides this feature means that you can overlap two or more pictures
together in one position it is not only limited to the merging of images but shapes smart art
graphics, word art text and everything.
6. Videos: another great way of spicing up a presentation is to add videos to certain slides.
7. Icons: with the feature to add icons into your presentations. It just gives you some freedom
to add a personal touch to the presentation.
8. Charts: charts are used in presentations to illustrate data in an easy to understand way for
your audience. Charts can be linked to external data sources or even excel sheets. The charts
also easily getups dated automatically in PPT when the data is edited in excel.
9. Adding comments to slides: comment feature is more relevant to the person who reviews
a presentation rather than the person who creates it.
10. Morph transition: by using morph transition, you can make element s move between slides
giving a video like feel to your PPT.

2. What are the various uses of power point presentation?

Ms –power point is a program that is included in the Microsoft office suite. It is used to make
presentation for personal and professional purpose.

Power point (PPT) is a powerful, easy to use presentation graphics software program that
allows you to create professional looking electronic slide shows.
Uses of power point presentations:

1. Presentations: the primary purpose of power point is to create and deliver presentations. It
allows users to organize content into slides making information visually appealing and easy to
understand during meeting, conferences or lectures.

2. Educational materials: teachers and educators use power point to create engaging lesson plans.
Educational material and interactive presentations for students. It helps in enhancing the learning
experience.

3. Business reports: professionals often use power point to prepare business reports. It allows for
the integration of data, charts and graphs making complex information more comprehensible and
visually appealing.

4. Training modules: power point is employed to develop training modules for employees. It aids
in presenting information systematically ensuring effective knowledge transfer during training
sessions.

5. Sales and marketing: in the business world, power point is extensively used for sales pitches
and marketing presentations. Sales teams can create visually compelling slide to show case
products services and business strategies.

6. Project planning: project managers use power point to outline project plans, time lines, and
milestone. It facilitates communication within the team and provides a visual overview of project
details.

7. Collaborative work: power point supports collaborative work by allowing multiple users to
contribute to a presentation. This is particularly useful in group projects enabling seamless
teamwork.

8. Visual story telling: the software is a powerful tool for visual story telling . users can combine
text, images and animations to craft compelling narratives making presentation more engaging and
memorable.

9. Conference posters: researchers and scientists often use power point to create visually appealing
conference posters summarizing their research findings. It provides a structured format for
presenting complex information.

10. Photo albums and slide show: power point is used for personal purpose, such as creating
digital photo albums and slide shows. Users can add transitions effects and captions to share
memories in an organized and visually appealing manner.

3. Explain the components of ms power point window?

Ms –power point is the complete presentation graphics program using which one can create
extremely satisfying presentation to get the desired results. It allows the creation of presentation
which can be a collection of slides, speaker’s notes, handout or media clips providing everything
one needs to communicate clearly to others.

1. Home: the home tab holds the cut and paste features, font and paragraph options and what
you need to add and organize slides.
2. Insert: click insert to add something to a slide. This includes pictures shapes, charts, links
text boxes video and more.
3. Design: on the design tab you can add a theme or colour scheme or format the slide
background.
4. Transitions: set up how your slides change from one to the next on the transition tab. Find
a gallery of the possible transition in the to this slide group- click more button at the side of
the gallery to see all of them.
5. Animations: use the animations tab to choreograph the movement of things on your slides.
Note that you can see many possible animations on the gallery in the animation group and
see more of them by clicking more.
6. Slide show: on the slide show tab, set up the way that you want to show your presentation
to others.
7. Review: the review tab lets you add comments run spell check or compare one presentation
with another (Such as an earlier version).
8. View: views allow you to look at your presentation in different ways, depending on where
you are in the creation or delivery process.
9. File: at one end of the ribbon is the file tab. Which you use for the behind the scenes stuff
you do with a file, such as opening, saving sharing exporting printing and managing your
presentation.
10. Tools tabs: when you click some parts of your slides such as pictures shapes, smart art or
textboxes, you might see a colourful new tab appear.

4. What is presentation? Write a stepwise procedure to create a presentation using


blank slide?

