Chapter 2
2.0 METHODOLOGY
This chapter presents the methodology used in developing and evaluating the Qualification Exam
System. It includes the data gathering methods, system design, programming languages and tools
used, and the methodology employed in assessing the system.
2.1 METHODOLOGY USED IN DEVELOPING SYSTEM
1. Data Gathering Methods
A. Permission Letter – A formal letter was sent to obtain permission from our beneficiary to survey
students and faculty members.
B. Survey – Questionnaires were distributed to gather feedback from respondents regarding the
effectiveness and usability of the Qualification Exam System.
2. Type of Design
Security Design: The system ensures that all exam records are stored securely, preventing
unauthorized modifications or accidental loss. It protects student scores and exam data by allowing
only authorized users, such as teachers and administrators, to access relevant information.
Database Design: Exam data, including questions, answers, and results, is stored in an organized and
structured manner. This allows teachers and administrators to efficiently retrieve and analyze student
performance, making the assessment process more effective.
User Interface (UI) Design: The system is designed with simplicity in mind, making it easy for
students to navigate through exams without confusion. Clear instructions, a user-friendly layout, and
an intuitive design ensure a smooth exam-taking experience for students and efficient exam
management for teachers.
Network Design: The system is designed to function efficiently within the school's network, ensuring
smooth communication between students, teachers, and administrators. Exam data is properly
transmitted and stored to avoid disruptions during test-taking. The design focuses on maintaining a
stable connection to support the exam process without interruptions.
3. Programming Language
Developed the system using PHP, HTML, and CSS on Visual Studio Code. These technologies have
been chosen for the following reasons:
PHP (Latest Version) — PHP is a widely used, open-source scripting language for the web, and it can
be used to generate dynamic and interactive web pages at the back end, connect to a database, etc.
HTML & CSS –Utilized to format the front-end layout, improving user experience.

2.1.1 JUSTIFICATION OF METHODOLOGY USED IN DEVELOPING SYSTEM

Letters of permission and surveys become an integral part of system development due to the
compliance checks it must pass, its accuracy checks, and to ensure streamlined and effective
communication. Permission letters are used to seek permission from the beneficiary formally, and that
is done before the data gathering. This way, the investigation abides by ethical and legal standards and
does not collect data without permission. Surveys are another component, as they provide valuable
insights directly from the students, enabling the development team to customize the system according
to user preferences. When employing each of these, it allows the study team and the beneficiary to
build common expectations while continuously aligning throughout the project.
There are several reasons for selecting PHP, HTML, and CSS for implementing the Qualification
Exam System. PHP is a proven and centralized server-side scripting language that is in widespread
use, which is a strong case for web-based apps. It provides strong security features, database
connectivity, and performance, avoiding a scalable and secure system. HTML and CSS, by contrast,
offer a more logical and attractive interface that makes the application more pleasing to use.
Additionally, PHP supports a wide range of database management system (DBMS), enabling easy
data storage and extraction. Also, PHP offers rapid development with frameworks such as Laravel
and CodeIgniter. HTML and CSS allow the system to be responsive and accessible from mobile
devices to increase usability for students and administrators.
All these technologies combined allow the Qualification Exam System to be an interactive, secure,
and user-friendly platform. With the ability to interact with other web technologies, the PHP-fronted
online examination system is an efficient match for the needs of both students and administrators.

2.2.1 Justification of the Methodology Used in Evaluating the System Product

Interview surveys were utilized in this study to gather feedback from students regarding the
effectiveness of the Qualification Exam System. This method allowed researchers to identify specific
areas that required improvement or modification based on user experiences. By incorporating direct
input from exam takers and administrators, the system can be refined to enhance its ability to assess
student performance accurately. Additionally, interviews facilitated a direct interaction between users
and researchers, fostering trust and encouraging more candid and detailed feedback. The flexibility of
interviews also ensured that the evaluation process reached a diverse range of users, making it more
inclusive and comprehensive.
The use of software evaluation criteria in assessing the Qualification Exam System is justified for
several key reasons:
1. Objective Evaluation – Establishing specific software criteria ensures that the system's
performance is assessed fairly and without bias. This allows for an impartial review of how
effectively the system measures student performance.

2. Measurable Results – The application of measurable software benchmarks provides concrete

data on the system’s accuracy in scoring exams and delivering results. This helps in
identifying potential discrepancies in the evaluation process.

3. Repeatable Process – The methodology ensures consistency across multiple assessments,

allowing for a standardized evaluation over time. This is particularly useful in monitoring the
system’s reliability and improvements across different batches of examinees.

4. Comprehensive Evaluation – Software criteria enable a thorough assessment of multiple

system aspects, including exam question accuracy, usability, and result processing. This
ensures that all essential factors contributing to the system’s effectiveness are considered

5. Cost-Effectiveness – Utilizing software criteria in evaluation minimizes the need for

extensive physical resources and manual assessment, making it a practical and efficient
approach for educational institutions with limited resources.

