1. Introduction
Introduction on the topic selected (General overview)

Example:
Universiti Teknologi MARA Terengganu offers many programs ranging from Diploma to First
Degree in various fields such as Diploma in Business Studies and Diploma in Computer Science. In
order to obtain a Diploma in Computer Science, students need to undergo a 4 months practical
training in related organizations. The Practical Training Unit will manage and organize the
placements of the students in the selected organization.

2. Company background
Background of the company for example:

a. Company objectives
b. Company operations
c. Company structure
d. Any relevant description

3. Current system description


Current system flow (business process) – what’s happening in the company/unit

Example:
Students will select several organizations and will submit letters of application to Practical Training
Unit to be approved by the Practical Training Coordinator (Coordinator). Approved letter together
with the resume will then be posted to selected organizations by the students.

Coordinator will record student’s application, application status, organization where the students’ are
placed and produce reports to the management at the end of each semester.

Organizations will send acceptance form to the coordinator.

4. Current system problem


Description on current system problems

Example:
i. Students have to submit several copies of application letters before it is approved.
ii. Students have to come physically to the coordinator’s room to check for the acceptance form
sent by the organization.
iii. Generating requested report by the management took plenty of time.

5. System objective

Example:
i. To enable the student to register for practical training electronically.
ii. To facilitate the practical training coordinator generates reports needed by the management.
iii. To provide quick access to student’s practical training information.
iv. To enable the practical training coordinator to perform the process of inserting, updating and
deleting data easily.

6. System scope

Example:
This system is developed for the Practical Training Unit of the Computer Science Department UiTM
Terengganu for the purpose of managing the practical training information. The users of this system
are the practical training coordinator and the students.
