How to create suppliers

Click edit =>partners =>new

Click on the Basic Information tab to enter basic details about the suppler/customer:

1. click auto generate


2. enter company name
3. enter contact name
4. enter city(optional)
5. enter Address(optional)
6. enter Phone(optional)
7. enter Fax(optional)
8. enter VAT number(optional)
9. change State to the partner is frequently used, sort before others

Click on the Additional Information tab to enter additional details about the partner:

1. enter e-mail, (optional)


2. enter bank name, (optional)
3. enter BIC, (optional)
4. enter IBAN, (optional)
5. enter bank VAT account, (optional)
6. leave price group as retail price
7. Don’t enter discount
8. Change partner type supplier
9. enter Card No (optional)
10. leave Pay within. (optional)

Click on the Groups tab to create a structure of groups and subgroups.

1. Click new
2. Enter group name
3. Click on enter
4. click on enter

How to create an item
Click edit => items=>new

Click on the Basic Information tab to enter basic details about the item:

1. code click auto generate


2. enter name
3. scan barcode(optional)

(Click the button next to the Barcode field to open a window, where you may enter
additional barcodes of the item)(you can create WIEGHTED BARCODE BY
CLICKING arrow and click on weighted. after that remove 8 and add c after the
numbers.)

4. enter catalogue (optional)


5. enter description
6. change state to the item is frequently used, sort before others

Click on the Additional Information tab to enter additional details about the item:

1. enter basic measure,


2. enter transformation ratio, (optional)
3. enter additional measure,
4. enter minimum quantity, (optional)
5. enter nominal quantity, (optional)
6. enter item type and VAT group.

Click on the Price tab to enter all sale prices of the item.

You can enter values for Wholesale Price, Retail Price, Price Group 1, Price Group 2, Price
Group 3, Price Group 4, Price Group 5, Price Group 6, Price Group 7 and Price Group 8.

Click on the Groups tab to create a structure of groups and subgroups.

1. Click new
2. Enter name
3. Click save
4. Click save again
How to create a user
Click edit => user=>new

Click on the Basic Information tab to enter basic details about the user:

1. Enter code,
2. Enter username
3. Enter password
4. Enter password confirmation
5. Enter access level
6. Enter location
7. Enter company used
8. Enter card No (optional)
9. Enter State

Click on the Groups tab to create a structure of groups and subgroups.

1. Click new
2. Enter name
3. Click save
4. Click save again
How to load stock
Click operations => purchases

Purchases represent the receiving of new quantities of stock in your warehouse. The quantity
of items in stock increases and their average or lot prices are calculated. The operation
represents the accounting term "Incomes".

1. In the Partner field fill in the name of the company/supplier.


To select a partner do one of the following.

-click on the button


- select supplier name
- click ok

2. In the Location field fill in the name of the location.


To select a location do one of the following:

-click on the button


- select default location name
- click ok

3. In the User field fill in the name of the user who will perform the purchase.
To select a user, do one of the following:
-click on the button
- select user name
- click ok

4. In the Item field fill in the items that will be delivered.


To select an item do one of the following:

-click on the button


- select item name
- click ok
5. Enter quantity, purchase price and discount (%)

6. Keep pressing enter to go to the next line


7. To finish loading the stock click on save an follow the prompts.
Item stock report
Click reports => item=>item in stock

In the first window of the report specify the filter criteria and the fields that will be
visualized.

Only rows that are checked are visualized in the report.

To select a filter do one of the following:


- type the entire searching name in the text field;
- use keyboard shortcut F4;

- click on the button;


- type * followed by part of the name in the text field; for example, if you type "*re" in the
item name field, the report will be generated for all items that consist "re" in their names.

You can limit the report to a single criterion for example, visualize the quantities of a single
item, or you can apply several criteria at a time for example, visualize the quantities of a
single item in a particular location.

Use the quantity filter to generate a report containing only items with quantities equal to five:

In the Report type specify the contents of the report. The Standard type displays item
quantities by locations, as well as sale and purchase prices. Stocktaking with quantity
displays only quantities and an empty column "Counted". Stocktaking without quantity
displays only the column "Counted". Brief displays only item quantities.

If you are working with lots, the application will add filters about the lot number, serial
number, production date, best before date and lot position.

To remove all specified filters, click on the button. The report will display all
operations without any restrictions.

