Name and Address Record

CMS ACCOUNT RECORDS


After establishing the control records in CMS, processing of accounts begins
when you enter account information into the system. An established account will
generally consist of the following four records:
 Customer Name/Address record
 Account Base Segment record
 Account Embossing record(s)
 Credit Plan Segment record(s).
Relationship records and Insurance Product records are optional records and may
exist for some accounts. This section focuses on the Customer Name/Address
record.

CUSTOMER NAME/ADDRESS RECORD


The Customer Name/Address record contains all of the customer’s demographic
information, such as full name, mailing address, telephone number, and place of
employment. CMS uses this record to provide the mailing address when you send
correspondence to the customer.
CMS identifies each Customer Name/Address record by a unique customer
number. You can assign a customer number when you add the Customer
Name/Address record. Or, CMS can automatically generate the customer number
using the parameters you set up in the Customer/Relationship Number Generation
Table on the Organization record (ARAO10). The customer number can be the
same as the account number, or the customer number can be a different number
than the account number.
An alternate Customer Name/Address record may be established for and
associated with a single Account Base Segment record. An alternate Customer
record is often used when the account holder resides at a temporary address for a
portion of the year.
A Customer Name/Address record may also be established for other parties
associated with an account. Other parties might include authorized signers,
cosigners, insured third parties or guarantors for an account. Each account may
have up to three associated party Customer Name/Address records.

SETTING UP A NEW ACCOUNT


The majority of your accounts are typically added using a batch interface from
your application approval system. The application approval system in
VisionPLUS is the Credit Decision Management system (CDM). If you need to
add a new account to the online immediately, you can use one of two methods.
Using the first method you can establish an account by using a single function,
New Account Setup (ARSB). The New Account Setup function enables you to
choose the records you want to add (Customer Name/Address record, Account
Base Segment record, Embosser record, and Relationship record), then prompts
you to the online screens that correspond to the records you selected.

 The New Account Setup function is discussed in Section 7 of


this training manual.

Using the second method you can establish each record independently using the
Add function for each of the following records:
 ARAN – to add the Customer Name/Address record
 ARAB – to add the Account Base Segment record
 ARAE – to add the Embossing record

SETUP ACTIVITY
In the next few sections you will add a new customer, a new account,
and a new embosser record independently using the Add function for each record.
During the initial add process, only a few fields will be completed. The Review
activities will be used to maintain your records.
To begin, add a new Customer Name/Address record. Use the add function
(ARAN).
Your instructor will provide the organization number to use. Write it on the line
below:
Organization number =

1. Enter ARAN in the COMMAND field and press Enter.

2. Type in the ORGANIZATION number provided by your instructor.

3. Type any number in the CUSTOMER NUMBER field. CMS does not
automatically generate customer numbers on the add screen.

 The MOD CHECK CUSTOMER field on the Organization record


(ARMO04) must be set to a value of N to complete this
exercise.

4. Press Enter. ARAN page 02 will display.

5. Write down the customer number assigned.

6. Enter your name on name line 1. Do not complete any other fields at this time.

7. Press Enter on each page until you have “paged” through all 7 pages of the
Customer Name/Address record.

8. Which screen displays after you press Enter on ARAN07?

Your instructor will now discuss the fields on the Customer Name/Address
record.

Use the Locate screen in maintenance mode (ARMN00) or inquiry mode


(ARQN00) to identify an existing Customer Name/Address record that you want
to modify or view. Use the Locate screen in add mode (ARAN00) to identify a
new Customer Name/Address record that you want to add.

CUSTOMER Identification number of the Customer Name/Address record.
NUMBER

 If you enter a value in the CUSTOMER NUMBER field, you must


leave the ACCOUNT NUMBER field blank. After you enter a
customer number and press Enter, CMS displays ARMN02 and
skips ARMN01.

ACCOUNT Identification number of the account associated with the


NUMBER Customer Name/Address record.

