Monthly Project Status Report


The monthly status report template has been designed to be a comprehensive review of project
progress. It is intended to provide a detailed understanding of the project, what has occurred to
date, and its trajectory in moving forward.
The monthly status report should be used to provide a thorough view of what is happening on
the project, and what will occur going forward. It allows a slice-in-time view of project
performance, evaluating what has been completed in the previous period and identify the
commitments for the period to come.
Readers are able to quickly review and identify the meaningful information they need to know
to assess how the project is performing. The status report has three essential sections that are
updated each month:
 A narrative description of project experiences and what is expected for the coming
period.
 A review of project performance and identification of what has changed in the month.
 Status of the milestones and deliverables associated with the project.
In setting up the project status report, provide an overview of the project, what it is designed to
deliver and the outcomes that it is expected to produce. Also capture the baseline information
about the project: when it is expected to start and stop, and the originally approved project
cost.
Each month, update the narrative to provide a unique overview of what has happened on the
project:
 Identify the accomplishments that have been realized over the previous month. Focus
on results that have been delivered and identify what value has been produced.
 Discuss challenges that have been encountered in the previous month. Identify what
problems have occurred and their impact. Outline what has been done to date, and how
the challenges will be responded to going forward.
 Define what will occur in the coming month. Identify the commitments that the project
will deliver on and what is expected to be accomplished. Assuming all proceeds
according to plan, this should be the basis of next month’s “Key Accomplishments”
section.
Provide an overview of the current project status:
 Identify the current stage of the project.
 Identify expected planned end date and planned cost of the project.
 Reflect the overall health of the project:
o Green indicates that the project is proceeding as planned
o Yellow highlights that there are challenges, and sponsors should inform
themselves in preparation for providing assistance
o Red indicates that there is a problem that actively requires attention and support
 Calculate the projected schedule and cost variances.

 Capture changes to any of the key project management dimensions in the previous
month and provide a summary of the changes and impacts on the project. Identify what
optimally should occur as a result of the change.
Provide a summary status of key milestones and deliverables:
 Identify each milestone or deliverable
 Capture the original due date based upon the initial project schedule
 Identify the planned due date based upon current project performance
 Once the milestone is reached or the deliverable is complete and accepted, provide the
actual delivery date