Micro soft power point is great presentation soft ware designed by Microsoft sometimes
abbreviated as pp or ppt. Power point is well utilized to create a slide show of valuable information
through charts and images for a presentation it is commonly practiced in business and school
presentations.

It is an absolute presentation graphics package that gives you everything needing to create a
professional-looking presentation

Power point offers word processing drawing outlining, graphics and presentation
management tools.

The default file extension of a power point presentation is “.PPT” it is a presentation (PPT)
based program comprising slides that use graphics video and other features to make a presentation
more interactive and interesting.

Create a presentation

1. Open PowerPoint.

2. In the left pane, select New.

3. Select an option:

 To create a presentation from scratch, select Blank Presentation.

 To use a prepared design, select one of the templates.

 To see tips for using PowerPoint, select Take a Tour, and then select Create, .

5. How to choose auto layout using outlines, adding sub heading?

Steps to create a presentation using auto layout in power point.


1. Open the power point application.
2. Select file and then new.
3. Choose the presentation design category.
4. Select a template from the list box.
5. Click OK.
6. Click the new slide button on the standard tool bar.
7. Select an auto layout from the new slide dialog box.
8. Click OK
9. Choose the slide you want to change the layout for
10. Select Home-> layout
11. Select the layout you want.

The layouts include place holders for text, video, pictures, charts shapes, clip art and a back
ground.

Auto layout slide are already set up for entering information in one or more text boxes. To
add a title to the slide. Use the title text box to add bulleted text, use the bullet text box to move
from the title box to the bullet box. Press Ctrl+enter.

Adding subheading in power point is a straight forward process following are the steps:

Method 1: adding subheading to existing bulleted list:

1. Open your power point presentation

2. Select the text box

3. Locate the slide with the bulleted list you want to add subheadings to

4. Click on the text box containing the bulleted list

5. Place the cursor at the beginning of the line where you want to add a subheading.

6. Press the tab key on your keyboard to indent the text. Each press of the tab key will create a
new level of indentation

7. Type the subheading text after indenting.

Method 2:

1. Open your power point presentation


2. Go to the slide where you want to add sub headings.
3. Click on the insert tab in the ribbon
4. Choose smart art from the options
5. In the smart are graphics dialog box select a lay out that supports subheadings. Organization
charts or hierarchy diagrams are good choices.
6. Enter your main points as well as subheadings by clicking on the text boxes with in the
smart art graphic.
7. To create subheadings you can use the promotion/ demotion buttons on the ribbon or right
click on the text box and choose promote or demote from the context menu

6. How to changing colour scheme changing back ground and shading adding header
and footer in your slide?
Changing colour scheme:

One of the most common tools used to customize the look and feel of a presentation is the theme
colour feature allows users to easily changes the colours of their slides to match the overall theme
of their presentation.

To select new theme colours:

1. From the design tab click the drop down arrow in the variants group.
2. Select colour then however the mouse over the different theme colours to see a live
preview.
3. Select the desired theme colours.
4. The presentation will update to show the new theme colours.

To customize theme colour: sometimes you might not like every colour include in a set of theme
colour. It’s easy to change some or all of the colours to suit your needs.

1. From the design tab, click the drop down arrow in the variants group.
2. Select colours then click customize colours
3. A dialog box will appear with the 12 current theme colours. To edit a colour, click the drop
down arrow and select a different colour. You may need to click more colour to find the
exact colour you want.
4. In the name: field, type the desired name for the theme colours then click save.
5. The presentation will update to show the new custom theme colours.

Changing the back ground colour of slide:

The default back ground colour of slide in ms-power point is white.

Steps:

1. Open ms-power point

2. In the ribbon, click the design tab.

3. Click the format background option on the right side of the design tab.

4. In the format back ground pane that opens, choose solid fill or gradient fill.

5. Choose the solid or gradient colour options you want to use. The background colour changes
after selecting these options.