Click on the button to generate the report using the specified criteria. Click on the
button to close the window.
HOW TO DO Write-off
Use the Write-off operation to aid you in writing-off of items for companys own needs for
example, when part of the available items is needed for internal operations or for own
consumption. The operation is similar to Sales, but no incomes are generated.

To fill in the Write-off window do the following:

In the Partner field fill in the name of the company, for which items are written-off.
To select a partner do one of the following:
- use keyboard shortcut F4 in the partners list;
- use the Enter key in the partners list;
- click on the button;
- type the partners name in the text field;
- type the partner's telephone number in the text field;
- type the partners code in the text field;
- type the partners UIC in the text field.

In the Location field fill in the name or code of the location from which items will be taken.
To select a location do one of the following:
- use keyboard shortcut F4 in the locations list;
- use the Enter key in the locations list;
- click on the button;
- type the name of the location in the text field;
- type the code of the location in the text field.

In the User field fill in the name of the user who will perform the operation.
To select a user do one of the following:
- use keyboard shortcut F4 in the users list;
- use the Enter key in the users list;
- click on the button;
- type the users name in the text field;
- type the users code in the text field.

In the Item field fill in the items that will be written-off.


To select an item do one of the following:
- use keyboard shortcut F4 in the items list;
- use the Enter key in the items list;
- click on the button;
- type the name of the item in the text field;
- type the code of the item in the text field;
- type the barcode of the item in the text field.
HOW TO DO items flow report
Click reports => item flow

This report will give an over view of your items info.The Items Flow Report is a mathematical
summarizing of operations by items. The current quantity and income/expense is defined in a
separate column for each item. You can use this report for summary tracking of all documents and
operations. The quantity in the report is the item quantity in all selected documents and operations.
You can track the total quantity in sales, purchases and other operations for a single item. Each item
is displayed on a separate row in the report.

(to get current stock do not enter dates)

If you want to see all the items do enter any info in the fields and click enter

For example, you can generate an item flow report for a specific period of time by using the
date filter:
HOW TO DO stock take
Click edit=>administration=>stock take

To fill in the Stocktaking window (click on the icon or use keyboard shortcut Ctrl+J
to open it) do the following:

In the Location field fill in the name of the location, in which items will be edited.
To select a location do one of the following:
- use keyboard shortcut F4 in the locations list;
- use the Enter key in the locations list;
- click on the button;
- type the name of the location in the text field;
- type the code of the location in the text field.

In the Operator field fill in the name of the user who will perform the stocktaking.
To select a user do one of the following:
- use keyboard shortcut F4 in the users list;
- use the Enter key in the users list;
- click on the button;
- type the user’s name in the text field;
- type the user’s code in the text field.

In the Item field fill in the items for which stocktaking will be performed.
To select an item do one of the following:
- use keyboard shortcut F4 in the items list;
- use the Enter key in the items list;
- click on the button;
- type the name of the item in the text field;
- type the code of the item in the text field;
- type the barcode of the item in the text field.
HOW TO DO refund report
Click report=>refund

The Return Report displays the chronological order of returns documents and items, whereas no
grouping or mathematical data processing is done. Thus each document can be displayed by rows
and all documents can be displayed together. You can use the report to track actual data input by
documents, by users, by dates, etc. without summarizing documents or items. Each row in the
documents corresponds to a row in the report

HOW TO DELETE AN ITEM


Click edit=>item=>select item=>click on edit (on the side) =>change status to
discontinued=>save
To setup microinvest to pick up barcode from
scales

First you have to know what format the barcodes from the scale have. Is it wight or price embedded
barcodes

i.e., FFXXXXCWWWWWC OR FFXXXXC$$$$$C

FF = function code

X =plu no

W = weight

C = check digit

Open warehouse pro

1. Click edit
2. Click item
3. Click new
4. Click tick auto generate check box
5. Enter product name
6. Click on the arrow at the end of the barcode field

7. Click on the weight button and a weight barcode will appear


8. Adjust the barcode to match your scale format and click ok
9. Click on additional tab and change basic measure to kg

10. Click on price tab and enter retail price and click save
How to create a reciepe
Click operations=>production=>recipes

 Click on to open item list and choose final item/product


 And then choose raw materials.
 Click apply

To void a whole transaction

 Click on the void icon

To void/remove a single item

 Press F12 on keyboard
 Scan or type name
 Press enter

How to cash up
 Click on control panel
