Identifying a file

There are two ways to identify a file stored


on your computer. By its
❖ Filename
❖ Extension
Naming A File
The name of a file can be used for identifying the file. The operating system will
determine the length of the filename. The Windows operating system allows for
filenames with up to 255 characters. Therefore, you give meaningful file names to
your file. For example, creating a file containing minutes for a club meeting scheduled
on July 2006, could be named:

Minutes for key club July 2006. docx


Notice the filename has thirty characters. Spaces are special characters and should
also be included in the count. On the other hand, the DOS operating system allows
for filenames with up to 8 characters. In this case, the user may use mnemonics in
naming the file.

are intended to be easier to remember
than the thing for which they stand.

Difference between Filename & Extension
A filename consists of two parts:

• The Filename is the name given to the file by the user. The
filename precedes a period as shown in the file identifier
structure.
• The Extension is part of the filename that represents the
file type. The extension is assigned to the file by the
software in which the file was created.

Why is file management Important
1. Organizing Files reduce the time spent in locating these
files, especially in times of stress
2. It also improves the possibility of total recovery or fast
backup of important information in case of an
emergency.
3. Facilitates the ease of file sharing.
4. Guards against hoarding of files, or lost files which
gradually decrease storage space.
5. Increase the speed and efficiency of a file search.
6. Users are more aware of files stored which decrease the
possibility of duplication.
