UNIT 1: COMMUNICATION SKILLS

1. What is Communication?

The imparting or exchanging of information by speaking,writing or using some other


medium and means of sending or receiving information between two or more
people. The person sending the message is referred to as the sender, while the
person receiving the information is called the receiver.
2. Explain the methods of Communication.
The three methods of communication are:-
Verbal Communication:
It is a method of using words for sharing messages to others in a mutually
understandable language. Verbal communication comprises a written or oral
message that uses words. Components that make verbal communication effective are
–language competency, vocabulary, general awareness, domain knowledge.
Non-Verbal Communication:
It is a method of using anything other than words for conveying information.
Non-Verbal communication comprises the gestures and postures of the body
Language and supports the oral communication. Components that make non-verbal
communication effective are –body language, proxemics, kinesics, haptics, vocalic,
chromatics, chronemics and olfactics. The main components of body language are
Eye Contact, Head Position &Movement and Facial Expression.

Visual Communication (Graphic Communication):


The term indicates any method of communication that relies on visual cues
such as pictures, graphics or illustrations for sharing messages with people. The
creative minds that create visual images make use of colours, textures, contours and
shapes that communicate not just messages but also emotions, attitudes,
experiences, lifestyles and concepts.
3. What is the meaning and importance of Communication? Explain.
The word ‘Communication’ comes from the Latin word commūnicāre, meaning ‘to
share’. Communication is the ‘sharing’ of information between two or more
individuals or within a group to reach a common understanding.
Importance of communication:
Your ability to communicate clearly and share thoughts, feelings and ideas will help
you in all your relationships. For example, you can inform about something or you
can also influence others through communication. Communication skills are needed
to:
Inform: You may be required to give facts or information to someone. For example,
communicating the timetable of an exam to a friend.
Influence: You may be required to influence or change someone in an indirect but
usually important way. For example, negotiating with a shopkeeper to reduce the
price or helping a friend to overcome stress due to exam or any other reason.
Express feelings: Talking about your feelings is a healthy way to express them. For
example, sharing your excitement about doing well in your exams or sharing your
feelings with your parents and friends.

4. State the Characteristics of Communication.


i. Enables interchange of information
ii. It is a continuous process
iii. Paves way for mutual understanding
iv. Leads to response or reaction
v. It is a social activity
5. What are the components of Communication cycle?
The transmission of the sender’s ideas to the receiver and the receiver’s
feedback or reaction to the sender constitutes the communication cycle. The
components of Communication cycle are:-
a) Sender f) Receiver
b) Idea g) Decoding
c) Message h) Feedback
d) Encoding
e) Communication channel

6. What are perspectives in communication? What are the factors affecting


communication perspectives.
A communication perspective examines how messages are transmitted, how it
influenced the individual and collective behavior and how those messages create,
sustain, and change cultures and communities by exploring the form, content,
medium and patterns of messages. This is done by examining the aspects like how
messages are produced, how they are circulated and how they are interpreted with
an eye on the important consequences of messages.
The factors affecting communication perspectives are:-
● Visual perception
● Language
● Past experience
● Prejudices
● Feelings and Emotions
● Environment
7. Write the importance of Writing Skills.
Writing skill play an important role in our career as all formal communication is done
in a written format in any organization. The important aspects that the sender of the
written message needs to keep in mind are:
● Use Correct Grammar
● Select Right Words
● Form easy Sentence Structure.
8. Write a short note on paragraph construction.
A paragraph is composed of multiple sentences focused on a single, clearly-
defined topic. There should be exactly one main idea per paragraph, so whenever
you move on to a new idea, you should start a new paragraph. Regardless to the kind
of information they contain, all paragraphs share certain characteristics such as Unity
and Coherence.

9. Explain the 7C’s of the communication.

Effective communication can happen if we follow the basic principles of professional


communication skills. These can be abbreviated as 7 Cs, i.e., Clear, Concise, Concrete,
Correct, Coherent, Complete and Courteous.
● Clear: Be clear about what you want to say
● Concise: use simple words and say only what is needed.
● Concrete: use exact words and phrases.
● Correct: use correct spellings, language and grammar.
● Coherent: Your words should make sense and should be related to the main topic.
● Complete: your message should have all the needed information.
● Courteous: be respectful, friendly and honest.
10. Explain the 3P’s of public speaking.

Prepare: Think about your topic Think about what your listeners need to know about
the topic Think about the best way to make your listeners understand your topic
Write what you plan to say.

Practice: Practice by yourself first, talk in front of a mirror Talk in front of your family
and friends and ask them what they think. Speak clearly, loudly and at the right
speed (not very fast nor very slow).

Perform: Take a few deep breaths if you are feeling nervous Think about what you
have prepared and start speaking confidently.
