ELECTION PROCEDURE

Election can either be conducted as a show of hands or by secret ballot, based


on the consensus of the majority of members of the HEA-Hyderabad District.

Post election, it is the duty of the outgoing Secretary to hand over charges to the
incumbent management committee.

Clean, free, and fair elections are vital to society’s health. It is necessary to give
every resident in the society to take up the responsibility of the premises of their
residence. It is important to understand the value of being a proactive resident.
The initiative must be taken to contest management committee elections. Since
there’s no legal ban on re-election, often the MC members remained
unchanged for several terms, bringing stagnation in the development of the
complex.

Who can file nomination?

Every member of the association having its name in the final voter list can file
nomination/ candidature for being elected as member of the Board even if such
member has retired from the Board in the same year itself. However, a Board
member found guilty of misusing his post in its previous regime shall not be
eligible for election. The use of word ‘guilty’ here may be left to be
determined by the General Body meeting. To prove someone guilty of misusing
the post during his previous term a report submitted by the investigation
committee appointed by the President may be sufficient.

The election process for a RESIDENTS WELFARE ASSOCIATION typically involves


several key steps to ensure transparency and fairness. Here’s a general outline
of how such elections are usually conducted:

1. Announcement of Election: The association management or a designated


committee announces the upcoming election. This announcement includes
details such as the date, time, and place of the election, as well as the
positions open for election.

7. Vote Counting and Results Declaration: Once voting concludes, the

declaration of the elected candidates.

8. Challenges and Disputes: There should be provisions in place for


addressing any challenges or disputes that arise during or after the
election. This could involve a grievance redressal mechanism or an appeal
process to ensure the integrity of the election outcome.
9. Handover and Transition: Elected candidates typically assume their roles
after a formal handover process with outgoing officials, ensuring
continuity in the association’s management.

10. Record Keeping: It’s important to maintain records of the election


process, including nomination forms, voting results, and any
correspondence related to challenges or disputes, for future reference and
transparency.

Throughout the entire process, it’s crucial to adhere to the association’s


bylaws and regulations governing elections to ensure a fair and democratic
outcome. These guidelines help in fostering trust among association members
and promoting effective governance within the residential colony.

Hyderabad District branch of Hyderabad Engineers Association. This election
is an important opportunity for you to participate in the governance of our
Association district branch and to elect individuals who will represent your
interests effectively.

 Positions Open for Election: President, Secretary, Joint Secretary,


Treasurer.
 Date of Election: 1st December, 2024.
 Time: 10:00 AM – 1:00 PM

Eligibility Criteria for Nominees

Dear Members,

In accordance with the bylaws of the Hyderabad Engineers Association (HEA),


please take note of the following eligibility criteria for nominees seeking to stand
for election to the association’s executive committee:

1. Membership: Nominees must be members of HEA working in the


Hyderabad District.

2. No Legal Disqualifications: Nominees must not have any legal


disqualifications that would prevent them from serving on the executive
committee as per laws and regulations.

3. Nomination Procedure: Nominees must submit a completed nomination


form by the specified deadline. Each nomination form must be signed by
at least 2(Two) members of the HEA endorsing the candidacy of the
nominee.

4. Commitment: Nominees should be willing and able to commit the time


and effort required to fulfill the responsibilities of the position they are
seeking.

5. Ethical Standards: Nominees must agree to abide by the code of conduct


and ethical standards outlined in the HEA bylaws.

6. Previous committee members are eligible to nominate themselves for re-


election.