 If you enter a value in the ACCOUNT NUMBER field, you must


leave the CUSTOMER NUMBER field blank. After you enter an
account number and press Enter, CMS displays ARMN01.

OWNER/ Code that indicates whether to display information for the owner,
CO-OWNER co-owner, or both on subsequent screens. The values are:
0 = Both owner and co-owner
1 = Owner only (Default)
2 = Co-owner only.

account number entered on the Locate screen. In addition, this screen indicates the
association between each Customer Name/Address record and the account. Use
this screen to select a record for which you want to display additional information.
You can use the PF function keys to scroll through the Customer Name/Address
records associated with the account.

RELATED FIELDS
ASSOC Code that indicates the type of association between the Customer
Name/Address record and the account. The values are:
C = Customer (owner or co-owner)
A = Alternate customer
1 = Guarantor
2 = Cosigner
3 = Authorized signer
4 = Third party insured
5 = User defined.

NAME LINE 1 – 3 Two part field that identifies the name of the owner and a code
that indicates if this name is a personal name or a business name.

The second part of this field is a code that indicates the type of
name. This untitled field displays to the right of the NAME LINE 1 - 3
fields. The values are:
0 = Personal name (Default)
1 = Business name.

COUNTRY CODE Two part field that identifies the country portion of the mailing
address of the owner. The first part is the country code. The
second part is the name of the country. When you enter the
country code, CMS displays the name of the country.

 CMS formats the mailing address based upon the country code
entered. Special routines are used for Canada, Mexico and
Great Britain.

TAX Two part field that identifies the tax identification number of the
IDENTIFICATION owner and a code that indicates if this number is a Social Security
NBR number or other tax identification number.

The first part of this field is a code that indicates whether the
number is a Social Security number or another tax identification
number. The values are:
0 = Social Security number (Default)
1 = Tax identification number
2 = Other identification number.

The second part of this field is the Social Security number or tax
identification number. If the first part of this field is 0 (Social
Security number), the second part must be nine numeric
characters only. If the first part of this field is 1 (tax identification
number), the second part can be up to 15 alphanumeric characters.

W-9 The following fields—W-9, SENT, and FILED—provide information


SENT about IRS Form W-9 (applicable only if compliance with U.S. tax
FILED law is required). For a complete description see the CMS Screens
Guide.

STATEMENT Version number of the Statement Message record to use for the
MESSAGE IND owner. The values are 0–9. The default is 0. You may create 10
different versions of statement messages.

WORK PHONE Two part field that indicates the work telephone number of the
NUMBER/FLAG owner and a code that indicates whether you have permission
from the owner to call them at this number.

The first part of this field is the work telephone number. The
second part of this field is a code that indicates whether you can
call the owner at work. The values are:
0 = Yes, call at work (Default)
1 = No, do not call at work.

MEMO 1 – 2 User defined information to retain about the owner. This


information displays on the Account Inquiry screen (MEMO 1–2 on
ARIQ01).

This screen displays user defined codes, dates, and demographic information. You
can use the fields on this screen for specific information about an owner when the
standard fields in CMS are not suitable for your purposes. In addition, you can
customize the field names to identify the specific type of information in each
field.

CO-OWNER INFORMATION

Pages 05 – 07 of the Customer Name/Address record contain information for the


co-owner of the account. The fields and their descriptions are similar to the
owner information contained on pages 02 – 04.

of the fields. Use ARMN to add additional information about the owner and co-
owner of the account.

 Your instructor may have asked you to complete these fields


during discussion of the record.

1. Access your Customer Name/Address record.

2. Type additional information for the owner of the account. Press Enter to
advance through the owner information pages. Ensure that the following
fields contain data:

Address including city, state/province, postal code and country


Home phone number
Memo lines
Demo lines 1, 2, and 3
3. Enter information for a co-owner on pages 05 – 07.

To view owner or co-owner information, use the OWNER/CO-OWNER field on
ARMN page 00. From ARMN page 00
