Excel is a powerful spreadsheet program that manages, analyzes,
and presents data, offering powerful tools for organizing large
amounts, performing complex calculations, creating professional
charts, and enhancing worksheet appearance.

How to start Excel? (3 ways)
Start using icon on taskbar
- Locate the Microsoft Excel icon on task bar
- Click it once
Start using search menu on taskbar
- Click the search button
- Type Microsoft Excel
- Click the excel icon
Start using icon on desktop
- Locate the Microsoft Excel icon on desktop
- Double click the icon

Parts of Microsoft Excel


Title Bar
- Appears at the top of the program window and display the
name of the workbook and program

- Appears on the left side of the title bar and contains
frequently used command.
- Save, undo, redo

Ribbon
- Located below the title bar, consist of set of tabs, which
contains group of related commands
Formula Bar
- Appears below the ribbon and displays the data or formula
stored in the active cell
Name box
- Appears on the left side pf the formula bar and displays the
address of the active cells, selected or even range.

- Appears below the formula bar and displays portion of
active worksheet

- Appears below the workbook window and displays the name
of the worksheets

Scroll bar
- Appears along the right side and bottom of the workbook
window that enables you to scroll through worksheet

the statues of excel

Exploring Ribbon
Ribbon
- Is designed to help you quickly find the commands that
you need to complete a task. It consist of sets of
specific tabs.
Parts of The Ribbon
1. Tabs
- represents general activity area
Types of Tabs
A. Standard Tabs
- are visible at all times
A. Contextual Tabs
- appears only when you create or select certain types of
objects (images/tables)
images/pictures - picture format
Tables – table design
Shapes – shape format
Chart – chart design and format
2. Groups
- sets of related commands displays on tabs
Dialog box launcher
- located in the ribbon's lower right corner, opens a related dialog
box or task pane with more options or precise control than the
ribbon commands.

3. Commands
- it is a function buttons that found in every group under the
ribbon tabs.

Keep In Mind!
- Collapsing or minimizing the ribbon means hiding the groups,
the buttons or commands and even the tab.
Three Ways of Collapsing The Ribbon
1. By clicking the collapse the ribbon button found at the right
corner of the ribbon.
2. Right click anywhere on ribbon area.
3. Double clicking on any ribbon tab.
Different Tabs of Ribbons
File tab
- displays the back stage view which contains commands
related to managing files and customizing the programs.

New: To create a new file.
Open: To open an existing file on the computer.
Save: To save changes made in the open file.
Save As: To save the file with specific name to a preferred
location in the hard drive of the computer.
Print: To print the hard copy of the open document.

Home tab
- contains the most frequently used commands active by
default

Clipboard – primarily used for cut, copy, and paste


Fonts – used for choosing the desired font and size
Alignment – used for alignment of tabs – top, middle, or
bottom alignment of text within the cells.
Number – provide options for displaying number format
Styles – gives you various styles of cells. Includes formatting
table and conditional formatting.
Cells – used to modify the cells, it also insert and delete new cells
and rows from this group.
Editing – useful for editing the data o excel sheet. The most
prominent of the commands here is the find and replace in excel
command.

Tables - provides a superior way to organize the data. Includes


pivot
tables to analyze complex data very easily.
Texts - used to insert text in the desired format
Charts - one of the most useful features in excel. it helps you
visualize the data in the graphical format.
Links - tools that provide hyperlinks from the excel sheet to an
external URL or files.
Sparklines - are mini charts that are made on the number of data
and can be displayed with these cell
Illustrations - provides a way to insert pictures shapes or artwork
into excel
Symbols - consists of two parts: equation and special character

- contains commands that affect the overall appearance and
lay out of the worksheet

Theme
Themes - allow you to change the style and visual look of excel
Page set up - important group primarily used along with printing
an excel sheet. margins, paper size, orientations are found in this
group
Scale to fit - is used to stretch or shrink the print out of the page
to a percentage of the original size
Sheet options - use useful features for printing. used to print grid
lines
Arrange - gives different options for objects inserted in excel like
bring forward, send backward, selection pane, align group objects
and rotate

Formula tab
- contains commands used to insert formulas, define names
and audit formulas

one uses in excel

Data tab
- contains commands used to manage data and import or
connect to external

Get and transform - this is an advanced feature and is used to
combine data from multiple sources and present it in the desired
format
Connections - this feature is used to refresh the excel sheet
when the data in the current excel sheet is coming from outside
sources
Sort and filter - this feature can be used to sort the data from a
to z or z to a and also you can filter the data using the drop-down
menus.
Data tools - used for creating various scenario analysis using
what if analysis data tables, goal seek in excel, and scenario
manager.
Forecast - used to predict the values based on historical values
Outline - used to present the data in an intuitive format using the
group and ungroup options from this.

Review tab
- contains commands used to check spelling, track changes,
add comments, and protect worksheets.

Proofing - interesting feature in excel that allows you to run spell
checks in the excel.
Language - used to translate excel sheet from english to any
other language.
Changes - used to track the changes that are made.
Comments - very helpful when you want to write an additional
note for important cells.

View tab
- contains commands related to changing the view and other
aspects of displays.

Workbook views - used to view the workbook in different viewing
options
Shows - used to show or not show formula bars, grid lines, or
heading in the excel sheet.
Zoom - used to zoom in and zoom out the other parts of the excel
sheet.
Window - helpful feature that allows the user to open the second
window and work on both at the same time
Macros - used to record actions taken in excel and it has the
capability to execute the same actions again if required.