Applying shades:

1. Select the objects (text box, shapes, charts etc) to which you want to apply the shades.
2. Go to the drawing group under the home ribbon.
3. Click on the shape fill to choose the shade settings.
4. Use the colour palette to choose the shade colour you can choose more outline colours to get
access to a choice of colours.
5. Use the picture to add a picture as the background rather than a colour
6. Use the gradient option to add colour gradient in the background you can use the pre
defined gradients or click on “more gradients to customize the shading with gradient colour.
7. Use the texture option to add a predefined texture instead of a colour shade.

Add header and footer:


1. In the ribbon, click the insert tab,
2. In the text selection, click header & footer,
3. In the header& footer window, on the slide tab check the box for date and time, slide
number, and footer to add those elements to the footer of each slide. The footer option lets
you enter custom text to display in the footer.
4. To add elements to the header and footer of note pages and printed handouts of the slides in
the header & footer window click the notes and handouts tab.
5. Check the box for date and time page number header and footer to add those elements. The
header and footer options allows you to enter custom text to display in the header and footer
6. To apply the selected header and footer elements to all slides noted pages and printed hand
outs click apply to all
7. To make additional footer and header edits click the insert tab in the ribbon, if not already
selected and click the header and footer option to open the header and footer window again.

7. How to insert the template and wizard with process?

A template is a predesigned presentation you can use to create a new slide show quickly. Templates
often include custom formatting and designs, so they can save you a lot of time and effort when
starting a new project. To create a new presentation from template:

1. Click the file tab to access back stage view.


2. Select new. You can click a suggested search to find template.
3. Select a template to review it.
4. A preview of the template will appear, along with additional information on how the
template can be used.
5. Click creates to use the selected template.
6. A new presentation will appear with the selected template.

Create presentation using wizards:


The auto content wizard allows you to create a presentation based on suggested content and
design . there provides the idea for your presentation so you just need to modify the
suggested idea or you can add you own points.
1. Click the from auto content wizard. In the new presentation pane.
2. From the auto content wizard dialog box displayed, click next to the continue.
3. You need to select a type of presentation that you wish to create. If you click on the all
button, then you can use the scroll bar to move down the list and then select the type of
presentation that you are interested in.
4. Click next button to continue.
5. The next step is to decide how you will use your presentation once it had been produced.
By default, on –screen presentation was selected.
6. Click next button to continue working through the wizard.
7. You can enter a presentation title and footer
8. Click on the next button to continue.
9. Click finish to complete the auto content wizard.
10. From this point you need to open each slide and using the guidelines supplied, modify
the content to meet your requirements and needs.

8. How to insert the transition and animations to slide show with process?

Slide transitions are motion effects that happen when we are in slide show view, and when we
move from one slide to the Next slide during the presentation. We can control the speed of these
Transitions, we can add sound also if want and we can even customise the properties these
transitions effects.

Power point supports slide transition feature which allows you to specify how should the slides
transition during the slide show.

Given below are the steps to add and preview slide transitions.

1. Select the slide t which you want to apply the transition


2. Go to the transition scheme under the transition button
3. Select one of the transition schemes from the available Power point will instantly show you
a preview of the schemes, if you are not satisfied you can pick an alternative scheme. The
last selected scheme will apply to the slide.
4. You can changes the effects on the selected transition scheme from the effect options menu.
Every scheme a unique set of effect options.
5. You can also modify the transition timing settings from the Timing sections
6. To preview the slide transitions ,click on preview

Custom animation: custom animation in power point refers to that user can apply or give effects to
any object, text and pictures used in the slide. What is the difference between transition and custom
animation? In slide transition, you can give effect to the whole slide, not any particular object,
picture, text used in the slide. However, with custom animation we can give the effects to any
object/text/Picture used in the slide.

1. Open power point presentation, click on animation tab.


2. Select the object/text you want to apply the custom animation effect.
3. Next click the animation tab on the top navigation and select the custom animation button.
4. Now the custom animation task panel appears on the right of the window
5. From the custom animation panel select add effect it will display four options (entrance,
emphasis, exit, motion paths) which will be further divided into various different options.
6. Choose the required animation effect an you can also adjust the animation settings like seed,
direction, and start.
