Guest Room Energy Management System (GRMS)

Design Review Process for Approved Manufacturers

Intent:

1. Guest Room Energy Management System is mandatory. Key Card switching is not allowed.
2. For better ROI, we must make efforts to reduce cost of GRMS system without compromising guest
experience or energy saving.
3. For new build full service/luxury projects, the system must be connected to Property Management
System (PMS).
4. Considerations are given for Focus Service Hotels, some of the conversion projects and renovation
projects to install standalone GRMS that will still reduce energy consumption but may not be able
to connect to Property Management System (PMS) due to limitation on existing wiring.
5. Any deviation must be discussed with Hilton Team and approved by Hilton TS.
6. Our past experience shows that changes were made to the design for various reasons that ended
up in expensive rework/rectification apart from the damage to the brand reputation. We must
avoid this from now on.
7. The purpose of this exercise is to ensure that GRMS is designed correctly for each room type,
specified with proper mapping, installed with approved parts/components, rigorously tested and
handed over to Operations with all documentation.

Mock-up Room Design Stage:

1. Mock-up Room is designed and constructed at early stage of the project. Hilton TS will provide
design of approved layout showing furniture layout, RCP and elevations.
2. Approved GRMS manufacturers will provide GRMS design proposal including specifications of
Thermostat with or without PIR, Motion Sensors, Door Contact, RCU etc. It should also provide
type/location of thermostat/PIR, Motion Sensors (Bathroom and Bedroom), RCU, Data Sheets for
each component used in the system including Power Supply, UPS etc. Provide System
Architecture, Programming of Thermostat, Interface Matrix, Mapping of the room showing
effective coverage of the PIR/motion sensor/s, specify blind spots (if any) and provide testing
method statement.
3. All equipment/components must be tested to international recognized testing Authority such as
NATA, UL, CE, BSI or Hilton approved equal.
4. Mock-up Room is constructed for typical room/s but there will be other rooms different in sizes,
shapes and configurations such as king, double, two bay, suites etc. Please ensure that GRMS is
designed and mapped for each room type, size and shape. Please ensure that the mapping and
active coverage works for all layouts.
5. Bathrooms are normally covered with one sensor unless it is very large bathroom with separate
bath tub etc. There may not be need to install motion sensor in the entry vestibule or locations
where the guests are not likely to stand there for long time.
6. Purpose of GRMS is to maximise energy saving. Referring to Mock-up Room Design design, clearly
state which light fixtures and socket outlets will be controlled by GRMS. Explain how the GRMS
system will interface with PMS.
7. Confirm that there will be no light blinking or visible indication from the Motion Sensors/PIR.
8. Confirm that there will be no clicking sound from any of the GRMS devices while operating/sensing
in the room
9. Explain what will happen if any of the components fail during the operations of the hotel, how can
it be detected by the Operations team and what will be the “fail-safe” setting for GRMS so that
the guest experience is not affected
10. State the warranty that your company will offer to Owner/Hilton for GRMS “components &
function” of the GRMS system

Examples of Mapping (Inadequate Coverage and Full Coverage)

Mock-up Room GRMS Approval Stage:

1. Inspection/T&C at Mock-up Room stage requires verification of system components including but
not limited to make/model/origin/capacity/listing etc.
2. It is generally not possible to connect GRMS to PMS Mock-up Room stage. However, the system
must be functional for TS approval. The interface of PMS can be demonstrated with help of a
laptop.
3. A video recording of the room showing correct function of GRMS is necessary. The video should
be taken to simulate worst case scenario.
4. We encourage the Technical representatives from the approved manufacturers to attend the
inspection with TS Team and verify the function of GRMS at site.
5. We ask the approved manufacturers to provide method statement for testing & commissioning
of GRMS

Data Logger:

1. An electronic device (Data Logger) can be installed to record activities of the doors switch, motion
sensors, PIR and lights. Some of the manufacturers have demonstrated such device successfully.
Please advise if your company can provide Data Logger to verify the results.
Responsibility:

1. The approved Manufacturers to get involved and control the GRMS system from design to
handover stage though the local SI may be doing the work
2. Manufacturers should screen the System Integrators and provide a shortlist of approved SI for
each project
3. Manufacturers to explain this procedure to SI and ensure that the design/components are not
changed by SI without approval from Hilton TS.
4. SI must not club GRMS proposal with supply of other material/services. Scope of GRMS work
should be limited to supply and install GRMS components, provide test reports with handover
documents. GRMS scope should not include switch plates, wiring, conduits, diming system, light
fixtures, sockets etc.
5. With Hilton TS Team, Manufacturers should stay committed to make the GRMS as an effective
solution for energy management.
6. Provide examples of hotel names where this system is installed and working over one year without
any complaints
7. Provide proposed ROI based on the cost of energy saving at that location considering 100%
occupancy
