Subject: Welcome to the Team and Meeting Request for Email Protocol Review

Dear Alex,
I hope this email finds you well. Welcome on board to our team! I wanted to take a moment
to officially welcome you to our team. We are thrilled to have you on board as our new
employee, and I believe you will make valuable contributions to our organization. We look
forward to working with you.
As you settle into your new role, I wanted to share some important information regarding
workplace communication and need to highlight the importance of concise communication
and workplace design in improving the clarity of workplace messages.

In the present speedy workplace, the ability to communicate concisely and effectively is
crucial. By utilizing workplace design principles, we can improve the clarity and effect of our
messages. Workplace design refers to the structuring and formatting of workplace
communications so that they are easily understood by the intended audience.

To show the importance of this, I would like to share an example of a message that I
received that was not clear in its purpose and presentation of information. The email was
regarding an urgent update on policies. The subject of the Email was “Update information”
with lengthy and disorganized information referring to a file but there was no attachment
with that email. It did not provide any information on the nature of the information being
shared, Without a clear subject, a sense of urgency, and without an attachment file. As a
result, I have to reach out to the sender for further clarification on the content of the email.
Therefore, it was a waste of time, fail to provide communication about the policies.

To ensure effective communication and avoid such concerns within our team, I would like to
arrange a meeting with you to review proper email protocols and practices. This meeting
will provide the opportunity to discuss the importance of communications, appropriate
email manners, and strategies for structuring workplace communications.

I have already coordinated with our supervisor, and we have scheduled the meeting for the
upcoming Wednesday at 11.00 am in the meeting room on the 2nd Floor. Please mark this on
your calendar and make sure to attend.

Meanwhile, if you have any queries on your mind or need any kind of assistance. Please
don’t hesitate to reach me. I am here to support you.
