Introduction to Google Calendar
Session Objective

By the end of this class, you will be able to:

book meetings and events, as well as
receive notifications about forthcoming
activities, so you always know what's up
coming.
▪ A calendar is built for teams, making it
simple to share your schedule with
others in the team
Calendar views

▪ Different calendar views allow you to see


a single day, a week, a month, or even a
full year on your calendar

▪ To choose the amount of time you’d like to


display, use the menu on the upper right
side of your calendar
Calendar views

▪ Choose a calendar view based on your


needs. If you need to get a sense of your
schedule for the whole month, select
‘Month.’ Choose ‘Day’ if you want to see
the details of a particular day. You can also
click the checkmark next to ‘Show
weekends’ to make weekends disappear
from your calendar

▪ You can use the mini calendar to quickly


find a date in the future or past, without
switching the view on your main calendar
Create an Event

▪ A calendar event can be anything that you need to schedule and remember such as a work meeting, a
get-together with friends, or even a reminder to yourself to water your plants

▪ Let’s create a calendar event for a ‘family reunion.’ First, use your mini calendar to find the date when you
would like to hold your event. The mini calendar displays a month at a time, so it allows you to quickly find
dates in the future

▪ Click on the date on your mini calendar. Let’s say in this case it is April 15, 2022

▪ It should now appear on your main


calendar. Now, click twice the date on your
main calendar. Clicking twice is called a
‘double click’

▪ A new event will open


Create an Event

▪ Next, give your event a title. Click on the words `’Add title,’ and type in the name of your event. Make sure you
remember the title when you see it on your calendar. Now, you can add details to your event, such as the time,
description, and location. You may notice that the ‘All day’ box is checked. If your event will last all day, like a
vacation, leave that box checked. If your event has a start and an end time, click on the ‘All day’ box to
uncheck it. Start and end timings for your event will appear

▪ Now, enter your event’s start and end time


Create an Event

▪ Click on the starting time for your event. This will open a menu with all the possible starting times. Click on the time that
you want your event to start. Repeat this process with the ending time for your event

▪ Next, click on ‘Add location’ and type in the location where the event will take place, and then click on ‘Add description,’
and type in a short description of your event. Your description can just be a few words about your event, or you can
provide more details. Your calendar will automatically create a notification for the event you schedule

▪ Notifications are reminders that pop up on your screen to remind you that an event is coming up

▪ If an event is an all-day event, it will send you the notification, a day before the event. If the event is at a specific time, the
notification will come half an hour before the event

▪ You can choose the timing of any notifications. To do this, click ‘Add notification’

▪ Google calendar allows you to rapidly book meetings and events, as well as receive notifications regarding the
forthcoming activities, so that you are always informed of what's coming up. A calendar is built to share your schedule
with others in a team

▪ Numerous calendars can be created for a team

▪ Whether it’s paying bills each month, taking medicine every day, or attending weekly team meetings, there are many
events that you need to keep a reminder for

▪ You can manually re-enter each event and reminder in your calendar, but that would take a very long time

▪ In this pre-kit, you will learn to set up your events and reminders to repeat when you want them to

▪ To begin, click one of your events and edit it. For example, ‘Do Yoga’ in the image below:
Create an Event

▪ Right now, your event is scheduled so as not to be repeated

▪ To change that, click the dropdown menu


Create an Event

▪ Here, you’ll see different suggestions for repeating a marked event, such as daily and weekly. You can also set
up your customized repetitions. Choose how often you would like your event to repeat. Let's say that you
choose daily

▪ Then, click Save

▪ Your event will repeat on your calendar at the time interval you chose. You can set up reminders to repeat on
the same interval, for example, a bill that you need to pay monthly. If required, mark each reminder as done
when you complete it
