CHAPTER ONE

GENERAL INTRODUCTION

1.0 INTROODUCTION

A school according to Wikipedia, is an educational institution that provides instructional and

learning space. Most countries, particularly Cameroon have a systems of formal education which is

sometimes compulsory. In these systems, students grow through a series of schools. The aim of this

system is to help school administration in their work and will also help students register into a

particular school (colleges, high school) online. The system allows school administrations to manage

student’s registration and records online. The system manages the registration data of multiple

students of various data and time. Each time a user visits the system, his/her credentials will be

stored in a database. Next time a user loges into the system, no need for registration but rather

using the user name and password used during the first registration process.

1.1 BACKGROUND OF WEB BASED E-REGISTRATION SYSTEMS

The field of information has improved tremendously in the past decade with the invention of so

many kinds of new technologies for example e-commerce, e-learning and online registration to

name a few. The proposed model is to implement online registration system at hismil a private

institution in Cameroon with the view of improving efficiency in the registration process. The need

to speed up the process of registration at higher institutions is more vital and need is there to

automate the process.

This has wasted much time and financial resource for students as they sometimes travel only to

register and some have failed to meet the stipulated time frames (chaka & mungadzi, 2013).
An e-registration is a computer generated process that supports the operations and management of

students. This is design to record, verify, and processing of student’s information, who register to a

particular institution. Despite the service provided by e-registration system, but various institutions

still use manual procedures, they manually take down students records and information on record

books in which it is time consuming and they can easily get lost or damaged. Student Admission can

be understood as a process in which applicants apply to be part of an institution (to be admitted to

an institution). Like the manual registration system, where the procedure of registration starts with

the filling of student admission form by a prospective student via the university’s manual admissions

department (in this case, the secretary and admin) (malalha, 2012).

The second will be the Universities Admission Department (in this case, the secretary and the

admin) will review and consider the application for admission and it will check that all the

prerequisite and required information which is compulsory is provided or not, also the

documentation required with the form just like certificates required are attached to the form or not

attached to it. If any information is lacking, the admission department will send to the user the

application from where it was initiated, to rearrange and provide the missing documents or

mandatory information required (Admission Procedure & policy, 2012).

The whole entire application will be forwarded, along with the required documents to the section

of the admission department for the evaluation, eligible staff members will have right to decide that

which application is accepted or rejected. Since there are lots of chronological steps those needs to

be followed in the manual registration process, chances are high that mistakes can be made. These

mistakes compound by thy tediousness involved in the manual registration process has got a greater

impact to the university in terms of administration and efficient running of the university, because

registration is the starting point of all other processes In an academic year.


1.1 PROBLEM STATEMENT

With the future rapid increase in the student population in a school like hismil, combined with the

current trends and development in information technology (IT), providing a high-quality student

information and registration system that is reliable, secure, adaptable, scalable, and fault tolerant

becomes a foundation issue( Group-BIT-J/14/021, 2014). After conducting a thorough interview with

the staff and students of other schools such as ISPA, it’s therefore very clear to state that there are

several problems with the existing manual system of managing student information and records

especially when it comes to the registration processes. The current registration system really need

to be redesign and improved. These

The existing system which is a manual system is said to be time consuming. This brings about delays

and long number of students are on the wait which increases the work load on the staffs and

students with costly processes in terms of purchasing accessories like paper, files and shelve,

combined with dissatisfaction from students and staff as a result of reputation of work that may

lead to inadequate accountability and cases of redundant repeated number allocation to students

(Group-BIT-J/14/021, 2014).

There is a registration problem due to some manual means of registration which can easily lead to

misplacement oor loss of student information.

The manual pre-assessment of student registration system is very slow and takes a lot of time which

causes the delay in completing the entire enrolment process( research project, 2021) to consume

lots of time and human efforts due to long queue of paying money in the banks/credit-unions and

registration processes.
Due to manual means of generating reports for students, such report can easily be misplaced or

lost . The outcomes from this study will help the university to know whether or not the problems of

manual handling of students\ registration and mismanagement of records have been overcome. The

level of acceptance and use of web=based registration system by the students of the university, that

the findings of this research will give a foundation for improving e=registration at the institution.

