General rules for suppliers

▪ Through the online editor, we will provide input from both terminology lists
(term bases) and translation memories. In case of contradictions or multiple
options, the terminology list (TB) always prevails over the translation
memory (TM). The terminology list is always mandatory. The terminology is
indicated with ‘TB’ in the Translation Finder (See figure 21b). If you think a
certain term is not correct (in general or in context), we kindly ask you to
mention this in your comments and in your notification email when
completing the job or beforehand.
▪ We appreciate any feedback on translations, terminology lists and translation
memories.
▪ As a translator or reviser, you can comment on other translations. We ask you
to provide professional feedback on the work of the translators and revisers.
Editor explanation

1. Column source language (not editable).

3. Column Revisions.

Note that the columns to be displayed are adjustable via the column manager. See
chapter ‘Top menu’.

4. Translation Finder. In this window all possible matches (TM) and fuzzy
matches (TM) and mandatory terminology (TB) are shown.
For further information about the translation finder, read the chapter ‘Supporting
Components’.

5. Possibility to leave and send comments between project manager, translators


and revisers. If a comment is left, the balloon in the submenu in the segment will
have the colour orange.

For further information about the Timeline, read the chapter ‘Supporting
Components’.

6. In the submenu in the segment, a couple of icons are visible.

The bookmark allows you to bookmark a segment. Note: a translation with a red
bookmark will not be consolidated into the translation memory!

The message balloon. If orange, a message is left and can be retrieved in the timeline.

The status icon. This icon indicates the real time QA (see Bottom Menu, Smart
Assistant).

Lock or unlock a segment to edit.

7. Configuration.
This will open a window in which you can set your personal preferences.

1. Document.
With this option you can export and import proofreading documents.
These are documents in Excel or Word format, which allow anybody to
make corrections in the target language column. After applying corrections,
the document can be imported again. The corrections will be applied
directly in the editor.

2. QA check.
Please always run the full QA check, based on predefined QA profiles, and a
quick QA check, with a few limited possibilities, as well (see figure 12). If the
translation contains errors, the erroneous segments are flagged RED. The
system is configured to check, amongst other things, the following:
• Correct use of the mandatory terminology;
• Numbers and dates;
• Punctuation;
• Inconsistent translations (same text translated differently in other
segments);
• Possibly erroneous word repetitions.

3. Preview.
With this option you can preview or download the source or target
document(s).

4. View.
a. Layout: choose the layout of your source and target text columns.
b. Widget: Toggle between the presented windows on the right side:
Properties, Translation Finder and Timeline (see subject Supporting
Components, further in this document).
c. Show/Hide: choose what you want to see in the texts.
d. Interface: choose your mode of display: Remove borders, show
segments horizontally or vertically.
e. Column manager: manage the text columns.
Note that it is possible to add a revision column. When doing this you
see a detailed overview of the changes made by reviser.

5. Menu bar left (from left to right)


a. Save button: manual saving. (note: system automatically saves
changes after a preselected number of seconds (click on triangle
for settings).
b. Refresh.
c. Actions: All kinds of actions you can perform on the complete document.
For actions only belonging to one segment, use the segment actions
(explained later in this manual).

d. Show or hide formatting text.


e. Find and replace.
f. (multiple) Undo
g. Search bar. Based on selected column. Use X to delete search or filter
content

6. Filter.
Use X to delete the filter settings. Note that it’s possible to predefine a filter
and save it as a profile.

7. Toggling between pages and segments


This option allows you to toggle between pages and/or segments.

1. Autopropagation.
Activate autopropagate to propagate translations of similar segments
automatically. Note that this only works for one document and not for
other documents in the same job assignment.
2. Autocomplete.
3. Smart Assistant. Activate and choose the categories on which you
want to check your translation in real time. You even have the
option to activate ‘Autocorrect’. Here you can select some options
which you want the editor to correct automatically.

4. Spellchecker. Always activate the real time spellchecker.


Supporting components

The translation process is supported by a few supporting components.


See figure below: Translation Finder (1), Timeline (2) and Properties (3).
Note that you can select which components are visible (a maximum of
two open windows) You can select a window by clicking on the select
button in the upper left corner (Just above the 1 in figure 13).

You can activate a component by simply clicking on its name: the blue
dots indicate which components are active.

Translation Finder

General overview

This component shows all the hits of the translation memories and terminology
lists.

1. Phrases & terms. The hits that are found in the TMs and terminology lists with
high similarity (matches and fuzzy matches).

2. Concordances. Pieces of similar text found in TM and terminology lists.

3. Support by installed MT solutions.

4. Indication of the level of matches.

5. Source of the match (TM (translation memory) vs TB (term base)). Please note
the term base (TB, see figure 14b) always prevails over the translation memory (TM,
see figure 14b). The term base is mandatory to use.

If the cursor is in a matched text, a submenu will pop up. See figure 15.

a. Replace translation with this match.


b. Add a comment to this segment (timeline component will open).
c. Delete this hit from TM.
d. Properties of the segment. (properties component will open). This will
show the background and source of the match.
e. View/edit the segment.
f. Preview hits’ context. This will open the segments before and after the hit
in the TM.

How to use the translation memory and terminology list

The term base (TB) is always mandatory to use. The QA processes will always
detect (among other things) wrong terminology. Please note the difference
between terminology (TB, Terms) and translation memories (TM). If you strongly
disagree with a term and are absolutely sure of your alternative, please insert your
alternative and leave a comment explaining why your alternative is better (in this
context).

Translation memory (TM) is used for translation and style consistency. The TM is
a guideline for translation, but you are free to follow or change its suggestions
if, from a professional point of view, you’re convinced that changing the TM is
necessary.
Timeline
The Timeline component provides all information about what happened in a
segment.

Revisions

All changes that have been made during the revision are automatically logged into
the editor in detail.

All comments are stored per segment or document. New comments can be added
and left in the segment or sent to project participants. Use the orange text balloon
in the right lower corner to add and optionally send new comments.

Properties

In the component Properties, all background information of a segment can be


retrieved:
▪ Bookmark
▪ Document
▪ Last editor
▪ Update date, etc.

After you’ve completed the QA and the final check, the work is finished. Please
change the status of the document to ‘completed’ (top of the screen).

Please note: don’t forget that if you have finished all the documents attached to
the job, you still have to
‘complete’ the job itself! Only then your project manager will get a notification
and will be able to start with the next step.

Summary use of editor

Just as a short reminder:


▪ Make sure you apply the terminology list (TB). If you don’t agree, leave a
comment in the specific segment.
▪ Please take note of the translation memory (TM). Only if you’re very sure
you should change it, you can diverge from it. If you think we should know:
leave a comment!
▪ Don’t leave any segments in the red (error) status.
▪ Always run one or more QA checks.
▪ Always end your job by running the QA check and the Quick QA check.
▪ Please note that the translator and the reviser both have access to the
editor and to your comments.

Completing the work/job

After the translation is finished, the editor can simply be closed (click on X in
the right upper corner).

TRANSLATORS: Please, DO NOT set the document to


‘Completed’ as it will pass on to review and final QA stage after
you finish the translation stage. Thank you!
