Library System Procedure

1. Membership Registration

Objective: To register new users in the library system.

Steps:

1. The user fills out a membership application form (online or physical copy).
2. The librarian verifies the user’s details (ID proof, address, etc.).
3. A unique Library Membership ID is assigned.
4. Membership fees (if applicable) are collected.
5. The system generates a Library Card with the user’s details.
6. The user receives credentials for the online catalog system (if available).

2. Book Cataloging

Objective: To add, update, and manage books in the library system.

Steps:

1. The librarian receives new books.


2. The book details (Title, Author, ISBN, Genre, Publisher, etc.) are entered into the
Library Database.
3. A unique Book ID or barcode is assigned.
4. Books are categorized and placed on shelves according to their classification (Dewey
Decimal System or other classification methods).
5. The system updates the book availability status.

3. Book Borrowing

Objective: To allow members to borrow books.

Steps:

1. The user logs in to the library system (physically or online) to check book availability.
2. The user provides their Library Membership ID at the counter.
3. The librarian scans the Book ID to register it under the user’s account.
4. The system updates the book’s status to “Checked Out”.
5. A due date (e.g., 14 days) is set for book return.
6. The user receives a receipt with borrowing details (Book Title, Due Date, Fine Rules).

4. Book Returning

Objective: To process book returns and update the system.

Steps:

1. The user returns the book at the counter.


2. The librarian scans the Book ID and updates the system to "Available".
3. The book’s physical condition is checked.
o If the book is damaged, a fine may be applied.
4. If overdue, the system calculates the fine.
5. The fine (if any) is paid, and the transaction is recorded.
6. The book is placed back on the shelf.

5. Overdue Fine Handling

Objective: To manage overdue books and enforce fines.

Steps:

1. If a book is not returned by the due date, the system marks it as "Overdue".
2. The system calculates the late fee (e.g., $0.50 per day).
3. The user receives a notification (email/SMS) about the overdue book.
4. The user must return the book and pay the fine at the counter.
5. If the book is lost, the user may need to pay the full book replacement cost.
6. Once the fine is cleared, the system updates the user’s record.

6. Book Reservation

Objective: To allow users to reserve books that are currently unavailable.

Steps:

1. The user searches for a book in the online catalog.


2. If the book is checked out, the user places a reservation request.
3. The system adds the user to the reservation queue.
4. When the book is returned, the system notifies the first user in the queue.
5. The book is held for a limited period (e.g., 3 days) for pickup.
6. If the user fails to collect, the reservation passes to the next person in line.

7. Lost or Damaged Books

Objective: To handle cases where books are lost or damaged.

Steps:

1. The user reports the lost/damaged book to the library.


2. The librarian assesses the damage or verifies the loss.
3. The system calculates the replacement cost based on:
o Book’s original price
o Library policies
4. The user pays the replacement cost or provides a new copy.
5. The system updates the user’s record and removes the lost book from inventory.
6. If the book is found later, the user may request a refund (if policy allows).

8. System Maintenance & Backup

Objective: To ensure the library system functions efficiently.

Steps:

1. The IT team conducts regular backups of the library database.


2. System software is updated for security and performance improvements.
3. User access logs are reviewed to detect unauthorized activities.
4. Physical book audits are conducted periodically to match system records with actual
stock.
5. Outdated or damaged books are removed and replaced as needed.
