WORD PROCESSING
WHAT IS WORD PROCESSING?
Word processing is the art of using computer to type, edit, either a memo,
letter and to document words in a most presentable and neat form into
appropriate file which can be printed at any time there is the need for it.

Word processing is the creation of documents using a Word Processor.

Word processing is the use of computer software to create, edit, view, store,
retrieve and print text document.

WHAT IS WORD PROCESSOR?


A Word Processor is a computer application program used to type
documents such as letters, memos and various types of documents.

A Word Processor is a computer application used for the production


(including composition, editing, formatting, and possibly printing) of any
sort of printable material.

WHAT IS TEXT DOCUMENT?


A text document is a written communication like letters, reports, memos,
and so on.

A text document/ text file is a kind of computer file that is structured as a


sequence of lines of electronic text.
It is usually associated with the file extension .txt
ADVANTAGES OF WORD
PROCESSOR
1. The use of computer allows for neat jobs.
2. It makes typing pleasurable.

3. There is room for corrections such that it does not

leave any scar on the document.

4. With the use of computers, text could be formatted to

suit the user’s taste

5. It allows mail merging operation.

6. It allows the production of as many copies of the

document as the owner will need and each appears as

the original.

7. It has the capability of storing text for as long as it will

be needed.

8. Document can be enhanced with graphics (pictures).

Word processors have varieties of uses and applications within the business
world, home, offices, and school. The following are the uses of word
processor.

USES OF WORD PROCESSOR

A. OFFICES
1. It is used to prepare letters, memos and letterheads.
2. It is used for preparing memos.
3. It is used for printing typed document.
4. It is used for book publications.

B. HOMES
1. It is used for letter writing or writing letters.
2. It is used for writing stories.
3. It is used for preparing resume and curriculum vitae.
4. It is used for preparing budget.
5. It is used for creating or designing cards.
6. It is used for typing our school assignments.
7. It can be used for composing e-mail messages.
C. EDUCATION
1. It is used for preparing time tables.
2. It is used for preparing examination questions.
3. It is used for preparing student’s record.
4. It is used in writing essays.

FACILITIES AVAILABLE IN
WORD PROCESSOR
The facilities available in a word processor can be used to

do the following:

1. Type document

2. Edit document

3. Store document

4. Move, copy and paste document

5. Type using different font types, sizes.

6. Insert, remove words, sentences or paragraphs and so

on.

EXPLANATION
1. Type document:
In typing a document, you must first create the document as a blank

document (CTRL + N). Afterwards, you can start typing into the blank

document created.

2. Edit document (editing a document):


Editing text is necessary because of mistakes which may occur while typing
some words, characters or sentences may not be needed again.

Editing features in MS word include:


 Copy, Cut and Paste
 Format painter
 Find and Replace (F5)
 Go to (Ctrl + G
 Spelling and Grammar (F7)
 Thesaurus
 Word Count

3. Storing / saving document:


The document created can be stored / saved (but the storage location
depends on the creator of the document).

4. Moving, copying and pasting your


document:
Moving the document involves removing it from one location to another,
that is, cut and paste (CTRL + X and CTRL + V).

Copying the document, you have the document both at the old location and
the new location, that is, copy and paste (CTRL + C and CTRL + V).

To copy a document five major methods are involved and they are:
i. Shortcut method
ii. Keyboard method (Ctrl + C – to copy and Ctrl + V – to paste)
iii. Drag and drop method
iv. Ribbon bar method
v. Right mouse method

5. Using different font types and sizes:


A font is a graphical representation of text that may include a different
typeface, point size, weight, or design.

FONT
1. Font face e.g. Ariel, Times New Romans, Comic Sans MS etc.
2. Font size: Microsoft has embedded font sizes ranging from 8 – 72.
3. Font style e.g. Bold, Italic, Underline, Justify
4. Font color: This displays color effects on text such as red, blue, green
etc
5. Font effects: This displays other effects on text such as Strike-through,
Subscript, Superscript, Change case etc.

6. Insert, remove words, sentences


or paragraphs and so on.
This is the use of CTRL + F to find words and CTRL + H to replace of insert
words.

A good example of word processor is MICROSOFT WORD.

FEATURES OF WORD PROCESSOR


Word processors have a number of features that enhance the look and feel
of documents. Such features includes but not limited to:
1. Editing
2. Formatting
3. Justification
4. Search (find) and Replace
5. Spell check / Thesaurus
6. File merging
7. Text Wrapping

EXPLANATION
1. Editing:
This involves fine-tuning the document. It may involve adding more
information or removing some information that might no longer be needed
in the document.

This might include the following:


(i) Changing specific words.
(ii) Deleting sentences.
(iii) Cutting and moving paragraphs to different section of the document.
(iv) Formatting text to make it stand out.
2. Formatting:
This includes bold, italics, underline, line space, paragraph e.t.c.

With word processing, you can change the appearance of your text by
formatting the text.

There are two kinds of formatting features:


(i) Features that effect characters or only what is highlighted.
(ii) Features that effect the entire paragraph.

Basically, formatting text documents involve:


 Bolding (Ctrl + B)
 Italics (Ctrl + I)
 Underline (Ctrl + U)
 Setting line spacing within documents in a text.
 Paragraphing, etc.

3. Justification:
This makes text to be in stretch form and also make text cover almost the
entire sheet margin. It is similar to the block format of paragraphing.

It ensures that text in a document is of the same edges both on the right
and the left of the document.

Justification is also a formatting tool in word processor.

It is a tool under a broader formatting tool referred to as “Alignment”.

There are three other alignment options apart from justification, they are:

1. Right Alignment (Ctrl + R)


2. Left Alignment (Ctrl + L)
3. Center Alignment (Ctrl + E)
4. Justify Alignment (Ctrl + J)

4. Search (find) and Replace:


The find (search) dialogue box requires that you type in the word you
are looking for in the textbox in front of “Find What” (CTR + F).

The Replace dialogue box requires that you type in the word you
are looking for in the textbox in front of “Find What” then you are expected
to type the word you wish to replace with in front of the “Replace With”
textbox.

5. Spell check / Thesaurus:


It checks if words typed are correct in line with dictionary built together with
the MS word application.

SPELL CHECKER (F7) is a utility that allows you to check the


spelling of words. It will highlight any words that it does not recognize. It
draws a wavy line under the word to indicate that it is incorrect. When you
right-click on such underlined word or sentence, it gives you a list of options
of options on the correct choice.

THESAURUS feature allows you to search for synonyms (similar in


meaning) without leaving the word processor.

6. File merging:
File merging allows you to merge two entirely different text documents into
one; sometimes it can be more than two depending on the reason for
merger.
File merging allows you to merge text from one file into another file.

7. Text Wrapping:
Text wrapping or wrapped text is where the text on a page is arranged to
flow around an image or an object.