From which other institution of higher learning in the country can copy to improve upon their own

e=registration exercise (research project, 2021).

1.2 RESEARCH QUESTIONS

Her we are going to look at the general questions and the specifics questions which by the end of

this project, has to be answered for a better understanding of the topic.

1.2.1 GENERAL RESEARCH QUESTIONS

“Will designing and implementing a web based students\ registration system be an effective method

for managing students registration and reducing time consumption in the entire registration

process?”

1.2.2 Specific research questions

 Can a user friendly web application be put in place to manage students\ registration?

 Can a better system be design to create an inter-switch whereby students will be able to make

any required payment through the website, payment like tuition fees, registration fee, and

defense fee and so on?

To investigate how web based registration system will help schools for better productivity.

1.3 OBJECTIVE OF THE STUDY


The objective of tis a quick overview of the study. In this study, we have one general objective and

several specific objectives.

1.3.1 GENERAL OBJECTIVE

The main objective of this research was to develop an interactive, secured, usable, reliable, correct

and flexible e-registration system to be implemented and used by any institution so as to support

registration/admission processes.

1.3.2 SPECIFIC OBJECTIVES

The main of this project leads use to these specific objectives, that is;

- To put in place a user-friendly gigital platform to manage students’ registration in institutions

- To put in place a user-friendly digital platform that will equally facilitate in the keeping of

students information to avoid data redundancy and lost

- To develop mechanism for protecting the database and the information stored, as well as for

managing users of the system.

By the end of this work, my main objective of this work is too design an appropriate system that is

secured, usable, reliable, correct and flexible for the setup of a WEBSITE=BASED STUDENT

REGISTRATION SYSTEM.

1.4 SCOPE AND LIMITATIONS OF THE STUDY

1. Online Registration: Student can register for courses online, saving time and effort.

2. Course Selection: Student can view available courses, check schedules, and select their preferred

classes.

3. Fee Payment: Secure online payment options for tuition fees and other Charges.
4. Student Profile Management: Student can update information, view grades, and track academic

progress.

5. Communication Tools: Features like messaging, notifications and alerts for important updates.

6. Accessibility: Available 24/7 from any location with internet access.

7. Integration: Ability to integrate with other systems like student information system or learning

management systems.

1.4.1 LIMITATIONS OF THE STUDY

1. Internet Connectivity: Reliance on stable internet connections for system access.

2. Security Concerns: Risks of data breaches, hacking, and unauthorized access to student information.

3. Technical Issues: System downtime, glitches, or compatibility problems with certain devices or

browsers.

4. Scalability: Challenges in handling a large number of users simultaneously during peak registration

periods.

5. User Training: User may require training to navigate the system effectively, especially for older or

less tech-savvy individuals.

6. Data accuracy: Dependence on users to input correct information, which may lead to errors in

registration or students records.

7. Maintenance Costs: Ongoing maintenance and updates required to ensure system functionality and

security.

1.5 OPERATIONAL DEFINITION OF TERMS

– CASCADING STYLE SHEETS (CSS): Is a style sheet language used for describing the presentation of a

document written in a markup language. css is a cornerstone technol0ogy used by most websi5tes

to create visually engaging webpages, user interfaces for mobile, desktops and web applications.
– JAVA: Is an object-oriented computer programming language commonly used to create desktops,

mobile applications. In java languages, it is easier and faster to code in than the more structured

and compiled languages such as C and C++. Java makes use of more effect components like Javafx

which is a design framework of java.

– JVAFX: Javafx is a framework of java usually for the splitting and designing of application forms.

– SQL: Structured Query Language (SQL) is a programming language used to communicate with and

manipulate database. SQL was developed in the 1970s by IBM researchers. SQL is extremely

accessible across and generally user-friendly.

– RDBS: A relational database is a type that stores and provides access to data points that are related

to one another. Relational databases are based on the relational model, an intuitive, straightforward

way of representing data in tables. In a relational database, each row in the table is are record with

a unique ID called the key.