3.0 Data Gathering Procedures

The different qualification exams at Southville 1 Integrated National High School will also help to
evaluate the effectiveness in terms of how they measure the knowledge and performance of the
students. Relevant data is obtained by distributing printed questionnaires to students involved in the
qualification exam process.
A structured questionnaire will be administered to 20 students in grades 7–10 who took the
qualification exam, as well as to the teachers involved in administering and grading the exam. We use
open-ended questions to gather feedback about students' experiences with the exam and the
challenges they encountered, as well as their views on its effectiveness in assessing academic
readiness. Teachers will weigh in, too, about the exam structure, its effect on student performance,
and what could work better.
In addition, selected school administrators will be interviewed to gain a deeper understanding of the
effectiveness and deficiencies of the qualification exam. Interviews like these will help to identify
ways to improve the exam for judging students’ academic potential.
Data collection will last for two weeks. As printed surveys will be distributed during school hours
and collected through school hours, within this period, the maximum participation will be ensured
from the target respondents. Responses collected will be analyzed, and recommendations aiming at
improving the Qualification Exam System will be proposed.

Chapter 4
4.0 The Existing Qualification Exam
The current qualification exam process at Southville 1 Integrated National High School follows a
manual system. Students take a written examination on paper, which is administered and graded by
teachers. Exam papers are physically distributed, and students are given a set amount of time to
complete them. Once finished, teachers collect and manually check the exams to assess student
performance.
After grading, scores are recorded manually in logbooks or spreadsheets for documentation. Students
receive their results through printed score reports, and teachers analyze the outcomes to determine
their academic standing.
Since the entire process is paper based, checking, recording, and evaluating student progress is time-
consuming. This system also presents challenges, such as grading errors, delayed release of results,
and difficulty tracking student performance trends over time. These limitations highlight the need for
a more efficient and accurate Qualification Exam System to improve the assessment process.
4.1 Company Background
The school uses a rigorous qualification system to determine students' academic preparedness and
potential. Traditionally, the feedback loop involves the manual inspection and grading of student
work to guarantee the procedure of evaluating student performance is equitable and precise. Yet,
throughout the school year, the school is actively working to improve its assessment practices to
provide more strategic support for student learning.
It wants to ensure a high-quality education through engaging students in a structured learning
process. Established back in 2003, the school has consistently evolved with the times, implementing
contemporary learning methodologies to improve student performance and adapt to the changing
educational landscape.
Southville 1 Integrated National High School is dedicated to promoting educational excellence and
enabling students to realize their academic potential. The intention of the school is to ensure success
among its students through constantly enhancing its evaluation system to provide them with the best
possible opportunity in a learning environment where they are motivated to succeed.
4.2 Description of the System
Southville 1 Integrated National High School currently utilizes a traditional qualification exam
process, where students take a paper based written test that teachers manually administer and grade.
The results are then recorded in logbooks or spreadsheets and later communicated to students through
printed result sheets. While this process is essential for assessing academic readiness and student
performance, it presents several challenges, including grading inaccuracies, delays in result
distribution, and difficulties in tracking student progress over time.
To address these issues, the implementation of an automated Qualification Exam System is
proposed. This system would enable faster and more accurate grading, automated result logging, and
real-time tracking of student performance trends. With such improvements, teachers can efficiently
evaluate students, provide timely feedback, and implement necessary interventions to support
learning.

By integrating automation into the qualification exam process, Southville 1 Integrated National High
School aims to enhance the efficiency, reliability, and overall effectiveness of student assessments,
ensuring a more structured and data-driven approach to academic evaluation.

4.3 Data Flow Diagram

In this data flow diagram, the researcher is responsible for managing the qualification exam content,
including questions and instructions, and setting up the exam within the system. The student interacts
with the system by taking the qualification exam, submitting their answers, and receiving the results.
The teacher interacts with the system to monitor the students' progress, review the answers, and
evaluate their performance. The total score result is stored and accessed through the system for both
the teacher and the student to review.
1. Data Input – Students log into the Qualification Exam System using their credentials. They
access the qualification exam questions and complete the exam within the allotted time. This
data includes their responses and student names.
2. Data Collection – The system then uploads the students ' answers and personal information,
including their names. It also includes a history of every student who has participated in the
exam, their answers to each question, and the total score. To do that, teachers should keep in
mind all the history of the students, which is saved for future reference, so students as well as
teachers could keep track of the performance of the student throughout their academic career.
3. Data Processing – After students submit their responses, the system calculates the total score
based on predefined correct answers. The system processes the responses and computes the
total score automatically. The result is stored in the system and can be reviewed by the
teacher and students.
4. Data Storage – All student exam data, including responses, timestamps, and total score
results, are securely stored in the school's database. This information is accessible to both
students and teachers for future reference.
